Administrative Responsibilities All staff members should be completely familiar and knowledgeable with the duties of each administrative position within the Athletic Department. Staff members may communicate with the administrators that supervise an area at any given time. Director of Intercollegiate Athletics 1. Organize, manage and administer the intercollegiate athletic program consistent with the philosophy and guidelines of the President, Vice President of Finance and Administration and Board of Trustees of Grand Valley State University. 2. Continually envision and present plans for the future direction and growth of the department, making recommendations to the President and Vice President of Finance and Administration. 3. Serve as a representative to the executive council of the Great Lakes Intercollegiate Athletic Conference, council of Athletic Directors, and the NCAA. 4. Maintain open communication channels with other athletic directors, alumni, booster organizations, news media, students, University officials and members of the athletic staff and general public. 5. Assume the administrative responsibility for all phases of the intercollegiate athletic program. These include scheduling, eligibility, GLIAC and NCAA compliance, personnel direction and evaluation, athletic facility improvement and maintenance, facility management, fiscal affairs, fund raising, promotions, publicity, game administration and other related activities. 6. Prepare and present for approval and adoption the annual budget to the President and Vice President of Finance and Administration. 7. Oversee the administration of the budget so that expenses will not exceed income during the fiscal year. 8. See that all University policies and procedures are applied to purchases, business procedures, records, use of facilities and equipment and all other activities where the University has established policies and procedures as outlined in the University manual. 9. Director of Intercollegiate Athletics Responsibilities (continued): 10. To continually strive for excellence, measured by performance, in all sports for men and women who are participating in the intercollegiate athletic program at Grand Valley State University in conjunction with the GLIAC and NCAA bylaws. 11. To be aware and to encourage all coaches and students-athletes that performance in the classroom is the main purpose of higher education and that the pursuit of knowledge and the acquisition of a degree is the main goal of the student-athlete. Faculty Athletics Representative * This job description is based on the NCAA Division II Faculty Athletic Representative Handbook Appendix A 1. The faculty athletics representative should ensure, either directly or indirectly, that student-athletes meet all NCAA, conference and institutional requirements for eligibility for practice, financial aid and intercollegiate competition. Academic eligibility certifications should be performed by persons outside of the department of athletics, normally by the Registrar s office. These certifications should be periodically reviewed and audited by the faculty athletics representative. The faculty athletics representative approves all Waiver requests submitted to the NCAA or GLIAC. 2. The faculty athletics representative should arrange to have developed, periodic statistical reports on the academic preparation and performance of student-athletes for each sports team. These reports are normally prepared by athletic advising staff. The faculty athletics representative should be knowledgeable about the academic preparation and performance of each sports team and should use such reports to uphold high academic standards and expectations for these team members. 3. The faculty athletics representative should be responsible, either directly or indirectly, for institutional compliance activities or responsibilities, which involve campus entities outside the athletics department. Such entities include, but are not limited to, the following: (a) office of student financial aid, (b) office of admissions, and (c) office of the registrar. The faculty athletics representative should work in concert with the director of athletics to ensure a comprehensive and effective rules education and compliance program on the campus. 4. The faculty athletics representative should be knowledgeable about the NCAA and conference rules related to academic eligibility, transfer requirements, and restrictions and enforcement procedures. He or she should participate, or otherwise be fully informed about, institutional investigations of allegations of rules violations. No infractions report to either the NCAA or a conference should leave the campus until it has been reviewed by the faculty athletics representative. He or she should play a major and direct role in matters that potentially involve major violations of NCAA rules. 5. The faculty athletics representative should have direct contact with student athletes on a systematic and periodic basis. He or she should participate in new student-athlete orientation activities and should interact frequently with student athlete advisory committees. Student-athletes should recognize the faculty athletics representative as a source of information, support and counseling, which is located administratively outside of the athletics department. 6. The faculty athletics representative is responsible to proctor the NCAA coaches recruiting test as often as necessary. 7. The faculty athletics representative is responsible for NCAA or GLIAC scholarship applications or award nominations to ensure that each application is filed accurately, complete and on time. The faculty athletics representative should be a senior advisor outside of the athletics department to the chief executive officer on matters related to intercollegiate athletics. Together, with the director of athletics, the faculty athletics representative should formulate and recommend institutional positions on NCAA legislation and other matters affecting, or related to, intercollegiate athletics on the campus. 9. The faculty athletics representative should represent the institution to the NCAA and to athletics conferences. 10. The faculty athletics representative should be an active member of the campus intercollegiate athletics board. 11. The faculty athletics representative reports to the President and provides an annual report of activities to the President, Academic Senate, and the Intercollegiate Athletics Advisory Board. Support: The faculty athletics representative should be provided support services commensurate with the duties and responsibilities of the office. Fieldhouse Management Office Assistant Job Summary: Coordinates all support services for Fieldhouse Management Office. 