Facilities Manager (year-long position) The primary role of the Facilities Manager is to work with the Band Captain and Band Director in managing and maintaining the band facilities as well as setting up any band function, rehearsal, or performance. Additionally, the Facilities Manager is in charge of the Facilities Crew and Stage Crew. The Facilities Manager and Facilities are a part of the Loading Crew for all band trips. 1. Set up all rehearsals and performances a. Organize the Facilities and Stage Crews b. With the Band Captain and Facilities Crew, set up all chairs, stands, and needed equipment for concert and indoor marching rehearsals c. With the Band Captain and Facilities Crew, set up the band field for all marching rehearsals i. Make sure field is lined properly ii. Set up podiums iii. Set up yard line markers iv. Set up long ranger, headsets, and metronome d. Set up any other needed equipment i. With the Band Captain and Stage Crew set up all chairs, stands, and other needed equipment for performances 2. With the Band Captain and Facilities Crew setup any non-rehearsal or performance events as instructed to by the Band Captain and Director 3. With the Band Captain and Facilities Crew maintain orderliness and cleanliness of the band facilities a. Organize the Facilities Crew b. Put away all equipment after every rehearsal, performance, and band function c. Pick up trash in all band areas d. Keep the main hallway clean e. Keep band storage areas neat and clean f. Assist the director as needed with cleaning and organizing the band facilities 4. Serve as Stage Manager for All Concert Performances 5. Assist the Equipment Manager and 2nd Lieutenant with organizing and supervising all loading procedures. 6. Assist the Equipment Manager and 2nd Lieutenant with organizing and supervising all loading procedures. a. The Facilities Manager is in charge of loading all school owned instruments and large instruments Head Librarian (year-long position) The primary role of the Head Librarian is to work with the 1st Lieutenant and Library Staff with preparing and distributing all music. Additionally, it is the Head Librarian s responsibility to collect and sort all music that belongs to the band. The 2nd Lieutenant will assist the Head Librarian with organizing and maintaining the band library.
1. Issue, collect, care, repair, and copy (and scotch tape 2 or more copied pages) all sheet music and music texts as specified by the band director 2. Organize and assign tasks to the Library Staff 3. Set up all folders for every band 4. Check in, sort, repair (if necessary), and immediately re-file all collected music. The Head Librarian will report all missing parts to the band director and assist with collecting those parts 5. Organize and supervise the packing and transportation of all music folders whenever an out of school rehearsal or performance requires folders 6. Assist all students with music requests. A music request slip should be filled out prior to the request. Handle all emergency requests as necessary. Issue replacement flip folders and lanyards 7. Maintenance duties for after a band rehearsal or performance: a. Collect any folders that are not in their proper place (this includes practice rooms, PAC, instrument storage rooms, rehearsal rooms, practice field) b. Make sure all folders are filed in their proper slot in the folder cabinet c. Periodically check labels on folders and make sure that the labels are correct and undamaged. 8. Prepare part sign out sheets. Have the band fill these out when all concert and jazz music is distributed. File these sheets in the designated place in the band library Uniform Manager The Uniform Manager is responsible for the maintenance, distribution, and retrieval of all uniforms in addition to the upkeep and organization of the uniform room. The Uniform Manager works with the 1st Lieutenant, Uniform Crew, and Parent Uniform Committee in maintaining all concert, marching, and jazz uniforms, and the uniform room. 1. Issue, retrieve, care, and repair all uniforms owned by the band 2. Maintain neat, accurate, and up to date records relating to the disposition of all uniforms owned by the band 3. Process all new uniforms and make sure they are identified and stored properly 4. Ensure that all uniforms are hung on proper hangers and stored in the proper area of the uniform room 5. Organize, supervise, and implement Friday night uniform issuing and retrieval. Make sure that all students are returning all uniform components and that all uniforms are hung properly 6. Assist the parent uniform committee with measuring and caring for all uniforms 7. Maintain a uniform inventory that is up to date and accurate 8. Prepare all uniforms for dry cleaning. Assign students to bring uniforms down for pickup. Return uniforms to the uniform room upon return from the cleaners 9. Remove all hems from all marching uniforms at the end of the school year 10. Ensure that the uniform repair kit is stocked, organized, and taken with the band to all functions where uniforms are worn. Present a list to the band director of any uniform repair parts needed to the director
