Release Date: June 2017 Release Number: v 2.8.12 Release Summary The 2.8.12 release of the Army Warrior Care & Transition System (AWCTS) consists of bug fixes and enhancements. If you have questions or concerns about system capability, contact the AWCTS Service Desk at 855-813-8867 or support@awcts.zendesk.com. Release notes for past system versions are available from the AWCTS Help Center (http://awcts.zendesk.com/hc) AWCTS Module: ALL Add Validation to All System Email Fields (change) System Report Viewer Upgrade (change) All email fields now contain validation to ensure email formatting is within industry standards (localpart@domain). All System Reports with a Created On date of November 2016 or later will display in an upgraded viewer. Report filters will now display on the right side of the report window. AWCTS Module: Admin Additional Admin Audit Log Types (new feature) System Administrators have seventeen additional log types. This will increase the number of log records displayed. Role Assignment Changed Status Change User Login Failed User Session Ended AWCTS Module: AW2 Reassignment of Restricted Case (fix) Assign To Drop Down Disabled (fix) Require Date Completed When Closing Task (change) Selection of Unable to Contact Nullifies Advocate Assignment (fix) Add Attachment Button Alignment (fix) Users with the Admin role in addition to other roles may now reassign restricted cases to users other than themselves. Addition of Admin role to users with either Medical Eligibility or Advocate roles no longer causes the Assign To field to be enabled when editing case status. Date Completed is now a required field when closing a Task. Additionally, Date Completed cannot be entered until the Task Status is changed to Closed. When a case is listed with the status of Unable to Contact, the assigned Advocate is now removed from the case. Unable to Contact cases still route to the Call Center Supervisor for processing and assignment to a Call Center Representative. Existing Unable to Contact cases will have the Assigned Advocate nullified unless the case is assigned to a Call Center Operator. Call Center Supervisors will initially notice a large volume of unassigned cases. The Add Attachment plus on the Case attachments page and Issue attachments tab now correctly align in the header. AWCTS Module: OMB Issue Detail Print Layout (fix) Ad Hoc Entity: Issue > Attachments > Document Type (fix) Edit Case Origin (change) The Issue Detail report, accessible from the Issue Detail screen, now displays the Assignment label and the AW2 Status field value without wrapping to another line. The Issue attachment document type description now correctly populates in ad hoc reporting. MAG DISTRO and ADMIN roles now have permission to modify the Case Origin field in Case Information when a case is open. Case origin now displays on the Case Information Page for all users. AWCTS Module: Soldier Scrimmage Worksheet (fix) Target Transition Date (fix) Assignment Information in Handbook (fix) Duplicate Challenge text no longer populates on the Printable Scrimmage worksheet. In Goal Setting/Scrimmage, the Target Transition Date date picker now displays in front of the Transition/Outcome Goal popup window. Initial assignment information now populates in the Soldier Handbook. AWCTS Module: WSFH Issue Detail Print Layout (fix/change) Status in Issue Grid (fix) Remove Assignment from Cases Grid (change) The Issue Detail report accessible from the Issue Detail screen now displays the Assignment label and the AW2 Status field value without wrapping to another line. The report also contains headers and data for the Action Log and Resolution sections. Status now populates consistently for all issues. The Assignment column no longer displays on the Cases grid. There are two methods to add an Action. 1. Select Edit on the Issue Details page. Use the green plus to add an Action Log. 2. Navigate to the Issue Log tab. Use the green plus to add a log. Select Action as the type. Adding information to the Action Log populates the Action Log, Issue Log, and Case Log. Action Logs can be edited or deleted by most users for 24 hours. Issue Resolution fields are now located in a new section below the Action Log. Resolution fields are activated by selecting Resolved as the Issue Status. The new Resolution Comments field is now a free text field instead of a dropdown list. The Reopen Case button now appears on closed records for all users as expected. The Issue detail page now scrolls properly when a large amount of data is entered. When adding an Agency Contact, the Agency field is now required. Attachments grid on the Case Attachments page and Issue Attachments tab now export to Excel correctly. Additionally, the Edit and Delete icons no longer display in the exported documents. Clicking on the date link on the Issue Tasks tab now correctly opens the associated task. AWCTS System Release Notes (v 2.8.12) 4

