Purpose & Scope Procedure Regular and non-regular excursions provide an opportunity for children to discover and observe the world. Real life situations can extend and enhance the learning opportunities of young children. Educators are encouraged to provide a balance of experiences for children, both within the education and care residence or venue, and the wider community. To minimise risk of accident and injury on excursions, educators need to carefully plan and organise the excursion, and implement preventative strategies to ensure they comply with policies and procedures at all times. Educators must communicate with parents about planned activities, consider the purpose and the benefits for children and ensure children are adequately supervised at all times during excursions. Process Planning the excursion 1 When planning excursions, educators must consider: the purpose and value of the excursion with regard to the children s level of physical and emotional development and care needs, and the suitability of the destination with regard to the safety of children attending (refer to handout Planning Considerations and Recommended Time Guide for Excursions) whether additional adults will be required to assist supervision of the children to meet regulatory requirements e.g. where water hazards may be present (refer ratios of adult to child in accordance with regulations) or where children may need to cross busy roads whether parents of the children will be involved in the excursion whether available transport facilities comply with regulatory requirements 2 Parents are encouraged to be actively involved in planning excursions. Communicating with parents Regular routine excursions 3 Parents will indicate on the Admission Agreement form completed on registration, whether they consent to their child/ren attending regular routine excursions, conducted by educators, within the local area. 4 Educators will discuss, with parents, the regular routine excursions they conduct: before accepting enrolment of a child, and ensure the child s parents have provided their written consent when providing daily information about the program, (including expected timeframe of the excursion, supervision, transport and telephone contact arrangements for the day) 5 Educators will provide parents with a copy of Routine Excursion form: at the enrolment interview with the parent on each occasion when the routine excursions change Lake Macquarie City Council Page 2 of 7

and display a copy of the Routine Excursion form in an area of their residence or venue, visible to parents on arrival and departure from care conduct a Risk Assessment of the proposed excursion venue and provide a copy of the risk assessment to the coordination unit prior to the routine excursion make available a copy of the risk assessment for parents of children in care inform parents of their right to withdraw their consent for their child attending a routine excursion at anytime 6 Parents will renew their consent to routine excursions annually by signing the routine excursion form provided by their educator. Non-Routine excursions 7 When seeking consent in writing to excursions, educators must give the parent: all information requested in the Permission Note for Non Routine Excursions form a list of any additional costs, equipment or clothing needed sufficient time, to consider this information carefully to enable informed consent provide access to a copy of the Risk Assessment developed for the specific excursion 8 A parent must complete the Permission Note for Non Routine Excursions, before the child attends any non-routine excursion. 9 In the event that a parent will not permit their child to attend a non-routine excursion, alternative care arrangements will need to be organised by the parent. Payment to the usual educator is not required, in this circumstance, as the usual educator is not available for regular booked care. All excursions 10 Educators must provide to the Nominated Supervisor, or delegate of Lake Macquarie Family Day Care: a copy of the Risk Assessment for the proposed excursion signed Permission form for each child not less than 5 working days before the planned excursion. This will allow the Nominated Supervisor/delegate adequate time to assess the suitability of the excursion, review the risk assessment and provide feedback to the educator before the excursion proceeds. 11 Family Day Care staff will encourage and support educators to undertake excursions to enhance children s experiences and provide assistance if required in developing a risk assessment and review the educators risk assessment of the proposed excursion venue if determined unsuitable the educator will be informed of the reasons and will be advised not to proceed with the excursion maintain a register of excursions proposed and conducted by educators including copies of risk assessments and parental permission notes Preparing for the excursion 12 The educator must include in their educational program for children, (taking into consideration the ages of the children) covering the following areas, before undertaking excursions with young children: appropriate behaviour around unfamiliar animals, particularly dogs, they may meet in parks and public places Lake Macquarie City Council Page 3 of 7

road safety (e.g. teaching children to stop, look, listen and think when crossing roads) easily understood rules for conduct and safety on excursions (e.g. staying close to the educator, stranger danger etc.) 13 Educators must, at all times, conduct the excursion in a safe manner and comply with all regulatory requirements, policies and procedures refer to handout Sample Safe Excursions Checklist. The educator shall not conduct an excursion to any destinations where there is a water hazard unless a risk assessment has been conducted prior to the excursion, and the minimum adult to child ratio of persons participating in the excursion is: (a) one adult for each child who is under 3 years of age, and (b) one adult for each 2 children who are 3 or more years of age but who do not normally attend school, and (c) one adult for each 5 children who normally attend school 14 The educator must not take children on any excursion to swim at a beach, pool, river, lake, dam or other body of water unless for the specific purpose of learning water safety or learning to swim (with a qualified swim instructor) and the adult to child ratio is one adult for each child. When visiting other peoples residence 15 When organising visits to other people s residence, educators must: conduct and document a risk assessment before the visit, check the residence to be visited is safe for children in care and that hygiene procedures can be maintained (having regard for all regulatory requirements, policies, procedures and child safety recommendations) be prepared to cancel the visit if the educator cannot take steps to ensure all regulatory and policy requirements are met be aware of additional risk of abuse of children and ensure supervision is maintained by educator, and children are protected from abuse at all times ensure children do not have contact with persons adversely affected by alcohol or other substances Lake Macquarie City Council Page 4 of 7