11. Assist students who do not pass uniform inspections 12. Organize and assign tasks to the uniform crew a. Each member of the Uniform Crew should be assigned a specific task 13. Assist with setting up the PAC lobby for all band concerts with the drum majors 14. Assist with assembling concert programs for all band concerts with the drum majors Equipment Manager (year long position) The primary role of the Equipment Manager is to work with the 2nd Lieutenant, Equipment Crew, and Loading Crew and be responsible for all instruments and equipment (excluding technology) owned by the band. The Equipment Manager is also responsible for loading and unloading equipment when the band travels. 1. Assist the director with the distribution and collection of all school owned instruments, mouthpieces, mutes, and lockers 2. Assist the director with periodic and random locker inspections 3. Assist the directors with maintaining an accurate band inventory 4. Ensure that the proper number of chairs are in the band room at all times 5. Ensure that all stands belonging to the band are in the band room at all times 6. Tighten all music stands on a regular basis 7. Ensure that all percussion equipment is accounted for and stored 8. Distribute locker combinations as needed to band students a. Keep a record of who needs a combination and how many times they have asked for their combination 9. Check for locker violations on a regular basis a. Report the violations to the director 10. Maintain all school instruments as needed a. Oil valves and grease slides on brass instruments b. Vacuum cases c. Ensure that all cases have a tag and an incase ID card d. Put away any instruments found in the band room or band area i. Report all left out instruments to the director e. Report any needed repairs of school owned instruments to the directors i. Students should bring all repair needs to the Equipment Manager 11. Organize, supervise, and implement loading procedures for all trips a. Keep an accurate log of ALL school owned equipment that will be taken by the band b. Ensure that all band equipment is brought back to TCHS and properly stored c. The Equipment Manager is in charge of loading the percussion/equipment truck (or truck 1) 12. Serve on the stage crew for all band concerts
Secretary (year-long position) The primary role of the Secretary is to work with the Woodwind Drum Major, Historian, and Clerical Staff to help run the band office. 1. Maintain all bulletin boards in the band facility a. One board should be dedicated to rehearsal schedules and important band announcements b. One board should be dedicated to opportunities (camps, scholarships, etc.) for band students c. One board should be dedicated to promoting band spirit 2. Copy and distribute all handouts as directed by the band director 3. Distribute handouts during class a. Check with director before each class. Distribute handouts to students as directed 4. Assist director with office duties as needed 5. Post announcements around the band area as needed 6. Assist the Historian with maintaining and updating the band archives 7. Assist with setting up the PAC lobby for all band concerts with the drum majors 8. Assist with assembling concert programs for all band concerts with the drum majors Attendance Secretary (year-long position) The primary role of the Attendance Secretary is to work with the Wind Drum Major and Attendance Staff to record and maintain attendance logs of the band. 1. Take attendance at all band functions (marching and concert) a. Record tardies (excused or unexcused), absences (excused or unexcused), uniform violations, and missing equipment 2. Maintain accurate and neat attendance logs 3. Assist the director with preparing annual attendance reports 4. Assist with setting up the PAC lobby for all band concerts with the drum majors 5. Assist with assembling concert programs for all band concerts with the drum majors Historian (year-long position) The primary responsibility of the historian is to work with all areas of band leadership, band staff, the director, and band boosters to document the band throughout the school year. Specific responsibilities: Know who the chaperone is that is photographing each band event Know who the chaperone is that is video recording each band event Make sure that photographs are uploaded to the band social media sites (Facebook, Twitter, Instagram, Website) Make sure that band videos are uploaded to the band YouTube channel Make sure that band camp is photographed
Prepare a scrapbook of the band s successes throughout the school year Prepare a digital scrapbook of the year Guard Equipment Manager Specific responsibilities: Ensure that all members of the flag corps have all needed equipment at all rehearsals and performances Ensure that all members put away all equipment after every band function Assist the guard equipment manager with maintaining the neatness and orderliness of the flag corps storage and dressing rooms Make sure that all members of the flag corps understand how to properly take care of their equipment Make sure all guard equipment not in use is correctly stored and put away Make sure the inventory of weights is maintained and kept track of
