DANCEWORX CONSTITUTION ARTICLE I Name Danceworx ARTICLE II Purpose The purpose of Danceworx is to provide an outlet for dancers to perform and also to provide an opportunity for dancers to learn and improve technique, in a fun and supportive environment. ARTICLE III Membership Only currently registered students, faculty, and staff may be active members in a registered student organization. Only active members may vote or hold office. We will not haze according to California State Law. We will not restrict membership based upon race, color, national origin, religion, sex, gender identity, pregnancy (including pregnancy, childbirth, and medical conditions related to pregnancy or childbirth), physical or mental disability, medical condition (cancer related or genetic characteristics), ancestry, marital status, age, sexual orientation, citizenship, or service in the uniformed services (including membership, application for membership, performance of service, application for service, or obligation for service in the uniformed services.) I. Tryouts are held at the beginning of each semester. II. All dancers must try out again every semester. Officers must try out for Danceworx core dances. III. Member duties include: a. Attend First General Meeting b. Attend all practices in accordance with our absence policy c. Attend all mandatory dates including Sproul Dress Rehearsal, Tech Rehearsal, and Sproul Shows d. Pay $25 dues each semester, regardless of how many dances they are in IV. Members may only be in a maximum of 3 dances, and Officers may be in a maximum of 4 dances ARTICLE IV.1 Officer Elections All officers will share the following duties: I. All officers shall be held accountable for their duties to ensure the continued existence of the organization. II. Anyone with leadership experience who has been in Danceworx for at least one semester is eligible to run for all offices besides President. To run for President, one must have been in Danceworx for at least two semesters and have held an officer position for at least one of those semesters. III. Presidential elections are to be held before the end of the semester. Only current officers may nominate and vote for the next semester s Co Presidents. The two candidates with the most votes will be selected as the next Co Presidents. IV. Officers are determined by presidents through an application and interview process and not by democratic election. New officer training should be completed by the administrative end of the semester.
V. All positions are to be held for a full semester. VI. In the case that an officer does not fulfill his/her duties, any officer can request for a meeting to discuss the issue. At the end of this meeting, a vote will be held to determine whether any action should be taken, regarding the officer s behavior. A 2/3 vote of all current officers can result in removal of the student from their position as officer. VII. In the event that an officer cannot fill his/her duties, the Co Presidents will either fill the role or recruit another officer to fill the role. VIII. The constitution must be reviewed and updated, if necessary, at least once a semester. IX. In order to fulfill the number of signatories required by the ASUC to be an active organization, the officers who are required to sign up as signatory are as follows: i. Co Presidents (1) ii. Treasurers (2) iii. Showcase Coordinators (2) iv. Public Relations Chair (1) X. All officers must be in charge of handling all purchases and payments of their events, which include personally making the purchase and/or asking another officer to make the purchase. All reimbursements are filed through the ASUC via CalLink. ARTICLE IV.2 Officer Positions I. Co Presidents (2) a. Create calendar of deadlines for each officer b. Plan and organize choreographer and general dancer auditions c. Create a calendar of events for the semester d. Plan and organize First General Meeting, including creating the welcome packet for dancers e. Plan and organize officer retreat and officer meetings f. Plan and organize publicity events (e.g. Cal Day, Calapalooza, etc.) and create and maintain mailing lists from sign up sheets g. Facilitate communication among officers, dancers, and outside entities h. Provide leadership to maintain the cohesiveness of the club i. Create mid/end semester evaluations to be used to assess performance of officers, choreographers, and themselves j. Become trained as ASUC agents II. Internal Treasurer a. Become an agent for the group through a mandatory ASUC training session b. Fill out necessary forms to request Hearst basement space c. Collect and organize dancer information at auditions d. Maintain and update roster of members and mailing list for dancers; ensure members are only in a maximum of 3 dances e. Collect $25 membership dues and ensure that all members have paid (in the event that members do not pay, Internal Treasurer must charge a $1/day late fee and withhold their showcase tickets and apparel until they have paid for both the membership dues and showcase tickets) f. Collect and deposit all money paid to Danceworx, such as membership dues,
