Reverse Tradeshow The Reverse Tradeshow is one of the highest rated events by CHPA exhibitors. This opportunity allows you to meet with provider decision makers one-on-one with dedicated time to dialogue. Exposition Company Viper Tradeshow Services (Viper) is the official exposition and decorating company for the CHPA 2014 Annual Conference. Viper will be responsible for event freight and will control all the loading docks onsite. CHPA will not be responsible for materials and/or delivery to the show site. Exhibitors are encouraged to contact Viper directly to schedule an approved loading time. More details will be included in the Viper exhibitor service packet sent out before the event. CHPA EXHIBITOR POLICY: In order to protect the interests of all exhibitors, any CHPA Associate Member or potential Associate Member must purchase a booth space in order to attend the conference. Any firm or corporation whose business is supplying goods and services to the corporate housing industry is considered an Associate Member.

Exhibitor Terms and Conditions SPACE ASSIGNMENT: Applications for exhibit space must be received prior to January 15, 2014. A listing of specific products and services must be completed on the application form for booth assignment. FLOORPLAN: CHPA publishes floorplans that are provided by the exhibit company and are believed to be correct. CHPA encourages Exhibitors to verify these floor plans directly with the exhibit company. INSTALLATION & EXHIBITOR SET-UP: All exhibit material shipped in advance will be in the booth, ready for set-up, by Monday, February 24, 2014 at 12:00 p.m. Exhibits must be completely set up by 5:00 p.m. Any exhibit not unpacked by this time will be placed in storage and can be returned only after the exhibits close on Wednesday, February 26, 2014, or may be set up by Exhibit Management and the cost charged to the exhibitor. Please Note: No refuse such as empty cartons may be placed in the aisles after the final sweeping of the aisles. Exhibitors are urged to keep the floor clean. CRATE STORAGE: Empty crates, cartons, and boxes must be removed from the exhibit area by 5:00 p.m., Monday, February 24, 2014. These materials should be nested as much as possible. Empty stickers, which must be placed on all containers to be stored and returned at the end of the show, will be available from the service desk. Containers or skids without empty stickers will be considered refuse and disposed of. The hotel does not have any facilities to store any shipments; therefore, do not ship freight directly to the hotel. Please Note: Do not put anything of value into storage. EXHIBIT HOURS: As a courtesy to attendees and your fellow exhibitors, please ensure that your booth is manned by a representative during exhibit hours. DISMANTLING OF EXHIBITS: All freight must be packed for removal from the exhibit area by Wednesday, February 26, 2014 at 12:00 p.m. Any company dismantling their exhibit early will incur a $500 penalty fee. FURNITURE-CARPETING-LABOR RENTAL DISPLAY UNITS: Viper Tradeshow Services (Viper) will supply these services. Rental order forms will be sent to each exhibitor to ensure prompt handling of requests for furnishings. A service desk will be open during the hours of the exhibit installation and teardown only. BOOTH DESIGN AND USE OF EXHIBIT SPACE: All booths will have 8 high drape back wall with 36 high side dividers. Booths cannot be over 8 in height. All display material is restricted to a maximum height of 42 except for the back wall of the display, which is limited to 8 in height and a depth of 4. No exhibit may span aisle by roofing or floor covering. Exposed, unfinished sides of exhibit backgrounds must be draped to present an attractive appearance. In the event the exhibitor is not available, the decorator, with the approval of CHPA Staff, will provide draping and charge the exhibitor. BOOTH CLEANING: Arrangements for booth cleaning and emptying of wastebaskets will be the responsibility of each individual exhibitor. Forms will be provided in the exhibitor service kit. Any exhibitor that has not ordered booth cleaning and emptying prior to opening will have their booth cleaned to present an attractive appearance for the opening. The cost shall be charged to the exhibitor. SPECIAL ELECTRICAL, CLEANING, CATERING SERVICES, ETC.: For insurance, safety and security purposes, electrical, cleaning, catering, sign hanging, drayage, and other special services needed by individual Exhibitors are provided only when the Exhibitor orders and agrees to pay for them from the exclusive suppliers authorized to provide such services listed in the Exhibitor Manual. FLAMMABLE MATERIAL: No volatile or flammable fluids, substances, or materials of any nature prohibited by local ordinances, the New Orleans Fire Department, or insurance carriers may be used in any of the booths. The use of any type of crepe or corrugated paper is prohibited. INSURANCE: CHPA and the contracted facility, and their respective agents and employees, shall not be responsible for the safety of the property or the exhibitor, its agents or employees, from theft, damage by fire, accident, or any other cause. It shall be the exhibitor s responsibility to maintain such insurance against personal injury and property damage liability in such amount the exhibitor deems appropriate. Exhibitors shall provide CHPA with proof of property and liability insurance. ADVANCE REGISTRATION OF EXHIBITORS: Registration forms will be forwarded with booth confirmation. No more than two members per booth may be registered for booth duty only. Badges may be picked up at the conference. GENERAL CONDUCT OF EXHIBITORS: The following practices are prohibited: 1. Noisy electrical or other mechanical apparatus interfering with other exhibitors. 2. Canvassing or distributing any other material outside the exhibitor s own space. 3. Subleasing of exhibit space. 4. Publicizing and/or maintaining any extra-curricular activities, inducements, demonstrations, or displays away from the exhibit area during official conference and exhibit hours. 5. Entry into another booth without permission. 6. The wearing of buttons, unofficial badges, company nameplates, etc. placed over the official badge thereby obscuring the person s name and affiliation. SINGLE EXHIBITOR PER BOOTH: Only the name of the Exhibitor which appears upon the face of the contract may be placed in the booth and in the Show s printed list of exhibitors. It is further agreed that the Exhibitor shall not assign, share or sublet any part of its exhibit space. BOOTH SPACE CANCELLATION: All cancellations must be submitted in writing. Lack of payment or lack of occupying space on exhibit floor during show dates does not constitute cancellation and refund will not be provided. It is agreed that if the company cancels the space after January 1, 2014, 100% of the booth cost will be retained. Booth space may be canceled by CHPA for failure to pay balance when due. In the event space is canceled by CHPA, all prior payments on account will not be returned and CHPA may lease such canceled space to another exhibitor at its discretion. LIABILITY: Exhibitor assumes entire responsibility and agrees to protect, defend, and save the Corporate Housing Providers Association, the Exhibit Management, and the Decorator and employees of the above entities against all claims, losses, and damages to persons or property, governmental charges or fines, and attorney s fees arising out of or caused by Exhibitor s installation, removal, maintenance, occupancy, or use of the exhibition premises or a part thereof, excluding any such liability caused by negligence of the The Roosevelt New Orleans, its employees and agents. In addition, exhibitor acknowledges that the Corporate Housing Providers Association, Viper Tradeshow Services and the The Roosevelt New Orleans do not maintain insurance covering Exhibitor s property, and that it is the sole responsibility of the Exhibitor to obtain business interruption and property damage insurance covering such losses by the exhibitor.