1. Ticket and Fan Development Manager 1. Perform duties related to developing a comprehensive multimedia marketing plan that maximizes ticket revenue (group and season ticket sales) and spectator attendance for varsity football, volleyball, women s soccer, men s basketball and women s basketball programs. Academic Adviser for Athletics 1. Organization and supervision of academic support programs and progress for studentathletes. 2. Maintain a current knowledge of university academic rules and procedures, NCAA, and GLIAC rules. 3. Work with the coordinators of tutorial services, the Academic Resource Center, and Career Services in assisting student-athletes with the appropriate support services on campus as needed. 4. Identify and prioritize those student-athletes who fall into the category of academically at-risk and meet with them on a regular basis to develop and carry out individualized academic plans. 5. Under the direction of the GVSU Team Physicians, the Head Athletic Trainer will coordinate coverage for prevention, care, treatment, therapy and rehabilitation of all injuries resulting from participation in an organized, sanctioned practice or competition as described by the NCAA rules for all GVSU Student-athletes. 2. Insurance information and claims coordination and implementation. 3. Oversee athletic training student supervision for all GVSU athletic teams. 4. Development of liaison with different Allied Health Professionals. 5. Direct drug-testing procedures according to department policy. 6. Arrange scheduling for Monday night Sports Medicine Clinic primarily for the benefit of GVSU student-athletes. Additionally, the physicians may evaluate local high school or recreational athletes. The athletic trainers will not assume responsibility for the care, treatment or prevention of injuries for individuals not identified as GVSU student-athletes by NCAA rules. 7. Maintain a system of injury records on all athletes with insured confidentiality. 8. Arrange for the purchase of medical supplies and therapy equipment. 9. Direct event coverage, staffing, and equipment purchase/maintenance for all GVSU athletic training facilities. This includes the athletic training rooms in the Fieldhouse, Lubbers Stadium and a rehabilitation room in the Fieldhouse. 10. Graduate Assistant Athletic Trainer 1. Assist with daily duties concerning injury recognition, treatment, rehabilitation, and prevention of the GVSU student athletes. 2. Proper documentation of all medical records related to the health care of the GVSU student-athletes. 3. Assist with sport coverage as assigned by the Head Athletic Trainer. 4. Coordinate inservice program for staff and athletic training students. 5. Assist in the supervision of the athletic training students clinical experience according to CAAHEP guidelines. 6. Coordinate summer camp coverage for athletics. 7. Perform other duties as assigned by Head Athletic Trainer or Assistant Athletic Trainers. Medical Benefits Coordinator (Part-time 15-20 per week) 1. Process insurance claims on athletic injuries according to athletics policy and procedures. 2. Gather, assimilate and verify necessary information through communication with medical providers, students, parents, and athletic trainers. 3. Keep accurate records of all data both on computer and hard copy file. 4. Process payments through and provide quarterly year-to-date totals to the accounting department. Administrative Assistant 1. Act as a general assistant to the Director of Athletics, performing non-routine office functions, which substantially contribute to the division s objectives. 2. Responsible for the specific projects conducted by the division whether self-initiated or initiated by the Director of Athletics which may involve planning and coordinating work, analyzing data, preparing reports, making recommendations and other duties associated with the successful completion of a project. 3. Responsible for the office operations of the department. 4. Assist faculty and staff with administrative problems or concerns. 5. Provides information to students and prospective students short of academic counseling of a complex nature, as well as to outside agencies, visitors, etc. 6. Act as a liaison for the department in situations outlined by the Director of Athletics. 7. Composes correspondence, contract letters, and other similar materials. 8. Maintain the department s financial records including reconciling budget reports. 9. Organize and plan the Director of Athletics calendar. 10. Schedule and coordinate the work of student employees and/or office staff. 11. Perform duties characteristic of lower level clerical/office classifications on a limited basis. 12. Performs clerical work of a confidential nature for the Director of Athletics. 13. Other administrative office duties associated with the efficient operation of the department. Athletics Department Secretary Responsibilities 1. Greet visitors, answer questions, answer telephone, and take messages. 2. Type forms and general correspondence for staff. 3. Coordinator of team travel ground transportation: Negotiate and manage ground transportation for all teams. Reserve charter buses for off-campus football games. Reserve vans for off-campus sporting events for all teams. Process billing for vans, recruiting cars, and charter bus trips. Monitor travel and expense vouchers. 4. Type sports schedules and distribute. 5. Processing of expense reports. 6. Inform the University Communications office of sports schedules and all changes that occur. 7. Type and process game contracts and official s contracts. 8. Maintain filing and/or record keeping systems. 9. Assist with supervision over and delegate work to student assistants. 10. Irwin Club Secretary 1. Organize Irwin Club outings, and fundraisers, Hall of Fame Dinner, golf outings, and receptions at various athletic functions. 2. Proofread and correct materials typed; edit grammatical errors. 3. Perform receptionist duties such as receiving visitors, answering the telephone, and taking messages. 4. Schedule appointments and other meetings. 5. Coordinate mailings of National Letters of Intent packets. 6. Tracking of courtesy car mileage and information. 7. Receive, open, routes mail and may compose responses to standard inquiries. 8. Maintain filing and/or record keeping systems. 9. Prepare reports as requested which may require compiling and computing statistical data. 10. Coordinate the work of student employees and arrange student work schedules. 11. ICA Weight Room Coordinator 1. A member of the Track & Field coaching staff. 2. Oversee the operation of the ICA weight room in conjunction with the Athletic & Recreation Facilities Manager. 3.