apparel money, and showcase ticket money, in a timely manner g. Work with other officers to determine budgets for the semester h. Reimburse members who have made purchases on the group s behalf i. Ensure proper payment for vendors and services that the group may use j. Fill out a midyear budget report and a budget request form through the ASUC to ensure proper ASUC funding in the Spring semester. Both previous Fall and current Spring Internal Treasurers work on report together. i. Internal Treasurer of the previous Fall semester should complete the portion of the midyear budget report that deals with previous expenses k. Maintain the group s budget by keeping a running balance of deposits and expenses III. IV. External Treasurer a. Become an agent for the group through a mandatory ASUC training session b. Plan, implement, and manage fundraising efforts, including the sponsorship program c. Hold a minimum of 1 fundraising event and/or sponsorship d. Oversee Alumni Donations Program Publicity Chairs (2): The role is split into two areas of management as follows: a. Public Relations Chair i. Coordinate the advertising of auditions, workshops, showcases, fundraisers, and any additional events the officers deem necessary ii. Lead any other marketing campaigns to help promote Danceworx related events, activities, etc. iii. Print and distribute promotional materials, such as handbills and flyers, within allocated budget iv. Organize, manage, and send reminders for tabling and flyering activities for officer and members v. Keep Internal Treasurer and Apparel Chair informed of members tabling requirement fulfillment records b. Design Chair i. Create visual marketing and branding materials such as flyers, handbills, and digital graphics for auditions, workshops, showcases, fundraisers, and any other events the officers deem necessary ii. Design program for Indoor Showcase iii. Design tickets for Indoor Showcase (if applicable) iv. Provide Apparel Chair consulting regarding apparel designs V. Showcase Coordinators (2 3): The role is split into two areas of management as follows: a. Indoor Showcase Coordinator (1 2) i. Contact possible venues (e.g. Julia Morgan Theatre, Zellerbach Playhouse, Berkeley High School, etc.) and book planned dates for Indoor Showcase and Tech Rehearsal
ii. Obtain insurance for Indoor Showcase and Tech Rehearsal iii. Fill out necessary forms and contracts for the venues and work with Internal Treasurer to figure out payment for rental costs iv. Assign officers to do sound, lighting, stage manager(s), and MCs for the day(s) of the Showcase(s) v. Organize a Technical Rehearsal so that all performers in the showcase will have a time slot on stage to practice, and organize extra stage time on vi. show day(s) Come up with a show order as to minimize back to back dances for dancers vii. Price tickets for the Indoor Showcase(s) (the goal is to make profit) according to how many seats are available in the venue viii. Coordinate minipiece and guest auditions with Outreach Chair and determine which pieces will be performed in the showcase ix. Amplify the performers music for the show x. Facilitate showcase logistics during the show xi. Work on booking an Indoor Showcase venue for the following semester b. Outdoor Showcase Coordinator i. Go through Event Services to book an outdoor venue (Upper Sproul) and obtain insurance, microphone, and sound amplification for planned Sproul Dress Rehearsal and Sproul Shows dates ii. Fill out and submit Special Events Fire Permit and other required forms (if applicable) and follow through to ensure use of Upper or Lower Sproul for Outdoor Shows iii. Come up with a show order as to minimize back to back dances for dancers iv. Book videographer for both indoor and outdoor shows and coordinate replication of DVDs, including design of DVDs and case covers v. Take DVD orders from dancers and distribute DVDs VI. Outreach Chair a. Serve as a liaison between Danceworx and other organizations outside of Danceworx b. Contact various student groups and invite them to perform in our Indoor Showcase c. Coordinate guest and mini piece auditions with Indoor Showcase Coordinator d. Keep all guest performers informed about relevant Indoor Showcase information e. Collect and compile program information, lighting, and music from Danceworx choreographers and mini/guest performers f. Find and coordinate performance opportunities for Danceworx and relay the information to choreographers g. Make sure each dance does at least one outreach VII. Social Chair (2) a. Organize at least one social per month to cultivate a sense of unity amongst the
