You are invited to submit an application to participate in the Cortland Oktoberfest Arts & Crafts Show on Saturday, October 14th and Sunday, October 15th, 2017; Saturday, 9:00am - 5:00pm and Sunday, 10:00am - 5:00pm. This festival is a great opportunity for you to showcase your homemade art or craft to our festival guests! The event will be held outdoors. All art & craft vendors applying to participate in the Cortland Oktoberfest are responsible for paying a Booth Space Fee. Vendors are also responsible for providing their own tent, tables, chairs and attractive display. Any vendors selling mass-produced, commercial, resale and/or concession food items should not apply for participation in the Cortland Oktoberfest Arts & Crafts show. The Cortland Oktoberfest welcomes your application for participation at our first annual event. Our goal is to maximize the variety of products in the Arts & Crafts Show to provide customers with a diverse selection of products as well as balance the need for individual vendors to profit. Space is limited and some craft categories fill up quickly. The deadline for your application is Friday, September 1, 2017. Please read through the Terms & Conditions on the following pages. CORTLAND OKTOBERFEST DATES The Cortland Oktoberfest is now accepting applications for the Arts & Crafts show to be held on Saturday, October 14, 2017 and Sunday, October 15, 2017. ADDRESS The Cortland Oktoberfest Arts & Crafts show will be held, through the courtesy of The Cortland Bank, in their parking lot across from The Cortland Bank building, located at 194 West Main Street, Cortland, Ohio. SHOW HOURS CHECK-IN Exhibitors are required to check in prior to their booth set up. Exhibitor check-in will be located at the entrance of the Arts & Crafts area across the street from The Cortland Bank building, located at 194 West Main Street, Cortland, Ohio. Each exhibitor will receive a welcome packet that includes his or her assigned space. FEE FOR SPACE. No be included with your completed application. Application deadline is Friday, September 1, 2017 or until all booth space is filled. Your application must be accompanied by the booth fee payment. NO BOOTHS WILL BE RESERVED WITHOUT FULL PAYMENT! To keep booth fees low for the event, we are asking for each vendor to donate an item valued at $30.00 or more for a charity auction that will take place on Sunday. Please bring your donation with you during check-in on Saturday, October 14, 2017. All payments are final and will not be refunded or transferred, under any circumstances. Applications sent by regular mail may pay via check or money order. If not accepted into the show, your check/money order will Please note, if your check does not clear for deposit, you will be notified and not eligible to attend the event. Also, a $35.00 NSF charge will be applied.

Make all payments payable to: Cortland Lions Club DISPLAY SPACE signage or materials are permitted in display. Any sampling or demonstrations of items must be done within your booth space and must be from the acceptable items list. Bring padding for any sharp displays, tables, chairs, etc. which may cause harm. Exhibitors are liable for any damaged caused to pavement, or other exhibitors property. Exhibitors should not paint, lacquer, adhesive, or other coatings to pavement. Do not use tape that could be difficult to remove. We ask all our vendors to be respectful of the space they are renting for the We require that all tables be covered at the front and sides of the table. Vendors may leave his or her display up overnight, but it will be at your own risk. Security will not be provided after the show hours and Cortland Oktoberfest Management will not be liable for any items left on site. ELECTRICITY/GENERATORS Electricity will not be provided. Generators must be approved by the show Management prior to the event. Only quiet generators will be approved. Any generator that emits too much noise or fumes will not be permitted to be used during show hours. Any vender bringing a generator is required to have a functioning fire extinguisher within their booth at all times. The Cortland Oktoberfest Show Management and/or the Cortland Fire Department will check for fire extinguishers, noise levels and compliance with safe practices to not endanger attendees and other vendors. Any vendor with a generator, found without a fire extinguisher will not be permitted to use their generator at any time while on Cortland Oktoberfest event property. All vendors with generators will be placed on the perimeter spots, no exceptions. Any vendor not complying with this policy will be required to leave and forfeit his or her space and fee for the duration of the festival. APPLYING TO THE SHOW The deadline to submit your completed application is Friday, September 1, 2017, or until all booth space is filled. A complete application includes a completed application form, vendor fee, photos, and self-addressed stamped envelope. Incomplete applications will not be reviewed and will result in declination to the festival. Please use the checklist below to ensure a complete application. If you have proof of insurance for your Arts or Crafts products, please include a copy of your certificate with your application. You do not need to submit this checklist with your application.

