The INTERACTANT Therapy Scheduler option has been enhanced to allow unlimited ARDs and display of potential COTs. The screen also allows users to easily scroll through all 100 days of the schedule. 2011 Health Care Software, Inc. MDS 113001 Page 2
The top portion of the screen displays patient information, functional icons, and a Save Data button. The next section provides date information including Start Date of therapy record, Completed date, ARDs, and potential COTs. The completed date is an optional field where users can end the therapy record at any time up to and including the 100 th day. ARD dates along the top are limited, however, the screen begins with five and once the screen opens, INTERACTANT takes the number of ARDs entered and adds five additional. Also, ARDs will default from the MDS record, but can be easily overridden by users. INTERACTANT will insert potential COT records that can be added as a MDS record from this screen. If any of the hyperlinked dates are clicked, INTERACTANT will position to that day minus the look back period. A Position to Day field allows users to enter in day 1 through 100, and the scroll bar will automatically position the screen to that day. Upon entering the screen, INTERACTANT will position to the current date or the first day of an ARD look back period if the current day falls within one. 2011 Health Care Software, Inc. Below ARDs and COTs is a drop down box which is populated from the Weekly Scheduled Minutes Template option and described in detail later in this document. This allows users to make a selection for the minutes/days for the patient utilizing the table of minutes/days that are completed/needed. The example below shows a patient that needs 500 minutes and five days of PT and OT. The left table indicates 334 minutes completed with an additional 166 minutes required as well as three days of PT and OT completed and two of each discipline still needed. Also in this example, there is a potential COT next to ARD 2. The drop down is protected and pulls from the ARD directly before it. The date is also protected for a potential COT. The same minutes/days needed/completed are listed allowing users to determine if the patient will maintain the same level of care for the potential COT. The potential COTs are automatically calculated and display every seven days after an ARD date, unless there is another ARD date within that time period. INTERACTANT will only show one future COT. If a COT is in the future, it will stop there and discontinue calculating every seven days. 2011 Health Care Software, Inc. MDS 113001 Page 4
This section of the screen lists 100 days along with the breakdown of actual minutes versus planned minutes. The top row shows dates within the 100 days. If the date is highlighted in color, it indicates correspondence to ARD date or look back period. The ARD date background color will match the highlighted color, unless two ARD date periods overlap. In that case, those days are highlighted in pink. The second row shows the position of the date within the 100 days. If a date falls on Saturday or Sunday, it begins with S and is highlighted in yellow. The remainder of the screen indicates minutes with planned minutes broken down by discipline. Users can enter planned minutes in two ways either key in manually or use one of the Set Weekly Schedule options. If a planned minute field appears in gray, it indicates that the patient does not have a start of care record for that discipline in that time frame. A turquoise field signifies the end of therapy for that discipline. If a planned minute field includes a red CR, the therapy has been cancelled for that day. To view the cancellation reason, hover the mouse over CR. Individual, concurrent, and group minutes are also broken down by three disciplines but cannot be adjusted as they emanate from actual minutes entered. 2011 Health Care Software, Inc. For each discipline, a Group % shows, by day, the percentage of group minutes for the past seven days. If Group % exceeds 25%, the field will be highlighted in red. Additional rows at the bottom of the screen include: ARD Tot RUG is a running total of minutes entered for the ARD and look back periods. If the day is not an ARD date or within the look back period, the field will be 0. Planned minutes are a running total of the planned minutes entered on the Therapy Scheduler for a seven day period. If Planned minutes are greater than Run Total RUG, the field will highlight in red. Run Total RUG is a running total of actual minutes entered and used to calculate RUG score by dividing the concurrent minutes by two. If the date is after 10/01/2011, it will divide group minutes by four. If the day is an ARD date, the field will highlight in the ARD color. Weekly Schedule allows users to enter start date and minutes for PT, OT, and ST for the days of the week. Once Apply is pressed, the minutes entered will populate the planned minutes on the Therapy Scheduler from the start date forward. Weekly Schedule by ARD is similar to the above option except for a drop down function which auto populates the minutes field. The drop down is populated from the Weekly Minutes Template option allowing users to predefine minutes for each discipline for each day of the week. Once Apply is pressed, the entered minutes will populate the planned minutes on the Therapy Scheduler starting from the look back period of the start date forward. Note Icon allows users to enter notes for the patient in free form text. Other fields on this screen include Clear Text which will clear the entire text box, and Reset Text will revert back to the previous saved note. Once notes are entered, the icon will turn green to signify that a note has been entered and saved. Other icons include: Add Change of Therapy Record which appears next to a potential COT date. If users click this icon, a new MDS record will be added for the COT date to the left of the icon. Warning Message indicates a field warning. Users can hover the mouse over the icon and a tooltip will display the warning message. Please note that users can save data when warnings are present. Error Message indicates that a field is in error. Users can hover the mouse over the icon and a message displays the error. Please note that users cannot save data when error messages are present. ** If displayed next to an ARD date, the ARD date on the Therapy Scheduler does not match the ARD date on the MDS. 2011 Health Care Software, Inc. Weekly Scheduled Minutes Template The Weekly Scheduled Minutes Template option allows users to define a template of scheduled minutes. When entering a new template, users enter a code, description, and minutes for the days of the week for each of the three disciplines of PT, OT, and ST.
