Summary of the Monthly Board Meeting, January 12, 2017 The Habersham County Board of Education met in a Work Session on Thursday, January 12, 2017 at 4:00 p.m. in the Board of Education Meeting Room. Present were: Dr. Robert Barron Russ Nelson Pat Taylor Doug Westmoreland Rick Williams Matthew Cooper, Superintendent Jennifer Thacker, Board Attorney Vice Chair Dr. Robert Barron called the work session to order. The Board amended the work session agenda as follows: Add 2017-2018 School Calendar Discussion/Inclement Weather Make-Up Plan Discussion Renumber work session agenda accordingly Angela Robinson led a 2017-2018 school calendar discussion. Ms. Robinson reported the calendar committee is preparing 2 calendar drafts to present to the Board during the February monthly board meeting for review. Matthew Cooper and Angela Robinson led an inclement weather make-up plan discussion. The Board agreed to amend the regular monthly board meeting agenda to add the following business item: Approve Inclement Weather Make-Up Plan Denise Gunn, Staci Newsome and Matthew Cooper led a Hazel Grove Elementary School and Woodville Elementary School Additions/Renovations Project discussion, which included a projected timeline. Dennis Unbehant presented information regarding the recent request for proposals for an E-rate Network Upgrade. The deadline for submitting proposals was October 24, 2016 with 8 bids received. The Network Upgrade Committee recommended proceeding with Cirrus Networks and the HP-Aruba solution. Mr. Unbehant also presented a projected timeline. Approval of a Contingent Agreement with E-rate Vendor (Cirrus Networks) will be a business item during the regular board meeting to follow at 6:00 p.m. Dennis Unbehant, Staci Newsome and Jennifer Chitwood presented information including costs regarding Fairview Elementary School technology needs. Requested technology items are as follows: 150 Chromebooks at $212.00 each for a total of $31,800.00 5 Charging Carts at $1,150.00 each for a total of $5,750.00 22 imac 21.5 inch Computers at $1,049.00 each for a total of $23,078.00 Proposed technology purchases total $60,628.00.

The proposed purchases would utilize 2005 Bond Funds (Fairview Elementary School Construction Surplus Funds) and leave a zero balance. Approval of Fairview Elementary School Facility/Technology Purchases Utilizing 2005 Bond Funds (Fairview Elementary School Construction Surplus Funds) will be a business item during the regular board meeting to follow at 6:00 p.m. Matthew Cooper and Dr. Robert Barron led a discussion regarding upcoming board meetings for 2017. Approval of Board of Education Meeting Dates for 2017 and January 2018 will be a business item during the regular board meeting to follow at 6:00 p.m. The Board unanimously voted to enter Executive Session for Personnel and Real Estate reasons as described in the board minute s affidavit. The Board unanimously voted to exit Executive Session. No action was taken during Executive Session. The Habersham County Board of Education held its regular monthly meeting at 6:00 p.m. on Thursday, January 12, 2017 in the Board of Education Meeting Room. Present were: Dr. Robert Barron Russ Nelson Pat Taylor Doug Westmoreland Rick Williams Matthew Cooper, Superintendent Jennifer Thacker, Board Attorney Vice Chair Dr. Robert Barron called the meeting to order. Pastor Mike Franklin of The Torch gave the invocation. Hazel Grove Elementary School students led the Pledge of Allegiance to the Flag. Jennifer Thacker presided over the election of board officers for 2017.

