HHS PTSO Executive Board Job Descriptions 2016-17 Co- Presidents Paula Taebel and Brittany White Oversee HHS PTSO organization and executive board. Lead monthly membership meetings and executive board meetings. Coordinate PTSO activities and programs with chairpersons, HHS administration and staff. Maintain calendar of events and manage chairman roster. Represent HHS PTSO at Area Council and other district activities. Officially report on PTSO activities once annually at Area Council, HHS BOE, and Incoming Freshman event. Co-Vice Presidents Jen Kolsky and Diane Zall Support PTSO Co-Presidents. Attend monthly PTSO meetings and executive board meetings. Give PTSO presentation at May Freshman Orientation program and encourage membership. Treasurer Andi Zimmerman Prepare monthly financial statements for PTSO meetings, keep accurate records of receipts and expenditures, play key role in developing budget, collect and deposit dues, pay taxes -- 990s Nov 15 and non-stock filing Sept 30, perform yearly audit, pay insurance premium and submit annual documents on Nov 15 to Area Council treasurer. Attend monthly PTSO meetings and executive board meetings. Secretary Jennifer Mackinnon Take minutes at monthly HHS PTSO meetings and distribute to membership. Maintain records of minutes and submit to HHS to update website. Take minutes at executive board meetings as needed. Maintain archives of important documents and forms for HHS PTSO. Write and mail thank-you notes and letters as needed. Attend monthly PTSO meetings & executive board meetings. Freshman Reps Kathy Konik, Janet Gebhardt, Katie Maleki Host the Freshman Coffee (8:15 a.m., Thursday, September 15 th ) before the September PTSO Meeting. Involves getting the refreshments (i.e. coffee, juice, bagels etc.) request donations from freshman parents by posting in Short Kilts. Host the Welcome Center during the Incoming Freshman Orientation Night (6:00 pm May 15). Involves getting cookies and water donated from current freshman parents. Greet incoming freshman parents during reception and encourage membership. Sophomore Reps Joanne Davidson and Kathy O Leary Host the Sophomore Coffee (8:15 a.m. Thursday, January 19th) before the January PTSO Meeting. Involves getting the refreshments (i.e. coffee, juice, bagels etc) request donations from sophomore parents by posting in Short Kilts. 1
Organize meal for Teachers at Parent/Teacher Conferences for the 3 rd Trimester (Thursday, April 27). Meal is held prior to Conferences at 2:30 PM. Work with Nancy Kress to decide what to serve and get sophomore class parents to donate. Junior Reps Diana Levy, Bridget Sandlow, Andi Zimmerman Host the Junior Coffee (8:15 a.m., Thursday, October 20 th ) before the October PTSO Meeting. Involves getting the refreshments (i.e. coffee, juice, bagels etc.) request donations from junior parents by posting in Short Kilts. Communications/Short Kilts Carolyn Glueckert Serve as editor of the weekly electronic newsletter, Short Kilts. Scour all online resources -- i.e. HHS website, Boosters website, Highlander Online, etc to gather information to report. Produce separate edition, Senior Kilts, for senior families with information specific to senior class families leading up to graduation. Grad Greetings Laura Rowe and Wendy Kennedy May Coordinate Grad Greeting books for senior class. Involves sending a mailing to all HHS families, publicizing to the MTSD community, accepting submissions and payments and working with vendor to produce booklets. 2

Homecoming Tricia Lewinsky, Jennifer Zoeller, Susie Auchter, Diane Zall Homecoming week: October 4 th 7th Decorate the stadium prior to the Powder Puff game and take down the Saturday after the game (Contact past chairman, Brenda Quick about getting decorations stored at her home) Sell tickets to students during lunch hours the week of Homecoming Place and take down signs Distribute and collect parade-car signs at parade Coordinate with Student Council faculty advisor, Dawn Pfaff Grounds Beautification Sharon Brink and Chris Siegel Beautification/Landscaping Event: TBD Help keep HHS grounds maintained as committee sees fit. Coordinate with principal and staff for major projects and courtyard access. Oversee planters, rain barrels, weeding, mulching etc. Leave a Legacy Andi Zimmerman and Traci Lappin Spring Coordinate with MTEF & principal Solicit donations from senior class families for a legacy gift to HHS Mini-Grants Connie Kittleson Oversee mini-grant awards to teachers and staff. Promote program, review applicants with principal, present proposals to HHS PTSO membership and communicate with applicants and staff liaison. The committee nominates an eligible person for each Executive Board position to be filled and reports nominees at the regular meeting in April, at which time additional nominees may be made from the floor. Recruit parent volunteers by email, Short Kilts and middle school newsletter. Student Family Contact Book Laura Mullins, Roxanne Lentz, Kathy O Leary Oversee development of contact book. Coordinate with MTSD for download of family information. Review for accuracy and coordinate with vendor for printing. Sell ads for contact book to help offset cost of printing. Work with PTSO Exec Board to determine optimal method of distribution. Senior Dinner Stephanie Clark, Alex Pasher, Tricia Lewinsky Senior Dinner: Sunday, June 4 Oversee dinner event - promote, coordinate food, decorations and program. Staff Appreciation Wendy Kennedy, Kelly Starsky, Sarah Langhoff Appreciation Week: May 15-19 Oversee appreciation events throughout the year. Coordinate donations and volunteers for back to school breakfast, conference snack cart, staff appreciation week activities and staff appreciation week luncheon.
