Clare Band Boosters Meeting September 13, 2016 Present: Jenni Krause, Linda Wright, Jeremy Chapman, Devin Delong, Emmy Krueger, Darren Acton, Jen Ferry, Jim Cook, Tomi Parsons, Callie Archbold, Shari Lowe, and Director Jason Lowe Meeting was called to order at 7:02 by Callie. Secretary s Report: Jason distributed copies of the minutes from June (regular meeting and electronic meeting) and August 2016. Motion was made by Jim and seconded by Tomi to approve the minutes from June and August 2016. Motion passed. These minutes will be posted on the band s website. Shari agreed to type up Callie s written minutes from the July meeting and will distribute those for approval at the next meeting. Shari agreed to post the monthly meeting agendas on the website. Treasurer s Report: See attached report from Jim. The total currently in the accounts is $13,092.80 Discussion regarding the money in the accounts at the end of the year to maintain the band s 501c3 status. Agreed to develop an annual budget at the end of this year. Jim s accountant, Harrison and Newman CPA will conduct a quarterly review of the band s accounts. Motion was made by Callie and seconded by Linda to have this CPA firm review our books. Motion passed. Motion was made by Tomi and seconded by Jen to accept the treasurer s report. Motion passed. President s Report: Callie reported that band camp went well and there were lots of parents that helped out. She will continue to do a general thank you to parent helpers, so as to not leave anyone out. She continues to be in contact with Melissa DeRoche (past Booster President) about events and how they were previously organized. Discussion regarding issuing the full uniforms to students, rather than issue and collect the items before and after every performance. Linda agreed to explore the cost of replacing the individual uniform parts if damage is done. There will need to be a form for this. Motion was made by Tomi and seconded by Emmy to use this weekend as a trial run for the uniforms (keeping the uniforms from the Friday night game through CMU Band Day). Motion passed.

Director s Report: See attached report from Jason. He is happy to be here and has received a very warm welcome from the students and their parents. CMU Band Day is this Saturday and Jason will contact various restaurants about lunch delivery on Saturday. He also needs five parent chaperones. Old Business: See attached calendar. Added an extra performance for the Combo group on Saturday, 10/29 at the Doherty for the Oddfellows/Rebekah banquet. New Business: The dates for the cheesecake fundraiser have been approved by the school. The sale will be from 10/19-11/11. Jason knows the owner, Scott Schaefer, and agreed to communicate with him about how many students will be participating. Linda agreed to help with the disbursement of cheesecakes. It is usually on the Tuesday of the week of parent-teacher conferences; this year it would be on 11/22. Jason will confirm the day and time with Scott. The potential date for the Notes of New Orleans fundraiser is Friday, 4/7. Jason will take care of a sprit wear order. He has a connection with Hangin by a Thread in Weidman and they can put together a package of a short-sleeve t-shirt, longsleeve t-shirt, hooded sweatshirt, and sweatpants for around $55. Personalization would cost extra. Jason may have a class contest for the design of the t-shirt. The Band Boosters sponsored an ad in the Fall/Winter Sports Booster Programs. Jason and Callie decided together to do it. A decision had to be made prior to this meeting. All supported their decision. The Boosters plan to provide pizza for the students after the Homecoming parade. Linda will arrange the pizza order for next Friday. Jen F. will arrange for a cooler of water. Jason will verify the parade time. Discussion ensued regarding inviting band alumni to return to be on the field. They are welcome to sit in the stands and play with the band, but since Homecoming is next week, it is too late to arrange anything else for this year. Jason will communicate the invitation to sit in the stands via the Clare Bands page on Facebook and on the Gateway Community Band page. The band will perform their halftime show at the conclusion of the football game. For Senior Night, the Boosters will pay for corsages for the seniors. Callie will order these from Clarabella Flowers. Jason will let her know how many they need. The parents will be on the field with their student. Callie will send an email to the senior parents.

Discussion occurred about taking pictures of the band. Jason said that parents are welcome to take pictures of the kids while they are on the field at games. They can do that from the track. Callie will notify the parents of this option and have them check in with her. Discussed a picture day where sections can be pictured together, as well as the whole band. We may be able to schedule it for when the band has practice at Brookwood on 10/13. Darren will contact Bob G. from Guys and Dolls in Clare. Discussed concert uniforms and accessories. We need to schedule a date for tuxedo fittings. Tomi agreed to help with numbering the tuxedo jacks and pants to create an inventory. Jason has investigated replacing bow ties and cummerbunds. There is a deal for $9.55 for a set. The students would like to continue with black ones. Agreed to see what can be salvaged from the current supply before ordering new ones. Public Comments: Linda has looked into the dry cleaning costs. A Mt. Pleasant store has quoted her an estimate of $1400 to clean the uniforms with a 5 day return time. She is looking at an option in Clare and will report back to the Boosters. Jenni suggested a way to show support for the band kids. One way would be to decorate their lockers like they do with the sports teams. Another would be to have yard signs for band families. Jason will pass along these ideas to the Spirit Squad. Callie and Jenni suggested creating an Idea/Suggestion Box to be available at concerts, for parents who would like to suggest ideas anonymously, without the fear of being asked to volunteer for it.
