The Bariatric Surgery Registry Newsletter Issue #11, June 2017 GREETINGS FROM THE BSR! Welcome to the Eleventh Edition of the Bariatric Surgery Registry Newsletter. Another reporting year has to come a close for the Registry. The response to the call for outstanding 2016-2017 follow-ups was overwhelming. The BSR team has been incredibly busy ensuring that all of the data provided will be included in this year s annual report. Our sincere thanks goes out to the surgeons, staff, and public data collectors for their dedicated commitment to the BSR. THE BSR TURNS 5!!!!! The Bariatric Surgery Registry began as a pilot in 2012 with 4 hospital sites: The Avenue (Melbourne), The Alfred (Melbourne), St John of God Warrnambool, and Box Hill Hospital (Melbourne). The findings from the First Annual Report 2013 included data from 681 patients and 714 procedures. Since then, 119 more hospitals have been approved across Australia. New Zealand s hospitals will soon begin to send data from across the Tasman. Whilst maintaining a low opt out rate of 3.7%, the BSR s 30,000 th participant is due to be enrolled in the next few weeks. WELCOME TO OUR NEW HOSPITALS AND SURGEONS Twenty-one new hospitals have attained ethics approval for participation in the BSR-eighteen new private Ramsay Health Sites across Australia and three public Victorian sites from Western Health. Operations at the new Ramsay sites as of 1 JULY 2017 are eligible for inclusion on the BSR. The new sites on the BSR are: Albury-Wodonga Hospital Baringa Private Hospital Cairns Private Hospital Dudley Private Hospital Glengarry Private Hospital Kareena Private Hospital Lake Macquarie Private Hospital Linacre Private Hospital Mitcham Private Hospital Nambour Selangor Private Hospital Noosa Private Nowra Private Hospital Shepparton Private Hospital Southern Highlands Private Hospital St Andrew's-Ipswich Private Hospital Strathfield Private Hospital Sunshine Coast University Private Hospital Westmead Private Hospital Footscray Hospital Williamstown Hospital Sunshine Hospital The updated list of approved hospital sites is found at the end of the newsletter. NEW ZEALAND LAUNCH Nau Mai Prof Wendy Brown and Dr Andrew MacCormick will launch the Bariatric Surgery Registry in New Zealand. Visits and information dinners are planned for Auckland, Wellington and Christchurch. Uniservices of the University of Auckland will support the Registry. Monash BSR Managers and staff will help to train a research assistant employed by Uniservices to perform Registry operations in NZ. The Australian BSR Team extends a warm welcome to our counterparts Nau mai! Locality approvals will be sought in New Zealand for

the following hospitals: Auckland City Hospital Christchurch Hospital Mercy Ascot Greenlane Hospital Middlemore Hospital North Shore Hospital Ormiston Hospital Southland Hospital Southern Cross Hospital Tauranga Hospital Waikato Hospital Wakefield Hospital IMPORTANT ETHICS UPDATE: BSR-i User Access Authorisation Surgeons are reminded that they are responsible for the patient data that is submitted to the Registry, regardless if they are submitting the data directly themselves or assigning the task to other personnel. If your practice manages Registry data on the BSR-i, you are asked to please maintain a record of users who have been authorised to access the online database. A BSR-i User Access Authorisation Form is included with this newsletter. Surgeons are asked to read and sign this form if they allow others to access their BSR-I account. Please note on the form who has been granted to access to the BSR-i and keep it with your records. DATA SUBMISSION: Paper, Fax, or Email? (Australia only) Although most health practitioners use email to communicate about their patients, it needs to be noted that emails are not a secure method of transmitting patient information unless sent with password protection. Hard copy forms should ideally be submitted to the Registry by fax on our secure line or sent by post. Post Paid Envelopes are available should you choose to post your forms. Contact the BSR for envelopes at any time. The Registry will accept emailed forms as long as surgeons accept the potential security risk in doing so. Please check all forms that are scanned to ensure that all data, especially the Patient s name, can be seen on the scan. If BSR staff cannot read a form, you will be contacted to provide the missing information. The most secure method of data transfer to the BSR is to directly submit your data on the online interface, the BSR-i. Please contact BSR staff to set up an accoun FOLLOW-UP WINDOWS Follow-up data is necessary demonstrate that bariatric surgery is safe and effective is with follow-up information of patient outcomes. Perioperative Follow-up Data refers to the period between 20 and 90 days post-surgery. Please note: The BSR will not accept un-eventful follow-ups prior to 20 days after surgery. If a patient is not reviewed to confirm that no defined adverse event has occurred within the 20-90 days following surgery, please indicate BSR to follow-up. Please inform of any defined adverse events that occur prior to 20 days.

Defined Adverse Events Collected by BSR: Unplanned hospital readmission Unplanned return to theatre Unplanned ICU admission, Extended hospital stay Mortality THE BSR BRAND RECOGNITION BSR ON THE ROAD AGAIN!! Establishing and maintaining good relationships between surgical practices and the Registry will continue to drive the BSR in the right direction. Practice visits and dinners are a wonderful way of helping these relationships along. Dr Jenifer Cottrell (BSR Customer Relationship Manager) travelled to the Sunshine Coast and Brisbane to meet with the areas bariatric surgeons and their staff. Jenifer filled in for Wendy Brown giving a dinner presentation in Brisbane. As the Registry seeks to engage bariatric patients as prospective or current BSR participants, their recognition of the BSR brand could be helpful. Consider the use of BSR logo on your practice stationery, email signature, website, Facebook page, blog, etc. Let your patients know that you support the Bariatric Surgery Registry as an important health initiative. Of course, if you are a gold Leading Contributor or blue Valued Contributor, these logos may also be used! Contact Jenifer Cottrell for jpegs of the logos. Queensland surgeons have made a significant contribution to the Registry over the past five years and with the new Ramsay Health sites. As of June 2017, they have made the greatest the contribution to the Registry, narrowly ahead of the BSR s home state of Victoria. And to keep the home fires burning Dinners will be planned in the near future for our Victorian surgeons. Watch for a Save the Date coming soon! QUEENSLAND SURGEONS WIN BSR STATE OF ORIGIN! (APOLOGIES THAT THE VICS ARE COLOURED MAROON!)

Using BSR Data for Further Research As the BSR moves toward to having a complete data set, it is hoped that the data will be utilised for further research purposes. The BSR welcomes the use of its data for research, papers, and presentations. A request for data needs to submitted according to the Bariatric Surgery Registry Data Access Policy. For a copy of the policy or further information, email jenifer.cottrell@monash.edu The number of consented patients on the BSR has reached 27,045 with an opt out rate of 3.68%.
