Exhibit Guidelines SELECTION OF EXHIBITORS The following criteria will be used to select exhibitors: Products are relevant to attendees. Products/Curriculum are aligned with California Academic Content Standards and/or American School Counselor Association Counseling Domains: Academic, Career and Personal/Social. NOTIFICATION OF ACCEPTANCE Those listed as contacts for exhibitors will be notified within five days of receipt of application. Upon acceptance, you will be notified via email and logistical information regarding the event will be sent within 30 days of the event. If you have any questions prior to this time, please feel free to contact us at (909) 815-5222. RESERVATIONS Space will be allocated on a first-come basis. Your table reservation will be confirmed when CASC receives your completed Submittal Form and full payment for your exhibit request. CANCELLATIONS In the event an exhibitor finds it necessary to cancel participation in the CASC Conference, refunds will be made as follows: Cancellations on or before October 15, 2014 will receive a 50% refund. Cancellations after October 15, 2014 will not receive a refund. All requests for refunds must be in writing. NOTE We ask that all exhibitors to keep their booths open until 4:00 p.m. on conference days. LIABILITY The exhibitor assumes all responsibility for any and all loss, theft and/or damage to exhibitor s displays, equipment and other property while on DoubleTree by Hilton Hotel premises, and hereby waives any and all claims and/or demands it may have against the California Association of School Counselors, Inc., HLT Operate DTWC LLC and/or any of its affiliate companies arising from such loss, theft and/or damage. In addition, the exhibitor agrees to defend (if requested), indemnify and hold harmless the California Association of School Counselors, Inc. and HLT Operate DTWC LLC and their respective parent, subsidiary and other related and affiliated companies from and against any and all liabilities, obligations, claims, damages, suits, costs and expenses, including, without limitation, attorneys fees, costs of court and costs of other professionals, arising from directly and/or indirectly and/or in connection with the exhibitor s occupancy and/or use of the exhibition premises and/or any part thereof and/or any act, error and/or omission of the exhibitor and/or its employees, subcontractors and/or agents. ACCEPTABILITY OF EXHIBITS CASC reserves the right to refuse to sell exhibit space to any company it deems objectionable or at cross purposes to the association s mission. Additionally, CASC reserves the right to require exhibitors to remove promotional materials from the show floor that are deemed objectionable. DAMAGE TO PROPERTY Exhibitors are liable for any damage caused to building floors, walls, columns or tables or to any other exhibitor s property. Exhibitors may not apply paint, lacquer, adhesive or any other coating to any part of the facility. Walls, doors, ceilings and mirrors must be free on any materials at all times; no posting will be allowed on any surfaces. FIRE, SAFETY AND HEALTH The exhibitor agrees to accept full responsibility for compliance with local, city and state fire, safety and health ordinances regarding the installation and operation of equipment. Canopies may not be installed over exhibits. ADDITIONAL INFORMATION All demonstrations or other promotional activities must be confined to the limits of the exhibit space. No exhibitor shall assign, sublet, or apportion the whole or any part of the space assigned or have representatives, equipment, or materials from other firms other than his/her own in the exhibit space without the written consent of CASC.

Advertising Opportunities Expand your visibility by placing your company s ad in the CASC Conference. The 500 plus participants expected at the conference use this program as an indispensable guide to events and exhibits during the Conference and often keep their programs for reference. If you are not exhibiting this year, placing an ad in the CASC Conference this is the next best way to reach the hundreds of attendees representing more than 1,000 school districts throughout California. Deadline for Ad Submissions October 1, 2014 Conference Bag Inserts $200 Submit 400 items or less (maximum size 8 ½ x 11 ) for inclusion in the conference bags which are distributed to all conference attendees. Take One Literature Display $150 Submit 300 copies of one piece of your literature, no larger than 8 1/2" by 11" with a maximum of two pages per piece, to be presented in a display in the vendor area.