dancers in a fun environment. Socials can include, but are not limited to: i. Ice Cream mini social (held within one week after First General Meeting) ii. Dinner social iii. Unofficial social iv. Two additional socials (i.e. rock climbing, ice skating, karaoke, bowling, BBQ, etc.) b. Work with allocated budget to subsidize event fees and set member prices for each event i. Collect money at each event and give to Internal Treasurer for deposit within a week of the event c. Coordinate all social supplies (i.e. utensils, snacks, and drinks) d. Plan Showcase Afterparty, including locating and booking a venue i. Be in charge of coordinating guest list, monitoring guests, and cleaning up e. Plan end of the semester Banquet, including locating and booking a venue, as well as coordinating awards f. Keep track of all expenses and leftover supplies for succeeding Social Chairs VIII. IX. Apparel Chair a. Facilitate the designing, ordering, and distributing of apparel each semester b. Work with Treasurers to determine subsidy budget c. Maintain updated records of apparel inventory and communicate with Webmaster to update Apparel Store information on the Danceworx website Historian a. Document dancers through pictures and videos at auditions, practices, workshops, and social events and upload them to the appropriate online channels (e.g. the Facebook page, YouTube, website, etc.) b. Take minutes during officer meetings and send notes out in a timely manner c. Design and print programs for Indoor Showcase d. Create slideshow for the end of semester Banquet e. Upload and organize videos of dances from showcase(s) to the Danceworx YouTube channel f. Create videos for auditions and/or showcase(s) to help publicize the events g. Write approximately 3 Alumni Newsletters throughout the semester X. Webmaster a. Frequently and regularly update, maintain, and manage Danceworx s online presence and social media activity, including but not limited to: the Danceworx website (dwx.berkeley.edu) and all social media channels (e.g. the Danceworx Facebook, Instagram, YouTube) b. Create a Danceworx Facebook Group after roster is finalized c. Publicize Danceworx events through social media (e.g. Facebook page) d. Create Facebook Events for all Danceworx related events, coordinating with Design Chair to get publicity designs e. Work with Publicity Chairs to execute Danceworx s online marketing campaigns,
such as social media publicity contests f. Maintain updated records of apparel inventory on the Danceworx website s Apparel Store page XI. XII. XIII. Mentorship Chair a. Coordinates Danceworx s mentorship program b. Selects mentors and mentees through application process and facilitates pairings c. Plans at least one mentor/mentee event per semester d. Helps coordinate freshman mini piece Philanthropy Chair a. Coordinates and plans at least one philanthropy event per semester b. Coordinates and plans at least one fundraiser per semester to benefit our selected philanthropy c. Implement plan to create a signature Danceworx philanthropy event Choreographer a. Choose dancers during auditions b. Choreograph and block a dance c. Participate in at least one other dance besides their own d. Serve as an intermediary between dancers and officers e. Host at least one social event within the dance f. Coordinate with Outreach Chair at least one outside performance for the dance g. The number of choreographers will be determined by Co Presidents ARTICLE V Meetings All of Danceworx will meet once each semester for First General Meeting, dancers will meet weekly at their respective practices, and officers will meet approximately every two to three weeks to discuss the organization s operations and plans. All meetings are to be called by the Co Presidents. ARTICLE VI.1 Constitutional Amendments Amendments may be proposed by any member of the Danceworx Officer Board through a written proposal submitted to the Co Presidents, and must be voted upon within 3 weeks of proposal. Active members will be notified by email that an amendment is going to be voted upon and when the vote will take place. The proposed amendment will need a 2/3 majority vote from the active members of Danceworx to pass. All amendments, additions or deletions to this document must be filed with the LEAD Center in 102 Hearst Gym. ARTICLE VI.2 Funds and Expenses A $25 membership fee is required each semester regardless of how many dances the member is participating in. This fee will go towards renting a theatre, putting on a dance workshop(s), organizing group events/socials, and creating marketing materials/dvds. ASUC allocated funds, in addition to any other funds, will be spent according to officers jurisdiction.
ARTICLE VII Dissolution Dissolution will be decided by the current Officer Board. A vote of all current officers can result in dissolution of the organization. All unspent ASUC funds shall remain the property of the ASUC; all Graduate Assembly funds shall remain the property of the Graduate Assembly. After 5 or more years of inactivity, any privately obtained funds left in accounts will be donated to the ASUC carry forward account. Updated May 5, 2016
