15th annual VIATeC FOOD BANK CHALLENGE Thank you for participating in this year s challenge. For the 15th year, VIATEC is challenging companies in Victoria to compete in an effort to raise $100K in food and cash donations for the Mustard Seed Food Bank! A large percentage of our community members are employed families struggling to make ends meet. The Mustard Seed does an amazing job providing support, helping 7000 people/month, but they can always use more help... and that s where we come in! Keep in mind that food donations are great, but cash goes a longer way! The VIATEC Food Bank Challenge runs from October 27th to December 1st. We welcome all companies located in the Greater Victoria area to participate; non-tech companies too! VIATEC will recognize two categories: the Greatest Overall Contributor and the Greatest Per Employee Contributor. Participants will be thanked and recognized throughout the challenge and the winners will be celebrated at the VIATEC Member Nog n Mingle on December 14th (details TBA). there s so much more that we can do! Let s show all of Victoria how our community gives back! What we need from your company is 1 volunteer to oversee the campaign at your office for five weeks. This Company Coordinator should be a pro in communication, rallying the team and just being an overall superstar. The VIATEC Food Bank Challenge has been running for 15 years. Since its inception, $2,071,563.94 value of food and cash has been donated from participating Greater Victoria companies! Last year $76,664.60 in cash and 5,441 pounds of food was donated to the Mustard Seed Food Bank, but Your main VIATEC contact: Molly Pilchar, Events Manager mpilchar@viatec.ca PAGE 2

info TIDBITS 1. GET READY, SET, ENGAGE! We totally get it if you re the silent type, but no need to be modest about your fundraising accomplishments - spread the word! Post pictures on social media (), create competition with other participants, get creative with your fundraising efforts and most of all, have a blast with your team while doing it! Can t think of a unique fundraiser? Ask Molly at mpilchar@viatec.ca 2. SHOW US THE MONEY Cash donations enable the Food Bank to purchase fresh fruit and veggies. Additionally, money goes further into the new year when donations are often much slower. The Mustard Seed also has a much higher buying power with a dollar often doubling it for needed goods. Please make all cheques out to: Mustard Seed Food Bank 4. TAX RECEIPTS You will receive a spreadsheet to manually track all your donations and record addresses for tax receipts. This one file should be emailed to mpilchar@viatec.ca on Nov 30th in order for the receipts to be issued. Please do not send to the Mustard Seed directly as we will compile the files for them. 4. FINAL SCORING Online donations can be made on viatec.ca (NOT on the Mustard Seed s site). In order to ensure the donations are included in your company total: 1). The donator will need to enter your company name at the end of the form on viatec.ca 2). VIATEC will then send your coordinator the online donations made for you that week every Thursday afternoon 3). You will then include these amounts and info on your tracking sheet for submission the next day at 1pm! 3. SUBMISSION DEADLINES We will divide each company s donations by the number of employees it has at its Victoria office to determine the Greatest Per Employee. Per Employee calculation example: $10,000 / 50 employees = $200 per employee $5000 / 10 employees = $500 per employee (winner) The Greatest Overall Contributor will not factor in the number of employees and will be based solely on the amount of cash and food collected. The final weight of food will be converted into a cash value and added to your cash tally. 1 pound = $2.50 Each Friday by 1pm, your Company Coordinator will need to submit the online cash donation form for that week only. This is for cash/cheque/online donations only - food is weighed on Dec 1st. VIATEC will then issue updates and let everyone know who is leading and who needs to step it up! TO PARTICIPATE IN THE Greatest PER EMPLOYEE CATEGORY you must specify in the registration form the total number of employees at your Victoria location. PAGE 3

DROP IT LIKE IT S HOT... POTATOES FINAL DROP-OFF DAY & WEIGH-IN VIATEC staff and Mustard Seed volunteers will be at the Mustard Seed Street Church (625 Queens Ave) on December 1st from 12pm to 3pm to accept your cash and food donations (a scale will be on site). All participating companies must come by in this time frame, at this location. **Please bring ALL your cash/cheque donations and a copy of your tracking spreadsheet with you in a sealed envelope with your company name on it!** Remember to make all cheques out to: Mustard Seed Food Bank. If you d rather drop off your cash to VIATEC on a weekly basis, we re happy to collect on Fridays between 2pm and 4pm. Email mpilchar@viatec.ca to coordinate. Winners will be announced on December 14th at the VIATEC Member Nog n Mingle! HIGH DEMAND ITEMS We have included a list of requested items from the Food Bank. In addition to cash donations, these are the items that are the most in demand and will make the most difference PEANUT BUTTER FRUITS & VEGGIES (CANS/CUPS) BEANS & PEAS (CANS/DRIED) FISH & MEAT (CANS) Pasta, Rice & OATMEAL (Dry) CANNED & PACKAGED SOUPS HOT & COLD CEREALS PASTA & COOKING SAUCES SNACK ITEMS (BARS, FRUIT CHEWS, ETC) Juice & Milk Tetras (SOY, RICE, ALMOND) BABY FORMULA, FOOD & CEREAL TODLER FRUIT PACKETS DIAPERS & PULL-UPS TOILETRIES (SOAP, TOOTHPASTE, DEODORANT, ETC) PAGE 4

HELPFUL HINTS FOR COMPANY VOLUNTEERS TO KEEP THE BUZZ AND DONATIONS FLOWING IN! 1. Count the number of donations you ve received several times throughout the week and email the counts to your fellow employees. 2. Consider setting up an in-house competition or putting on your own fundraising event (Silent auction, etc). 3. Keep the collections for each week separate so your counts don t get confused. 4. If you d like VIATEC to hold onto your cash, email mpilchar@viatec.ca 5. Have your CEO challenge another CEO and put some real competition into it! 6. Remember. have fun! While this is all about helping people in need, the more fun you put into it the more people will want to get involved and donate. OTHER WAYS TO INCREASE DONATIONS: 1. Start Early Get a head start on the competition. Don t depend on a last minute donation spree to surpass your rivals. It could be too little, too late. 2. Spread the Word Post photos on social media of your food stock pile or your team having a blast! Use and we ll include it in the weekly update. 3. Cash Donations Cash money! The Mustard Seed has bigger buying power when it comes to the grocery stores and can get more bang for the buck. This includes online donations on viatec.ca 4. Be a Leader Show your co-workers the way. Offer incentives to encourage them to meet a challenging donation level or offer to match their donations with your own!
