Project Grants (New Investigator) Advice to Applicants This document is offered to applicants to provide advice during the application process. It contains information about eligibility and the conditions of applying for a New Investigator grant. The Prince Charles Hospital Foundation uses the Smarty Grants online grants application system. Supporting documents are available online at www.tpchfoundation.org.au. If you have any difficulty with your application, please call the Foundation on 3139 4636 during business hours and ask for the Research and Funding Co ordinator. The email address you use for the grant application will be used to communicate with you for the entire grant application process and also during the research project if you are awarded a grant so please ensure this is the email of the research applicant and not an administrator. Policy 1. Project Grants (New Investigator) are available for individual projects which are not part of a larger program of research. 2. There is one round per year for Project Grants (New Investigator). Check the website for opening and closing dates. 3. Project Grants (New Investigator) are for a maximum of $10,000 for a project which can be achieved within a 12 month period. Requests for extensions must be submitted in writing to the Foundation and are not guaranteed. 4. Successful projects must commence within two months of the date of notification. If this is not possible, the grant money will be retained by the Foundation. 5. The Prince Charles Hospital Foundation Board will determine each year the available funding pool for research grants, dependent on resources. Eligibility New Investigator 1. A New Investigator is defined as an investigator who has not been awarded a (peer reviewed) research project grant in the past in their own name. a. The Prince Charles Hospital Foundation will determine whether the applicant is considered a New Investigator. b. This will be informed by the applicant s grants history, publications, track record, qualifications, abstracts and conference presentations. c. The Foundation does not consider scholarships to be research grants for this purpose. In general, applicants that are prior to the conclusion of their PhD will qualify as a New Investigator. 2. When submitting an application, the applicant should not have been a Chief Investigator or a Coinvestigator on another successful grant in the last five years. 1

3. Applicants may apply if they have already received or are applying for an Equipment Grant from The Prince Charles Hospital Foundation. 4. Applicants who have been unsuccessful in previous applications to The Prince Charles Hospital Foundation or other funding bodies are eligible to apply. Eligibility Mentor Applicants must nominate a Mentor for their research project. It is the responsibility of the Mentor to guide the applicant through the process of developing their application. The role of the mentor includes a commitment to be actively involved in the research project to ensure the New Investigator has guidance and support to complete the project. The mentor is also required to support the New Investigator in learning the governance involved in managing a grant specifically the methodological aspects of the proposed research project. This includes for example, appropriate dissemination of findings and reporting to the funder as required, in this case The Prince Charles Hospital Foundation. The mentor does not need to be located at The Prince Charles Hospital. To be eligible as a Mentor, the researcher: 1. must have a proven research track record, with a minimum of 2 years experience, and 2. must have research qualifications, ie PhD or equivalent. Please note: If you are unsure your mentor qualifies please contact the Foundation for clarification. Inappropriate mentors will affect your grant eligibility. Other 1. Projects will be considered only if the work is being undertaken at or in significant association with TPCH campus and/or a TPCH community based service. 2. It is not necessary to be employed by Queensland Health or Metro North Health Service. 3. Projects from applicants applying for and/or in receipt of tobacco industry funding will not be considered. 4. Any relevant Ethics approvals must be obtained in writing prior to commencement of the research project and the release of grant funds. Approval is not required prior to submitting your grant application. It is the successful applicant s responsibility to ensure Ethics approval is received in a timely manner in order to complete the project within 12 months. Contact the Research, Ethics and Governance Unit for information about ethics approval or see their website at http://www.health.qld.gov.au/tpch/html/research.asp 5. Applications will not be accepted after the specified closing time. Smarty Grants will lock the grant round at this time and no further changes can be made. 6. Successful applicants are required to sign the Acceptance Document and are bound by the Terms & Conditions. This includes a requirement to be willing to promote your work to the media, public or 2

