Sangamon County 4-H Foundation Club/SPIN Grant Program What is the 4-H Club/SPIN Grant? The Sangamon County 4-H Foundation Club/SPIN Grant is intended to provide funds in support of activities and experiences that will enhance the values of learning, leadership and service for 4-Her s involved in community clubs, special interest clubs or Cloverbud clubs in Sangamon County. Clubs that submit a completed application are eligible to receive up to $500.00 after approval by the Sangamon 4-H Foundation Board. Each club in Sangamon County may apply once per 4-H year. How can my 4-H club/spin group use these funds? Funds awarded by this grant program may be used by 4-H Clubs and SPIN Clubs in a variety of ways: Supplement your project work by funding a field trip for your club Pay registration fees for club members attending a 4-H workshop or conference Pay for supplies for a community service project or club event Each grant application will be evaluated on its own merits. If you feel your club or group activity supports the spirit of the 4-H Pledge you can apply to receive the grant. Please note that these funds CANNOT be used to support a fundraising or entrepreneurial effort by the club or used as part of a donation to another organization. Who can apply?: Any community 4-H club, 4-H special interest club (SPIN Club), or Cloverbud club in Sangamon County. When do I need to apply?: Anytime during the 4-H year. This is a rolling application period, so the Sangamon 4-H Foundation will award funds throughout the year. Once you have an idea and plan you may submit an application to the Extension Office at 700 S. Airport Drive, Springfield, IL 62707. The application will be reviewed by the Sangamon 4-H Foundation at the next regular business meeting following submission of a completed application. What s the catch? Clubs who receive a grant are required to send at least one 4-H youth representative to the Sangamon County 4-H Foundation Annual Meeting held in February to make a 5-10 minute presentation about the project or activity they completed. Clubs must submit receipts for any grant funds expended within two weeks following the completion of the project or activity. Any unused funds after completion of the proposed activity are to be returned to Sangamon Co. Foundation. Should the club fail to provide copies of receipts or account for funds they will be barred from applying the following year. Where can I obtain a grant application form? Gym on January 30, 2017. We would like to host two speakers and have three foods from different countries for guests to try. Our event will be from 6:00 p.m. to 7:30 p.m. so parents can attend with their kids after work. We will publicize our event in the local newspaper, in the Extension newsletter and our club Facebook page. Resources: What do you need? Ex. Paper plates and cutlery, Registration materials from members attending conference, a location big enough to host 50 people, laptop and projector Brainstorm the resources you need to accomplish your project. Resources may include supplies, money, expertise, or volunteers. Be specific about details like size of a room, number of servings or costs. Rollcall: Who will be involved? Ex. Committee chairperson, Club leader, Illini Bank President, Choose who will be responsible for the completion of specific tasks. Identify community partners who might be able to contribute the resource(s) you need. Contact your potential partners to see if they are interested in working together to address a community problem. Timeline: When will it happen? Ex. Informational meeting for club on February 23 rd. Committee chairperson will contact community donors by March 1 st. Submit registration materials on March 3 rd. Identify specific tasks to be accomplished in order to plan your activity or event. Decide when, and in what order, each task needs to be done. Make sure that you give enough time for each task. Amount Requested: (Limit of $500) Budget for Amount Requested Ex. $20 for paper products, $100 for groceries, $145 for registration fees etc. Outline and categorize expenses. Page 3 of 4
Applicants are reminded that Clubs awarded a grant are required to send at least one 4-H youth representative to the Sangamon County 4-H Foundation Annual Meeting, typically held in January or February, to make a 5-10 minute presentation about the project or activity they completed. Copies of receipts for purchased items or services along with all unused grant funds remaining must be returned to the Foundation Treasurer within two weeks after the completion of the proposed grant project or activity.
