I. Purpose: The purpose of this policy is to establish the of the ("MSC"). II. Policy: The MSC President shall be responsible to ensure assignment and provide oversight of all MSC Key Functions as follows: A. Key Functions can be assigned to any Volunteer that is a Member of MSC and are not required to be held by a Board Member. B. Duties of a Key Function may be sub-delegated, however the Key Function holder shall remain accountable for all the duties assigned to the Key Function. C. Additional sub-functions may be established by the President as necessary and will report to the designated Key Function holder. For example, age group coordinators such as U-6 Micros, U-8 In-House, etc. will normally be established and appointed annually and will report to the In-House coordinator. D. The are as follows: 1. Registrar, shall Collect and track all registrations and fees and submit all fees and a summary of registered members to the Treasurer; Enter all registration data in a format acceptable to PA West; Sort registered players by sex and single birth year (i.e. U-8, U-9, etc.) and provide registration forms to In-House & Travel coordinators for distribution to age group coordinators; Maintain an adult membership roster; Maintain a volunteer roster, sorted by activity. 2. Fields Coordinator, shall Obtain field/gymnasium permits from the designated authority (such as Monroeville Parks & Recreation or Gateway School District) as may be required; Coordinate volunteers for painting of the fields; Maintain a supply of field preparation materials including paint, string, tapes, etc.; Coordinate practice fields for In-House & Travel teams, establishing day, time and place; Decide on whether or not fields are playable for games. 3. Equipment Coordinator, shall Maintain a supply of game materials including nets, corner flags, soccer balls, cones, etc.; Provide a first aid kit for each In-House & Travel team; o Maintain a supply of materials to replenish first aid kits as necessary; o Maintain a sign-out list of all coaches that have received a first aid kit; Inquire into ways to procure uniform and equipment needs for MSC; Order awards to meet the needs of MSC; Order uniforms to meet the needs of MSC. 4. Communication Coordinator, shall Publish MSC newsletter (frequency to be determined); Prepare and coordinate news releases, announcements, media campaigns and other official MSC communications including announcement of registration dates; Oversee the design and maintenance of MSC Website and content; Ensure MSC keeps the rights to www.monroevillesoccer.org; Present recommendations to the MSC Board on use of web and other communication technologies; Oversee social media postings (i.e. Facebook, Twitter, etc.) Page 2 of 5
5. Concessions Coordinator, shall Determine concession items to sell; Establish prices of concession items; Maintain and procure inventory of concession items and other stand needs such as napkins, cups, etc; Establish volunteer schedule for concession stand duties; With the MSC Treasurer oversee proper securing and tracking of concession stand revenue; Report to MSC Board on concession stand unbudgeted needs (such as equipment repairs or purchases of building issues.) 6. Development Coordinator, shall Create coach development guides; Create player development opportunities; Seek to establish and maintain partnerships with organizations such as Challenger Sports, Pittsburgh Riverhounds, Gateway High School Soccer, etc.; Set up MSC Travel player evaluation procedures; Facilitate off-season soccer activities. 7. Special Events Coordinator, shall Act as lead for MSC for tournaments hosted or sponsored by MSC such as Kohl's Cup, Jack Frost Indoor Tournament, etc.; Procure photographer for and coordinate annual MSC Picture Day; Coordinate end of year In-House Festival; Coordinate participation in community events such as Memorial Day/4th of July Parades. Coordinate other special events as determined by the MSC Board. Page 3 of 5
8. Referee Coordinator, shall Maintain a referee roster; Recruit referees; Build and maintain referee schedule; Ensure referees are in good standing with PA West; Coordinate training/licensing classes for existing and potential referees; Schedule game fields & times for Travel & Eagles home games for the purpose of coordinating referee availability. 9. In-House Coordinator, shall Seek volunteers to fill all In-House team coaching positions; Maintain an In-House coach roster; Oversee creation of In-House team rosters; Develop Field Lining schedules for U6 & U8 fields; Create and distribute U6 and U8 game schedules. 10. Eagles Coordinator, shall Seek volunteers to fill all Eagles team coaching positions; Maintain an Eagles coach roster; Oversee creation of In-House team rosters; In conjunction with Travel Coordinator (as necessary), develop Field Lining schedules for fields that will be used for Eagles program; Assist PA West Eagles Program Coordinator (as necessary) with creation of Eagles game schedules and distribute schedules to MSC teams once created. 11. Travel Coordinator, shall Be the coordinator for all MSC Travel teams, seeking volunteers to serve as coaches for each Travel team; Maintain a Travel coach roster; Page 4 of 5
Oversee the creation of team rosters for Travel teams based on evaluations; In conjunction with the Eagles coordinator (as necessary) develop Field Lining Schedules for fields that will be used for Travel. E. In addition to the Key Functions and duties outlined above, and in addition to the duties otherwise assigned by the By-Laws of and Policies, the following additional duties shall be maintained by the MSC executive officers as outlined below: 1.
