NOTICE TO BIDDERS Moberly Area Community College, 101 College Avenue, Moberly, MO 65270 is accepting sealed bids to provide furnishings for the Columbia Higher Education Center in Columbia, MO. For additional information, please contact the Office of Plant Operations at 660-263-4100 extension 11258. Sealed bids are due in the Office of Plant Operations by October 20, 2015 at 11am. A public bid opening will take place in the Office of Plant Operations, room 136 of the Main Building immediately after bids are due. Bids shall be signed and submitted on the Proposal Form included in the specification documents. All bidders must include specifications for the products they propose with their Proposal Form. The Owner reserves the right to accept or reject any and all bids, and to waive all informalities in bids. Likewise the Owner reserves the right to select the lowest and best bid which is in the best interest of the Owner. No bid may be withdrawn for a period of 45 days subsequent to the specified time for receipt of bids. Final bid approval rests with the Board of Trustees. 3
INSTRUCTIONS TO BIDDERS Bids: An itemized furniture list (with model number and description) that includes unit costs and total cost must be included with your proposal. Cost of installation must be included as well. Moberly Area Community College is a tax exempt entity. A copy of the College s Tax Exempt letter will be provided to the successful bidder. The furniture specifications are provided herein and alternates are discouraged, as we are matching current furniture. Any alternates will be looked at on a case by case basis. Bidders must provide quotations for furniture and installation cost as outlined on the attached specifications. Rebates, discounts, etc will not be considered as part of the bid evaluation. Total and final price must be shown on the attached proposal form. Bids must include installation and shall be performed by the successful bidder, who will be expected to provide all necessary labor, tools, and fasteners to complete the installation in an orderly and expeditious manner. It is necessary to have the installation completed as early as possible. But no later than December 31, 2015. MACC reserves the right to accept or reject each bid in part or in whole. 4
CONTENTS OF PROPOSAL 1. Proposals shall be submitted to the Office of Plant Operations, 101 College Avenue Moberly MO 65270, attention Eric Ross and must clearly state Furniture Bid. Sealed bids are due on October 20, 2015 at 11am. 2. Itemized furniture list that includes unit costs and total cost. Cost of freight and installation can be included in the cost of furniture or as a separate line item. 3. References, if required. 4. Please indicate the length of time needed for delivery and installation. 5
EVALUATION AND BID AWARD Proposals will be evaluated on the following criteria: 1. Overall function, design and durability of furnishings offered; 2. Vendor s and Manufacturer s qualifications and past performance; 3. Vendor s ability to provide product in a timely manner; 4. Consideration will be given to Vendor s in the College service area, as outlined in the College s Policy Handbook, section L.160. 5. Warranty; 6. Cost. The College may, at the College s discretion, request additional information or an interview with bidders. This may include clarification and explanation of proposal and demonstrations of furnishings. 6

JOB SITE MANAGEMENT PROCEDURES Project Crewmembers The crew must be professional in behavior and appearance. Strict behavior standards are expected of crew members at all times. Communications Upon commencement of work, a list of phone numbers must be provided to allow necessary contact with contractor and the College. Insurance Information Upon receiving a signed contract, a certificate of insurance will be required. References For companies never having done business with the College, a minimum of five references must be provided, with project scopes similar and as large as or larger than the one provided. 10
