Frequently Asked Questions 28

How do I reset my Password? When the user forgets his/her password: the user needs to provide his/her login name and answers to the 3 security questions that were selected by the user. The user then enters a new password. If the user doesn t remember the right answers, he/she will need to contact the DARS Administrator to reset the password. 29

Community Membership? When I get a DARS account, does it mean that I am a member of the community I mentioned in the request? No. When the user requests ests a DARS account, it gets approved by the DARS Administrator and an account is created for the user. Initially the user is only a member of DoD community. The user must then request roles in individual communities which will get approved by the community administrator. 30

What role should I have? There are 6 roles for each community. The user can request roles depending on what he/she is assigned to do. Refer to the Community Roles Description Table 31

Why is my Role Request still pending? Community Administrator gets notified when the user sends a role request. If the community has no Admins or the Admin is no longer with the community, the request est will remain pending. Before sending a role request: Check if the community has Admins and Admins are still with the community. Check with parent communities Administrators when no Admin exists in the community 32

How do I register an AV-1 and make it visible? Before registering an AV-1, the user needs to have a Producer role in the community. The user creates the AV-1 and saves it. The user can make more changes until it s final, then submits the AV-1. When the AV-1 is submitted, a notification email is sent to admins, sponsors and V&V examiners to verify the AV-1 1. After Verification, AV-1 is released to the community for public access. (Refer to AV-1 Submit and Approval Process Flow Chart) 33

How do I delete a community? Before deleting a community, the user needs to have an Admin role. The user should save all needed documents, sub- communities and folders under the community to a temporary location. The user then chooses to delete the community. The DARS Administrator will be notified, will contact the user regarding the request and then perform the action. (DARS Admin is the only one who can delete a community). 34

Community, User Role and Access Level 35

DARS Communities - Overview Establish control over visibility and accessibility of data Establish membership roles and access levels Control visibility of content discovery metadata (i.e. who can see info about files inside shared folders) Control access to data (i.e. who can open or download files inside shared folders) Provide shared space for content management and collaboration Community content folders Content configuration management Automatic notifications of new postings Comment tagging and threaded discussions 36

User Roles Subscriber (default): Provides ability to browse and download documents, architectures and data, search content metadata, and submit discussion items within subscribed communities. Producer - Adds to the Subscriber role the ability to upload or register architectures or other documents. Administrator: Adds to the Subscriber role the ability to create and manage communities; grant or assign user roles, permissions, and access levels; release or delete documents; edit metadata; and create and associate architectures within and to the community. Note: The Community Administrator receives automatic e-mail notifications whenever anyone requests a role in the community. Sponsor: Same as the Administrator except the Community Sponsor does not receive automatic e-mail notifications for role requests. 37

User Roles (cont.) Approval Authority Provides ability to set/change approval status metadata Data Configuration Manager Provides ability to set/change taxonomy versions and delegate authority for data configuration management to subordinate communities 38

Access Levels Private both content and content metadata are visible and accessible only to Community subscribers with Private access rights (applies to any role assigned in that t Community). Protected content is visible and accessible only to the community members with Protected or Private access rights, but content metadata is visible to all registered DARS users via the metadata search utility. Note: this is the default when uploading files. Public both content and content metadata are visible and accessible to all registered DARS users.
