2 Why Change? The new PCORI Online platform will enable Applicants to easily submit a Letter of Intent (LOI) and subsequent full Application to a PCORI funding opportunity, as well as respond to PCORI Information Requests (PIR). Automates and streamlines the awards management process Maintains records and approvals in one location Provides a one-stop shop for all aspects of the award lifecycle, including LOI & Application submission, progress reporting, project monitoring, and more

5 Welcome to PCORI Online! PCORI funds projects that answer patient-centered questions about health and health care. Through the new PCORI Online, you can submit a LOI and subsequent full Application to a PCORI funding opportunity, as well as respond to PCORI Information Requests. Letter of Intent Submission: Search for and select a PCORI funding opportunity, and submit a Letter of Intent (LOI) with details of the proposed project. Application Submission: After the LOI is reviewed, applicants may be invited to continue in the application process, and submit a full Application. PCORI Information Requests (PIRs): If PCORI requests additional information during the application process, respond with additional information and/or documentation. Account Management: Manage your account on PCORI Online, including your email address, employer, and location information.

Official 5 App. Review: PCORI Staff Applying for funding from PCORI is a twostage process; a LOI must be submitted before an organization is invited to submit a full Application. Committees of PCORI staff screen the LOIs based on the criteria outlined in the PCORI Funding Announcement (PFA). If the organization is invited to continue in the application process, the next step will be to complete the full Application. A draft Application will be created in PCORI Online based on the initial LOI. The Administrative Official (AO) will review the Application. The AO will either submit the final Application to PCORI, or return it to the PI/PI Designee for revisions. PCORI staff will review the Application for administrative compliance and responsiveness to the PFA. If compliant, the Application may then proceed to Merit Review. During this process, PCORI Staff can send the Applicant a PCORI Information Request (PIR) through PCORI Online. The PIR typically will contain a list of questions regarding an Application, requesting the Applicant to upload additional information by a given deadline. Note: For more information on the Application and Merit Review process, navigate to the PCORI Funding Opportunities page. 6

7 Key Roles and Responsibilities Members of the Applicant Project Team and PCORI Staff will have customized access to PCORI Online based on their role. Applicant Project Team PCORI Staff Roles Description Roles Description Principal Investigator (PI) The organization s primary point of contact throughout the lifecycle of the project, from LOI submission to project completion; is responsible for the programmatic conduct of the project. Contracts Administrator (CMA) PCORI s primary contracts point of contact (POC) for the project(s). PI Designee An individual selected by the Principal Investigator (PI) to act as a backup or alternate. Program Officer (PO) PCORI s primary scientific manager for Research Awards project(s). Administrative Official (AO) Responsible for the proper administration of the contract, including approving the Application submission, overseeing contract modifications, and other required materials. Program Associate (PA) PCORI staff member responsible for supporting the Program Officer(s) on projects.

Introduction to PCORI Online In this section, you will master the following activities: Quick Tips Getting Started Navigating PCORI Online

Getting Started: Logging In If you are a new PCORI Applicant, click on New User to obtain login information. 2 Once you complete the New User Form, you will receive an email welcoming you to the portal with a link to log-in 1 If you are a New User and don t know your login information, click New User? Note: After creating an account and logging in to PCORI Online, email the PCORI Help Desk at help@pcori.org to gain access to the applicable Application(s) or Project(s). 9

Getting Started: Logging In, Cont d Complete the requested fields, including contact information, demographic information, and employer information. 3 Complete requested information 4 Enter Employer Information Learning Point 5 Click Submit If you cannot find your Employer Name in the lookup field, select Employer not found. You will then be prompted to add additional information about your Organization/Institution. Email Notification: Once you complete the New User Form, you will receive an email welcoming you to the portal with a link to log-in. 10

11 Getting Started: Logging In, Cont d If you have previously logged in to the new PCORI Online, enter your User Name and Password to get started. 1 Enter your User Name and Password, and click Log in 2 If you need to reset your password, click Forgot your password? 3 Learning Point Your user name is the email address you use when interacting with PCORI. On the following screen, enter your username (i.e. your email address), and click Reset Password Email Notification: After selecting Reset Password, you will receive a system-generated email with instructions on how to update your password.

12 Navigating PCORI Online: Home Screen The home screen allows you to apply for awards and access multiple PCORI award management features. Click to view your Research Awards

13 Navigating PCORI Online: Search for Funding Opportunities To create a new LOI or Application, get started by searching for PCORI Funding Opportunities through the new PCORI Online. 2 Enter Keyword(s) and click Search to view current opportunities 1 Click Funding Opportunities to search for new opportunities Note: You can also continue to search for opportunities through the PCORI website. For further instruction, navigate to the Appendix.

