INTERNATIONAL BACCALAUREATE TESTING Proctor Guidelines
Why we need your help Each test will have a Stanton teacher as the official IB examination invigilator We must have one invigilator per 25 students Most IB exams are held off-campus and our staff must either be on campus to teach or proctor AP exams
Can I proctor my own child s exam? Yes, but if an exam proctor is a relative of a person sitting the examination, then there must be at least one other invigilator present * If you sign up to proctor your own child s exam, please try to remain in the background as much as possible. We do not want to add any additional stress on our children.
What do I do when I arrive? Arrive 30 minutes prior to the scheduled start time Check in with the Stanton exam invigilator Ask if there is a specific assignment for which they need you Help the invigilator set up the room if necessary Each room must have a clock facing the candidates, start and finish times, and a copy of Conduct of the examinations posted Each candidate must have ample workspace, must be 5 feet apart from other candidates, and must be not be facing any other candidate
Arrival of Candidate Help invigilator inform students that only authorized materials are permitted General stationary blue or black ink, pencils, ruler, eraser (no white-out), etc. Calculator (only if permitted for that exam) Translating dictionary for non-language exams Wristwatch (no other personal clocks) Water (no food unless pre-arranged b/c of a medical condition) Cell phones must be turned off and placed in the back of the room Help students find their seat and keep the room quiet and orderly
Starting the Examination Assist the invigilator in passing out the materials Correct coversheet Pens, pencils, rough paper, answer sheets, graph paper Other exam materials The invigilator will read the instructions to the candidates and allow for 5 minutes reading time at the start of each exam The invigilator will post a sign on the door Testing Do Not Disturb The invigilator will record the Start and Finish times in sight of the candidates
During the exam Proctors must devote their entire attention to the supervision of the exam and may not participate in any other activities Proctors must not talk during the exam unless it is brief and directly related to the supervision of the exam At least one proctor must walk around the room at regular intervals without disturbing the students to ensure no student is engaging in any form of malpractice Do not leave candidates unsupervised at any time Do not allow anyone other than candidates and invigilators access to the room
Attendance The head invigilator will take attendance 30 minutes after the start of the exam (after 30 minutes late students are not permitted) and note on the answer coversheet if the student is absent In cases of emergency when a student must temporarily leave the room, he/she must be accompanied by an invigilator, must not take any materials with him/her and may not speak to anyone other than the supervising proctor Candidates are not allowed to leave the exam during the first hour of the test or during the last 15 minutes If a candidate finishes and leaves the exam early, he/she is not allowed to return
Monitoring Misconduct The following actions are examples of misconduct: Stealing examination papers Failing to obey the instructions of the invigilator Communicating with another candidate Helping or receiving help from another candidate Impersonating another candidate Referring to unauthorized material Consulting material outside the exam room during a period of absence Attempting to influence the invigilator Behaving in a way that may disrupt others Submitting work for assessment that is not authentic Removing or attempting to remove exam materials Leaving the examination room without permission * Report any suspected misconduct to the head invigilator
Ending the Examination Ensure the candidate has completed the coversheet correctly and attached all answer sheets and graph paper to it using the string tags provided Collect all examination papers, coversheets and attachments, multiple choice answer sheets, rough notes and all unused materials before the candidate leaves Ensure the candidates leave in a quiet and orderly manner taking only their personal belongings with them
After the exam Give all collected materials to the head invigilator Help the head invigilator organize the materials Assist in cleaning up or setting up the room for the next exam
