This role is also responsible for the writing and project coordination of Grant submissions across the organisation. This role will be responsible for developing and embedding the Philanthropic program at the ADF. Accountabilities include relationship management, system and process design and documentation identifying appropriate philanthropic partners; establishing the organisations fundraising policies and processes; relationship management and donor stewardship; internal coordination and writing of grant applications and related presentations; distribution of key collateral and stakeholder communications such as Annual reports; and timely preparation of acquittals and overall coordination and support for outcomes in the philanthropic trusts, foundations and grants area of the Alcohol and Drug Foundation. Key Relationships Internal Relationships: Head of Marketing & Engagement Marketing & Engagement unit State & National Managers All staff External Relationships: Trusts and Foundations nationally Supporters and other relevant philanthropic stakeholders Government stakeholders Philanthropy Australia, FIA and other key industry bodies Responsibilities Fundraising Operations Develop and implement relevant systems to support establishment an ongoing management of an efficient and effective fundraising program. Develop Fundraising procedures and ensure that these are shared with the broader organisation and that staff are aware of appropriate practices. Work closely with finance and IT as well as other business units to ensure that fundraising processes are coordinated and fit for purpose. Manage the administration of all aspects of the fundraising program. Working closely with the IT team, ensure that the Salesforce CRM is appropriately set up to manage donors as well as prospective donors. Document all relevant information relating to prospective donors in the CRM. Strategic Fundraising Working closely with the Head of M&E and the Marketing and Engagement Team more broadly, develop a strategically aligned fundraising plan that will position the ADF to embark on a program of active fundraising. Develop the content for the necessary fundraising program materials and assets (print and digital) to support early stage fundraising. Establish Bequest program positioning and target market. Working with the M&E time, identify opportunities to connect fundraising to existing and evolving awareness and acquisition campaigns. Grant/submission writing and project coordination Identify philanthropic opportunities that are relevant and appropriate for the ADF s needs and aligned with its strategic intent, circulating a list of opportunities on (at minimum)a quarterly basis. Coordination of tender or grant submission project teams and process, ensuring that project teams are on schedule with allocated tasks, monitor progress and follow up as required to ensure timely progress and completion of projects. Maintain and update information required for tender and grant submissions, and collate information from 2
internal and external resources and organisations required to complete project tasks. Maintain a list of Program and Project Funding priorities which is shared with the Executive Team for their input on a monthly basis. Work collaboratively with Senior Managers and other staff to analyse the opportunities, develop program logic and write appropriately aligned grant submissions, government funding applications and related presentations; including the collation of all supporting documentation and preparation of project budgets as required. Maintain thorough records of work processes by utilising Salesforce contract management functionality. Embed prioritised actions around establishing a Fundraising practice and procedures within the ADF. Research and identify appropriate trusts and foundations to approach for funding. Ensure timely distribution of relevant communications collateral to funding partners Take initiative wherever possible to improve and streamline existing processes, procedures or templates to maximise organisational efficiency. Relationship management In collaboration with the Head of Unit, pro-actively and effectively manage relationships with key funders and stakeholders. Build positive relationships with team members as well as the Executive and other senior staff. Manage a thorough detailed log of all relationship contacts as well as details relating to other partnerships where linked to grant and funding submissions. Ensure timely project management processes, as well as regular and effective internal communications with colleagues and other relevant stakeholders Budgeting and finance Contribute to forecasting of grant/philanthropic income for the ADF Liaise with Finance and Information and Communications Technology as needed to appropriately track revenue, including regular recording of donations in Salesforce database Provide monthly reports on tenders submitted and their outcomes Evaluation and reporting Provide regular progress reports to the Head of Unit on relevant project proposals Ensure timely completion of effective acquittals, including contribution to program and partnership reporting and evaluation activity. Capability Profile Formal Education Relevant tertiary qualification with at least 5 years professional experience in a similar or related role Skills and Knowledge Strong experience in managing and coordinating fundraising programs within NGO s. Ability to work autonomously with minimal direction. Strong strategic mindset, with an ability to innovate and connect opportunities to meet internal needs and priorities, 3
Extensive grant writing experience, with keen attention to detail and the ability to craft a persuasive narrative. Experience in coordinating bid preparation and writing successful grants and tenders including welldeveloped research skills in the collection and collation of data for development of tender and grant submissions. Demonstrated successful track record in working collaboratively across an organisation in the coordination, planning, writing, submission and timely acquittal and reporting on grant and tender initiatives. Demonstrable highly developed project management skills in the coordination of project plans, resources and stakeholder management. Experience in grants research, development and reporting/acquittal. Excellent interpersonal skills that are demonstrated with both internal and external stakeholders with strong skills in liaison, networking and negotiation. Outstanding written and verbal communication skills. Understanding of the fundamentals of effective program and partnership evaluation.