Navigating PCORI Online: LOI & Application Dashboard You can also navigate to existing LOIs and Applications through the LOI & Application Dashboard. 2 Use the left-side menu to view either Applications or LOIs 1 Click My LOIs and Applications to navigate to the LOI & Application Dashboard Note: Before beginning your first LOI or Application, you will not see any items on the Dashboard. 15

19 Introduction to LOI Submission: Navigation At the top of the LOI, you will find the following tabs which will assist with navigating the various sections of the form. LOI Tabs Contact Information Add basic contact information for the Organization/ Institution, including the PI, AO, and any Designees. Pre Screen Questionnaire Resubmission PI Information Project Information Project Personnel Project Personnel Partners Templates & Uploads Respond to initial screening questions. Indicate whether the organization is resubmitting a previous Application, or has been invited to resubmit an Application from a previous cycle. Enter detailed information about the PI s experience with research and grants management. Provide relevant project information, including the focus disease or condition, projected costs, target populations, and analytic methods. Add the names of Project Personnel who will make up the Awardee Project team. Name all partner individuals or organizations as they should appear on the award project page. Download any applicable templates, and upload attachments to include with the Application.

20 Complete & Submit a Letter of Intent (LOI) From the LOI & Application Dashboard, navigate to a new or draft Letter of Intent (LOI) for a PCORI funding opportunity. Learning Point Required fields are designated with a red asterisks ( ). Learning Point Use the icon to edit a draft LOI.

Complete & Submit a LOI: Contact Information On the Contact Information tab, add basic contact information for the Organization/Institution. 1 Use the magnifying glass to select the names of your PI, AO, PI Designee(s), Financial Officer, and Organization 2 Enter Location/Satellite, and Department Learning Point Awardee Project teams can have up to two PI Designees. PI and AO cannot be the same person. 3 Click Save & Next Note: Only Project Personnel with active PCORI Online accounts will appear in the magnifying glass search results. Team members that do not appear will need to create an account. For instructions, click here. 21

22 Complete & Submit a LOI: Pre Screen Questionnaire On the Pre Screen Questionnaire tab, respond to initial screening questions. STOP! If you answer Yes to any of these questions, your LOI will not progress past the review stage. We recommend you discontinue your LOI submission for this PFA. 1 Use the drop-down menus to select Yes or No for the following questions 2 Click Save & Next

23 Complete & Submit a LOI: Resubmission On the Resubmission tab, indicate whether the organization is resubmitting a previous Application, or has been invited to resubmit an Application from a previous cycle. Learning Point If you require additional assistance locating a previous application title and/or ID number, please contact pfa@pcori.org. 1 Use the drop-down menu to select Yes or No for the first question 2 If Yes, respond to the remaining questions and attach the resubmission invitation letter on the Templates & Uploads tab 3 Click Save & Next

24 Complete & Submit a LOI: PI Information On the PI Information tab, enter detailed information about the PI s experience with research and grants management. Learning Point On the multi-select lists, use the arrow buttons (>, <) to move items between the Available list and the Chosen list. 1 Complete the PI Information tab through open-ended questions, drop-down menus, and multi-select lists 2 Click Save & Next

26 Complete & Submit a LOI: Project Personnel On the Project Personnel tab, add the names of the Project Personnel who will make up the Awardee Project team. 1 Click New to add a new personnel record Learning Point At this point in time, you can name a Co-PI, if applicable. 2 Enter the individual's name, and use the drop-down menus to enter information regarding their position/role

27 Complete & Submit a LOI: Project Personnel, Cont d Complete the Project Personnel form to add them to the list of the Project Personnel, indicating the individual as Key Personnel, if applicable. Learning Point Key Personnel typically includes the PI, Co-PIs and sometimes PI Designees. This designation requires PCORI agreement before it can be changed. 4 Check Yes or No for Key Personnel 3 Complete the remaining fields through open-ended questions, dropdown menus, and multi-select lists 5 Click Save

Complete & Submit a LOI: Project Personnel, Cont d Add additional Project Personnel, edit existing Personnel Records, or continue on to the next tab of the LOI. 7 Click Next to navigate to the next tab Note: Add additional Project Personnel by clicking New again, and repeating steps 1-5. 6 Navigate to the Action column to Delete, Edit, or View existing records 28

29 Complete & Submit a LOI: Project Personnel Partners On the Project Personnel Partners tab, name all partner individuals or organizations as they should appear on the award project page. 2 Click Save & Next 1 Enter applicable individuals or organizations

30 Complete & Submit a LOI: Templates & Uploads On the Templates & Uploads tab, download any applicable templates, and upload attachments to include with the LOI. 1 Download and complete the LOI template 2 Upload the completed LOI template 4 When you have completed the LOI and are ready to submit, click Review/Submit Learning Point 3 Click Save Please upload the completed LOI template as a PDF. Note: If you have been invited by PCORI to resubmit, upload the Letter of Invitation in place of the LOI template.