The Board elected the following Board Officers for 2017: Chairperson Dr. Robert Barron Vice Chairperson Pat Taylor Chair, Dr. Robert Barron conducted the remainder of the meeting. The Board amended the agenda as follows: Change wording of business item #11b Approve Contingent Agreement with E-Rate Vendor Cirrus Network and the HP Aruba Solution as recommended by the Network Upgrade Committee Add business item #11f Approve Inclement Weather Make-Up Plan The Board unanimously approved the amended agenda. The minutes from the following were unanimously approved: Regular Board Meeting, December 12, 2016 Dr. Barron and the Board welcomed Doug Westmoreland. Under announcements and recognitions, Pat Taylor presented The Extra Mile Award to Tonya Church, Art Teacher at Level Grove Elementary School. Darlene Hudson and Keith Berry made the nomination and in their nomination state: Mrs. Church serves as team leader for our specials Art, Music, PE, and she goes the extra mile to help coordinate and implement special programs for our students beyond the norm. This year, the specials team developed an enrichment program for fourth and fifth graders. All fourth and fifth graders apply for a choice special to be held on Mondays: The Bulldog Show Choir, The Bulldog Banner, and The Bulldog All-stars. The purpose of the program is to allow students to make choices based on their strength areas and give them an opportunity to development their talents further. Mrs. Church desired to use her experience as a graphic designer and promote student writing and creativity by sponsoring The Bulldog Banner, a school-wide newspaper. The students in her group learn how to interview, write news stories, illustrate, and create a printable layout that looks professional. The second edition of The Bulldog Banner consists of eleven articles, multiple graphics and pictures, student and adult interviews, and a game page for children. Mrs. Church spends much time outside of the school day editing and preparing the Banner for publication and distribution. In addition, Mrs. Church is working on a plan to introduce our students to Lego STEAM lessons using Lego materials we recently received due to a grant written by one of our student s parents. She is researching the instructional components to maximize this resource and will provide training for our teachers to use the materials in their classrooms to enhance academic curriculum in all areas. Mrs. Church also collaborates with school leaders to develop a positive school culture focused on helping every child succeed and maximize their potential. Mrs. Church received a framed certificate of recognition and a gift certificate to Zaxby s. Rick Williams presented the Service Above Self Award to Sheree Irvin, Kindergarten Paraprofessional at Level Grove Elementary School. Lynn Augustine, Patrice Hartson, Ruth

Ward, Melissa Rice, Savynna Smith, and Cari Higgins made the nomination and in their nomination state: Sheree spent her Thanksgiving Break decorating the kindergarten hall for our kindergarten students. Our hall looks fabulous! We appreciate her hard work and dedication to have this done before students came back from Thanksgiving break. The children were in awe when they saw their hallway decorated as a winter wonderland. Mrs. Irvin received a framed certificate of recognition from the Clarkesville Rotary Club and a gift certificate to Hawg Wild BBQ. Stephanie Walker, Habersham County Schools Transportation Coordinator, introduced and recognized the following students as winners of this year's School Bus Safety Poster Contest: Middle Schools Winner (6th - 8 th grade) Ava Brookshire, 6th Grade, North Habersham Middle School Elementary Schools Winners 1st Place - Ian Abernathy, 4th Grade, Clarkesville Elementary School 2nd Place - Connor Rice, 2nd Grade, Cornelia Elementary School 3rd Place - Madie Rice, 3rd Grade, Clarkesville Elementary School Each student received a certificate of recognition and a monetary gift. Congratulations! Mr. Cooper presented the strategic plan report. The focus of the report was 2016 CCRPI System results. Denise Gunn brought the facilities report. Staci Newsome brought the financial report. Staci Newsome presented a FY 2018 Budget Calendar to the Board for review. Following Mr. Cooper s recommendation, the Board unanimously approved the financial report as presented. In the Superintendents Report, Mr. Cooper welcomed Doug Westmoreland to the Board. Work session will be held Thursday at 4:30 p.m. prior to Monday s regular meeting unless otherwise posted. Dr. Barron read the above dates and information aloud to those attending. The Board unanimously approved the AP Capstone Program at Habersham Central High School. Following Mr. Cooper s recommendation, the Board unanimously approved the following Inclement Weather Make-Up Plan: Approved grace days for student inclement weather absences on January 9, 2017 and January 10, 2017 Designated June 1, 2017 as an inclement weather make-up day for staff absence on January 9, 2017 Approved February 17, 2017 to remain a holiday

There were no public comments. The Board unanimously voted to adjourn the meeting.