potential sponsors if requested by The Prince Charles Hospital Foundation. The Foundation should be notified of such requests from other people or organisations before proceeding. Grant submission 1. The application will not be accepted unless all required questions are completed. This includes uploading the signature form prior to the closing time. The application will be locked at the specified closing time. 2. Signatures must be obtained from the applicant, Mentor, and from the most senior person in the area where the actual research will occur. For hospital based applicants, this is the Medical Program Director; for universities, this is Head/s of Faculty or Institute. 3. If the applicant is not employed by Queensland Health, details must be provided for the appropriate grants administration officer at their institution. The institution must also be notified prior to lodging the application and any relevant approvals obtained. Please note: grant funds will remain in The Prince Charles Hospital Foundation s account and will not be transferred to another institution. 4. The application must include the proposed budget for the project. Costs could include: a. Wages for the researcher or backfill position. Ensure details include the level of the position, pay rate, all on costs and superannuation if appropriate and what hours are required for the role. Please ensure you explain why wages are required for yourself or for another role and how they will contribute to executing the research project. b. Equipment provide description and GST exclusive cost c. Consumables provide details of how many items to be purchased and cost per unit as applicable and how these items will contribute to assisting the project. d. Microfilms provide details of how many and cost calculations e. Purchase of animals provide details of how many animals and cost per animal f. Agistment of animals used in your research provide details of how this cost is calculated g. Printed materials provide details of how many and cost calculations h. Survey and Field expenses The applicant is strongly recommended to explain each line of the budget and provide specific, detailed and accurate information and clearly outline why these items are needed in the justification of the budget section, paying particular attention to wage requirements i.e. why individuals are required for the project. Failure to clearly justify all expenses will result in the application being ineligible. Conditions of application 3

1. Applicants authorise The Prince Charles Hospital Foundation Research Committee, or The Prince Charles Hospital Foundation Office at the instruction of TPCHF Research Committee to make any enquiries it considers necessary in relation to the proposed research project. 2. Applicants are bound by The Prince Charles Hospital Foundation s research grants policies which can be found online with the grants information at www.tpchfoundation.org.au 3. Successful applicants will only be able to access grant funds after signing an Acceptance Document and the Terms & Conditions (these will be sent to you). An example of the Terms & Conditions and Information documentation is on the Foundation website. 4. Successful applicants may be asked to provide a lay summary of the research project and evidence of outcomes or benefits achieved, eg publications achieved, qualifications achieved, conference sessions presented, successful application for further funding and so on. 5. Understanding how to complete ethics applications is an important part of being a researcher. If you are successful, you will be requested to contact the Research, Ethics and Governance Unit for advice on how to make an ethics application before funds are released. FAQ regarding application and feedback 1. How can the grant be used? A Project Grant (New Investigator) can be used for stipend, consumables, backfill for staff (especially relevant for allied health and nursing staff), equipment, and for any combination of this list. 2. How can the grant not be used? A Project Grant (New Investigator) cannot be used to fund basic computer equipment such as individual laptops, or for travel for the applicant (including travel to conferences). It may include travel costs for project participants such as patients travel costs to participate in a research project. 3. How is my application assessed? Applications will be assessed by a panel authorised by The Prince Charles Hospital Foundation Research Committee, and according to: 1. relevance to The Prince Charles Hospital 2. clearly stated aims and objectives 3. design and methods congruent with aims and objectives, and project is achievable 4. costs fully itemised and appropriate. The application template also includes score ratings used against relevant sections that relate back to the score sheet used by the Research Panel. Please note: a Mentor is a pre requirement of receiving funding under this grant program. 4. How long will it take to hear the result of my application? See www.tpchfoundation.org.au for specific dates 5. If I am successful, how do I provide evidence of Ethics approval? 4

Successful applicants must provide the Foundation with a copy of the Ethics Approval Certificate prior to any funds being made available. The Foundation does not require the full Ethics application form. Ethics approval should be sought as soon as possible after notification of your grant funding. 6. Can I receive feedback on my grant application? The Prince Charles Hospital Foundation takes seriously its commitment to provide feedback. Applicants will be offered a feedback session with the assessment panel chair. Applicants should note that although the Foundation is committed to helping all researchers progress in their careers, we receive significantly more applications than can be funded. 7. If I am unsuccessful, can I apply again? Yes, you can apply again. It s recommended you make sure your application has improved in the areas noted in the provided feedback. 8. How many times can I apply if I am successful? Once Researchers are no longer eligible to apply for New Investigator grants in the future if they have already received a project grant from The Prince Charles Hospital Foundation. 9. How many applications can I submit per round? Only one application is accepted from each applicant per round. 5