31 Complete & Submit a LOI: Review and Submit Once you click Review/Submit, you will be taken to a read-only view of the LOI for final review and submission. Learning Point If you wish to withdraw your LOI once submitted, please email pfa@pcori.org. 1 If you would like to continue editing, click Back to Record 2 To print the LOI, click Print 3 When you have fully reviewed the LOI and are ready to submit, click Submit Email Notification: Upon submission, the Applicant will receive an email confirmation.

36 Introduction to Application Submission: Navigation At the top of the Application, you will find the following tabs which will assist with navigating the various sections of the form. Learning Point The first seven tabs have been pre-populated from the LOI submission, and are designated (LOI).

Complete the Application If the Letter of Intent (LOI) has been reviewed and the organization is invited to continue in the application process, the next step will be to navigate to the LOI & Application Dashboard to complete the full Application. Learning Point If invited to apply, the Applicant will be able to immediately view a draft version of the Application. Email Notification: If invited to continue in the application process, the applicant will receive an email notification once the LOI has been converted to an Application. 37

39 Complete the Application: Proceed to Additional Tabs The following four tabs will request additional information not included on the LOI. These tabs include Project Information, Budget, Milestones, Templates & Uploads, and Certification.

40 Complete the Application: Project Information On the Project Information tab, provide more detail regarding your proposed research, including abstracts, narratives, and goals. Learning Point The Projected Start and End Date should match the dates listed in the Budget pages. 1 Enter information through open-ended questions, drop-down menus, and multiselect lists 2 Click Save & Next

41 Complete the Application: Budget Once you are on the Budget tab, you will navigate through the following eleven budget pages to input information related to the yearly costs for your project. The first ten pages require input and the final page will provide a summary. Budget Page Personnel* Consultant Cost* Supplies Scientific Travel Programmatic Travel Other Expenses Equipment Subcontractor Direct Costs* Subcontractor Indirect Costs* Detailed Budget Total Indirect Costs* Budget Summary Information Requested (Per Year) For each project personnel, list the name, role, employment information, and salary details. If applicable, indicate consultant cost including hourly/unit rate and total cost. List all supplies and cost per supply. Specify the details and costs of any scientific travel that will occur. Specify the details and costs of any programmatic travel that will occur. Provide details and costs for any additional expenses. List all equipment and cost per equipment. Provide subcontractor names and total costs per year. Provide subcontractor name and total indirect costs per year. Indicate total prime indirect costs and annual rate per year. Review summary of all budget information before proceeding to the Milestones Tab. Note: Each page will allow you to edit up to 5 years. Additionally, pages indicated above by an asterisk (*) include a Peer Review Period (Year 6).

42 Complete the Application: Budget, Cont d To begin editing Budget Tables, click Create New Budget which will open the first page, Personnel Budget Tables. 1 Click Create New Budget

Complete the Application: Budget, Cont d To start editing the Personnel Budget, begin by entering the Start Date and End Date for each year. 2 Enter Start Date and End Date (365 days later) for each year Learning Point Once you enter the Start and End date for each year of the project on the Personnel Budget Table (the first Budget page), the dates will be copied over to the remaining pages. Note: Year 1 Start Date should not be prior to the Earliest Start Date listed in the PFA.. 43

44 Complete the Application: Budget, Cont d Even if your proposed project is less than 5 years, you must populate a date value for the Start Date and End Date fields for all years. Once complete, click Save All Rows. 3 Click Save All Rows Learning Point If your proposed project is less than 5 years, we recommend you populate the remaining date fields with consecutive years (as displayed).

45 Complete the Application: Budget, Cont d Add a row to enter budget details related to the first personnel. Click Save Rows when done editing each row. Learning Point Institutional Base Salary cannot be greater than $200,000. 5 Populate all fields 4 Click Add Row for each Personnel 6 Click Save Rows