Completed application form. Any items not noted on the application and shown in a photograph will not be permitted to be sold at the show. Copy of insurance certificate for your arts and craft items. Self-addressed stamped envelope Five - seven colored photographs showing the items for sale. All types of items you plan to sell must be depicted in a photo. Please provide a second self-addressed stamped envelope if you wish for us to return the photos to you prior to the event. Photos will not be accepted via email for mailed applications. A check or money order for your Booth Space Fee. ACCEPTANCE Applications must be completed to be reviewed. Approval by a jurying committee is needed before an application is considered granted. Applying to the show does not guarantee acceptance into the show. Approved applicants will receive confirmation letter and email after their application and fees have been accepted to participate. There will be no refunds or transfers for cancellations under any circumstances. The Cortland Oktoberfest Management reserves the right to decline any vendor application and revoke vendor acceptance/ participation for any reason at their sole discretion. SETUP/BREAKDOWN Your space number will be issued when you check-in at the show. Set-up for approved vendors will begin at the and fee will be forfeited. No refunds or exceptions will be made. Booths must be completely packed up and tents taken down prior to driving on the festival grounds during breakdown on Sunday. You may leave your display up overnight, but it will be at your own risk. Security will not be provided after the show hours and Cortland Oktoberfest Management will not be liable for any items left on site. PARKING Vendors will be permitted to unload their vehicles with their goods at their assigned booth. Once the vehicle is unloaded all vendors must park their vehicle in a designated vendor parking area, before setting up booth display. Designated parking areas will be included in the welcome vendor packet provided upon registration. All vehicles other vendors by noncompliance with the above stipulations will prohibit future participation. PLACEMENT Exhibitors will be assigned on a first come, first served basis after the application has been reviewed and accepted Third Party Vendors will be placed in their own section apart from the regular exhibitors, thereby separating them from traditional handmade only vendors. A limited number of spaces are offered for these vendors, spaces are first come first serve with allowance of only one vendor per category type. The show management will do its best to separate exhibitors working in the same media. The Cortland Oktoberfest reserves the right to alter the location of exhibitors or booths in the floor plan, if in the best interest of the show, or for any other unforeseen situations that may arise. IDENTIFICATION It is very important, to label your products, provide business cards or organization signs to identify your booths name. MUSIC Vendors may not play music in their booths; the Cortland Oktoberfest Management will provide music entertainment throughout the day. FIRST AID If anyone cuts himself or herself, or is in need of medical attention we ask that you notify the information table. We have a first aid kit, and will contact the local authorities as the need arises. VENDORS

LIABILITY Cortland Oktoberfest Management and its counterparts, Love Life Foundation, Community Foundation of Western PA & Eastern Ohio, the City of Cortland, Ohio, Cortland Lions Club, all sponsors, their representatives, employees, and successors and its staff and volunteers will not be held responsible for injury, loss, theft, damage, acts of God or vandalism of any individual s self, property or works. Each vendor will be held responsible for any damage they, their staff, or their property causes while on Cortland Oktoberfest property. Terms and conditions are subject to change without prior notice. Having read this waiver and knowing these facts and in consideration of your accepting my entry, I, for myself and anyone entitled to act on my behalf, waive and release Cortland Oktoberfest Management and its counterparts, Love Life Foundation, Community Foundation of Western PA & Eastern Ohio, the City of Cortland, Ohio, Cortland Lions Club, all sponsors, their representatives, employees, and successors from all claims or liabilities of any kind arising out of my participation in this event. I grant permission to all of the aforementioned parties to use my photographs, motion pictures, recordings or any other record of this event for any legitimate purpose. Vendor hereby further indemnifies and holds harmless the Cortland Oktoberfest Management and its counterparts, Love Life Foundation, Community Foundation of Western PA & Eastern Ohio, the City of Cortland, Ohio, Cortland Lions Club, all sponsors, their representatives, employees, and successors against any and all liability or damages, attorney s fees and court costs due to property damages, wrongful death or personal injury on the premises by any person or entity.
