Accommodations and Important Information Make your Reservations early! Room block released after July 22, 2016 at 5 p.m.! The Westin Hilton Head Resort and Spa will serve as headquarters for the Annual Meeting. Room rates are $184.00 per night, plus tax. Wheelchair accessible rooms are available. Please be sure to notify the Westin Hilton Head Resort and Spa directly if you require assistance due to a disabilty. You can make reservations by calling 1-800-Westin-1. Be sure to mention the SCOPA Annual Meeting to receive the SCOPA room rate! For those wishing to stay a little longer, SCOPA rates will be offered three days before and after the Annual Meeting. Check-in is at 4 p.m. and check-out is at 12 p.m. The Westin Hilton Head Resort and Spa offers ample complimentary self-parking for attendees. There will be valet parking available for $17 per day. Registration Information: All meeting registrations are required by Monday, August 8, 2016. Registrations after this date will be charged the on-site fee, no exceptions. Annual Meeting registration fee includes: all continuing education, continental breakfast, refreshment breaks, luncheons, and receptions. ADDITIONAL TICKETS FOR SPOUSE/GUESTS MUST BE PURCHASED. Spouse/ guests must either purchase a spouse/guest ticket (which includes a ticket to each social event) or separate tickets to each event. Name badges are used for admission to ALL social and food functions. Please be sure to wear your badge at all times and make certain the SCOPA has a list of names of guests and the events they will attend if you are purchasing additional meals. Registration fee is waived for 2015 graduates who are newly licensed SC optometrists, with SCOPA membership. Cancellations and Substitutions All cancellation requests must be submitted to the SCOPA office in writing. Cancellations received by Monday, August 1, 2016 will receive a full refund. Cancellations made August 1st through August 19th will yield a refund less a $75 processing fee. Any cancellations made after August 19th will not receive a refund. Substitutions are permitted at any time. Please alert the SCOPA office of any changes. No refunds will be made to individuals who attend a portion of the meeting. No refunds will be made for cancellations due to inclement weather. It is the policy of the SCOPA to hold all meetings unless weather conditions are extreme. If the SCOPA is forced to cancel the meeting in its entirety, liability is limited to the registration fee. Continuing Education Credits Participants will receive continuing education credit based on the number of hours earned by attending sessions. PARTIAL CREDIT WILL NOT BE GIVEN FOR COURSES. CEU cards will be issued with Annual Meeting registration materials and will be validated after each session. Each session is monitored according to SC State Board regulations. Monitors will collect CEU cards and will record any personal breaks taken. Anyone exceeding a 10 minute limit will not receive continuing education credit for that session. Upon completion of desired number of re-licensure hours, simply return your CEU card to the Annual Meeting registration desk for monitor s signature. You will be given a copy of your validated card for your records. It is the conferee s responsibility to confirm that credit has been submitted to the appropriate State Board offices. The SCOPA is not responsible for any fines or penalties assessed for continuing education that is not reported to the desired agencies. Per the SC Board of Examiners in Optometry policy, O.D.s are responsible for keeping copies of their CEU cards if asked for an audit. SCOPA can no longer report hours for O.D.s.
