The MEDIC Dispatch News From The Front Line September 23, 2013 Mecklenburg EMS Agency Dates to Remember: September 25 th Corporate Compliance 1300 1700 This Week: Holiday Shift Bid 2 Results Coming Soon: Full 3 Shift Bid Requests from Patient Financial 4 Services to Field Crews Final Round of 2013 5 AHA Classes 2013 Scope of 6 Practice Schedule September Corporate 7 Compliance Training Sessions Training Schedule 8 Medic Calendar 8 As we continue to move forward in this Performance Pay tracking period, I wanted to share some recent updates as well as some encouragement to help us finish out strong. Our financial numbers are back on track. The red X for our financial qualifier has changed to a green check mark due to: Transport volume recovering from its slow start it is still not where we originally forecasted, but it is moving in the right direction All Agency/Department expenses have been managed closely We are managing the schedule based on demand Revenue collection continues to go smoothly and as previously planned In July we met our Time on Task performance measure. During the August tracking period we missed the mark slightly by 40 seconds. Please do not get discouraged, we can still continue to improve this mark. Remember to focus on: Current Status of Performance Pay Tracking Period Getting off scene quickly and safely Being mindful of your hospital turn time As a reminder, Time on Task will benefit you this Performance Pay tracking period. If we hit the Time on Task benchmark AND meet all our other qualifying criteria, all employees will receive a higher payout of up to $800.00. If we do not meet Time on Task, but we still meet the hospital turn time benchmark AND meet our other qualifying data, we will still receive the payout of up to $540.00. Everyone has a role in providing an excellent patient care experience. Continue to striving for excellence and we will hit the mark. - Joe Penner 1

Requests From Patient Financial Services to Field Crews The Patient Financial Services team strives to collect all funds appropriately owed to the Agency. This process relies heavily on the quality of documentation collected by field crews to ensure compliance and achieve revenue targets. Below are a list of areas where your attention would help improve our overall performance. Please review them and feel free to contact Revenue Cycle Manager Robie Wilcox at 704.943.6401 or robiew@medic911.com with any questions you may have: Do not put a hyphen in the middle name field. If you do not know the patient s middle name, leave the field blank. Do not populate a partial social security number in demographics. Obtain the entire SSN and if you are unable to obtain the complete number, leave the field blank. Obtain a complete address and phone number for each patient. Do not guess the zip code. If you cannot obtain this information, leave the field blank. Always remove the old hospital account number in Siren for previous transports and obtain the new hospital account number from the receiving hospital for each transport. Only put the hospital account number in the Account No field. Do not put trauma pack names in the Account No field. Always obtain the patient s legal name. If you do not have the patient s legal name, you can use the trauma pack name assigned by the hospital in the patient name field. If no trauma pack is used, then John or Jane Doe would be appropriate. Remember to obtain a patient signature for each transport when the patient is physically and mentally capable of signing. When the patient is unable to sign on their own behalf and you obtain a signature of an authorized representative, you must put the authorized representative s information in the patient representative section. This includes all minors. Appropriately document when the patient refuses to sign the ticket so the billing department can determine who to bill. A refusal is when the patient is physically and mentally capable of signing, but chooses not to. Crews must sign their legal name on their tickets, not initials. A good rule of thumb to go by is how you signed your W4 when you were hired at Medic. Obtain the full name of the RN/MD or whoever is receiving the patient. If the patient is in police custody, please document whose custody they are in (e.g. US Marshal, Homeland Security, CMPD, Mecklenburg County Sheriff, Mint Hill PD, Huntersville PD, etc). Document if the patient is an inmate in the Mecklenburg County Jail (Jail Central or Jail North) or if they are being picked up at the Arrest Processing Center in the basement of 801 East 4 th Street. If a patient or their caregiver states they are a hospice patient, please note that in the narrative section. Response Outcome: The Transported Other Medical Crew option should only be used when Medic provides transportation to another crew that is handling all patient care. Remember to document all pertinent medical history/conditions that support an ambulance transport for BLS NET calls. Examples BKA/AKA, quadriplegic, tracheostomy, contractures. 4

CAD Work Team A work team has just formed to review premise-based information saved in the CAD. The work will focus on improving the tracking and maintenance of safetyrelated information, AED locations and community/ apartment access information in CAD. The work team is currently focusing on information related to community/apartment gate access (i.e. gate codes) and we need your help in correcting and identifying communities and apartment complexes with secured gate access. If you come across a community or apartment with a gate and you notice that the gate code you are given is no longer active or if you have difficulty accessing the gate, please make a note of the community name as well as the location of the gate and notify the on-duty CMED Supervisor. The on-duty CMED Supervisor will then forward it for immediate follow up and correction in CAD. This information will help us with our responses to communities/apartments with secured gate access. We thank you for your assistance. If you have any information that you would like to pass along to the work team regarding communities/apartments with gates, please pass it along to Todd Sims at todds@medic911.com.