AWCTS Module: Bulk Reassignment for Squad and Platoon (new feature) Transition Board Review Date Changed to Focused Transition Review Date (change) Scrimmage Worksheet (fix) Unavailable From and To Dates in Selfassessment Availability (new feature) Bulk reassignment of all Soldiers from one Squad or Platoon to another within a Company is now available to CTP Management Analysts as part the Bulk Reassignment tab. Additionally, detailed case log entries accompany all bulk reassignments. When reassigning to a new Squad Leader, all Squad Leaders within a platoon are available. Selecting a new Squad Leader changes the Soldier s squad assignment. When reassigning to a new Platoon Sergeant, all users with the Platoon Sergeant role in the Soldier s assigned Company are available for selection. (NOTE: Primary PSG Roles won t have Squad assignment). After selecting the new Platoon Sergeant, the Management Analyst can then select the new Squad Leader, assigned to that Platoon, from the drop-down menu in the Squad leaders column within the grid selection window. If no Squad Leader is selected, the Squad Leader will be Unassigned. NOTE: Changing Soldier assignments using Bulk Reassign automatically reassigns Action Plans for each Soldier to the new Cadre. When changing an assignment to Unassigned, the Action Plans remain with the original Cadre. On the Soldier Information page, the Transition Board Review Date field is now Focused Transition Review Date to match policy language. Duplicate Challenge text no longer populates on the Printable Scrimmage worksheet. CTP MAs and Administrators must now set a date range when selecting Unavailable for Self-assessment. The Unavailable From date can be today or a future date. Self-assessments will automatically stop generating on the From date and restart on the To date. When a Soldier becomes available, the Self-assessment will generate automatically on the Soldier s next designated Self-Assessment generation day resetting the Soldiers cyclic generation of assessments. If a self-assessment is active and the Soldier is made unavailable, AWCTS cancels the self-assessment and now populates the Cancellation Justification link with the reason for unavailability text written in the detail window. Workflow allowing Battalion Commander approval of mitigation plans for Soldier s identified as High Risk is now available. Battalion Commanders have a new dashboard displaying Risk Assessment information for pending mitigation plan approvals. Selecting the Soldier s name will launch the mitigation plan page. The Battalion Commander can approve the plan by submitting it with no changes. To adjust the plan, the Battalion Commander can make changes to selected mitigation measures or the free text field before approving. If changes are made, a new mitigation plan notification email is generated to all Cadre assigned to the Soldier. All instances of Career Services Program now display Career Skills Program. Transition Coordinators receive an email when a Soldier in Pending Placement CER status exceeds 30 days since they were made eligible for CER. Adding a VR&E activity in CER Prep Activities will no longer generate duplicate entries. The AW2 /RCC role is now available in the Bulk Reassignment tab for CTP MA and Administrators. CER Eligibility status is now consistently displaying in CER System Reports. (Fixed mid-cycle) Identifying a Soldier as Unavailable for Self-assessments after canceling an Active Self-assessment no longer results in a system error. Activities closed when a Soldier is made ineligible for CER are no longer identified as non-compliant in the CER Case AWCTS System Release Notes (v 2.8.12) 6

CER Logs (fix) Log. New log text identifies activities closed resulting from a change in eligibility. CER no longer displays as Cer in log entries. Action Item Detail Character Limit (fix) Action Item Details now allow entry of up to 2000 characters without system error. Non-Federal Internship Duplicate Entries (fix) Attachments Grid (fix) Case Log Character Count (new feature) CER Grid Export (fix) CER Internship Organization (fix) Self-assessment Frequency Link (fix) Off-duty In-processing (change) Soldier Handbook Assignment Information (fix) Case Summary Address Alignment (fix) Creation of a non-federal internship activity will create a single entry in the grid as expected. The grid on the case attachments page now refreshes when adding or deleting an attachment. A character count is now available indicating the characters used in the case log pop-up window. Size is limited to 4000 characters. CER grids now export to Excel without the Edit/Update images. Internship Organization now correctly populates on the Internship grid. When a Soldier is in-processed as inpatient, the selfassessment frequency link is now enabled and no longer results in an error message. The SSN field is now centered to match standard inprocessing. Initial Assignment information now correctly populates in the Soldier Handbook. Soldier address information now displays properly when greater than three lines. Incorrect ability to modify Selfassessment frequency for Soldiers assigned to HHC Action Item Detail textbox does not support formatting If a Soldier is in-processed using Off-duty functionality with a case status of Pending In-Processing and then in-processed normally, a duplicate case record is created Bulk Reassignment creates double Case Logs Refresh the screen (F5) to fill the page. CTP MA must manually change the Soldier s availability when modifying patient status. The initial Self-assessment will generate, but future SAs will not if the Availability is not adjusted. CTP MA must manually change the Soldier s Selfassessment availability to Available. The initial Self-assessment will generate overnight (not immediately). DO NOT modify frequency of self-assessments when Soldiers are assigned to HHC. This is against policy (AR 40-58, 3-11.b). None. The user is notified by a hover-over popup that formatting will be stripped out of any added text. Check the Pending In-Process Tab before initiating a new case.
