The Museum of Casa Grande / Casa Grande Valley Historical Society Public Service Award Agreement PSA 615-13 (FY 2015-16) 4 rd Quarter Report July 15, 2016 About The Museum The museum, founded in 1964, has preserved the history and heritage of the Casa Grande Valley for over 50 years. Our mission is to preserve, interpret, and disseminate the history of the Casa Grande region. Our vision is to curate collections and exhibits that celebrate our diverse heritage; to provide inspirational educational and public history programs; and to foster cultural experience and education through exhibits, events, and programs. Administration, Operations, and Board The Casa Grande Valley Historical Society operates as The Museum of Casa Grande. The Casa Grande Valley Historical Society remains the legal name of the entity with a registered dba The Museum of Casa Grande. The Museum is a modern and active organization that interprets our heritage in a contemporary context. The new name and expanded programs demonstrate our efforts to welcome new generations to the museum while acknowledging the value of our heritage in the iconic old stone church silhouette. The name demonstrates pride in our city and represents the connection between the history of what our early founders built and what we value today. The museum office operates internally on a Mon-Fri schedule for operations and maintenance outside of open-gallery hours. The office is open to the public 9a-1p on Thursday and Friday and by appointment. The museum currently employs two part-time staff members, Erin Henderson our Museum Coordinator and Jennifer Pederson our Education Coordinator. In addition to paid staff members, the museum has five part-time volunteers with dedicated roles in archives, collections management, and accounting that are considered staff members. The museum has approximately 30 volunteers with dedicated roles, single-project, and long-term project responsibilities. The Board of Directors currently consists of 10 members. Hours of Operation & Major Projects The regular gallery season is mid-sept through mid-may from 12noon 4pm Thursday through Sunday and we are open on the Second Saturday of June, July, and August. The season opening date was September 26, 2015. This quarter, April 1 June 30, the museum property and galleries were open 24 days for a total of 96 public hours (not including opening and closing procedures) and an additional 16 hours for special events. Major projects and operations this quarter have included: - Expanding our new education and curriculum plans for fieldtrips, youth groups, and adult tours by providing traveling educational programming that engage with individuals in the community. - Hosted field trips for 192 students from Cactus, Villago, and Casa Grande Middle Schools. Our Education Coordinator also did school visits prior to the field trips to give students an introduction to the Museum. She also did follow-up visits to the schools to give the students an opportunity to ask any questions they might have about the Museum. - Partnered with Dee Dee Davis and her Vista Grande Literati program by hosting their season finale shoot-out in our historic Trekell Barn in April. - Public programs including History Speaks! Historic Speaker Series on 2 nd Saturdays at the Museum and 3 rd Thursdays at the Dorothy Powell Senior Center both provided free to the public. The final speakers of the season were in April. - Designed and installed Summer Past Times exhibit in City Finance and Administration Building. - Coordinated and hosted the Pinal County Museum Meet-up. We had 30 representatives from museums across the county participate. - Hosted the Buffalo Soldiers in addition to our regular History Speaks! speakers. - Applied for the Gila River Indian Community Grant in hopes of receiving funding for another much needed staff member. Also applied for the Arizona Historical Society grant for assistance in funding the 2016-2017 season programs and the Arizona Historical Records Advisory Board grant for staffing a trained archivist to digitize some of our collections for display as part of the Arizona Memory Project. - Coordinated and hosted our annual Night at the Museum fundraiser. This year s theme was the 100 year anniversary of the Casa Grande Fire Dept. We had great attendance and even received a visit from some local firemen. - Although we are technically closed to the public for the summer, our Education Coordinator gave private tours to various groups that called and wanted a tour of the Museum: o May- hosted 10 4 th /5 th grade Boy Scouts o June- partnered with Blackbox Foundation by hosting 20 of their summer camp students o June- hosted a group of 16 from the Church of Jesus Christ of Latter Day Saints o June- hosted 20 family members in town for a family reunion - Ongoing curation of collections relevant to the history of Casa Grande. Received multiple artifacts and archival collections related to long-term residents and historic figures in CG. Museum Staff The Museum currently employs two part-time staff members: Erin Henderson, Museum Coordinator and Jennifer Pederson, Education Coordinator. Staff responsibilities include facility operations, curation and exhibit development, engagement with K-12 audiences through field trips and traveling programs, historic preservation and advocacy, marketing and outreach, member and fund development, grant writing, tracking visitor data, and volunteer recruitment. Both work with volunteers, the board, interns, and community partners to fulfill the mission and vision of the museum. The museum is a member of multiple local, state, and national historic and preservation organizations. Staff expenses for the fourth quarter: $7,150.00 Volunteers Volunteer roles include: greeters, archives preservation, collections management, exhibit development and installation, artifact research, education and programming, technology support, maintenance and facility repairs among others. Currently hosting approximately 25 volunteers including board members. Total volunteer hours this quarter: 794.50 Museum Visits, Education, and Programs April-June: 24 open days, total of 96 public hours, and an additional 16 hours for special events. Education is a fundamental element of the mission of the historical society. The museum partners with organizations to provide a wide range of programming in history, arts, and humanities in support of our vision to foster cultural experience and education. Museum programs are designed to fulfill our mission and vision. Additionally, we are including professional development workshops for museum and archives professionals in our education plans. In the last quarter of the season programs included: o Hosted fieldtrip for the Boy Scouts of America o Hosted fieldtrips for Cactus, Villago and Casa Grande Middle Schools Casa Grande Valley Historical Society, PSA 615-13, 4th Quarter Report Page 2 of 5

o Twice monthly speaker series o Second Saturdays, monthly special events for children throughout the summer Crafts of Cinco de Mayo- May 2014 Make your own Casa Grande board game activity-june 2016 Total youth served through educational programs: 192 Total persons served directly through public programs: 104 Total Gallery Visitors this quarter: 290 Total Revenue from all programs: $347 Total Expenses for all programs: $40 Participation in Community Events, Outreach Programs, and Public Programs The museum strives to contribute to the quality of life and cultural experience for Casa Grande residents and visitors. As a mission-driven organization participation in these events supports our efforts to promote cultural and educational resources for the Casa Grande community. Additionally, participation in these programs promotes the City of Casa Grande as a community. - Coordinated and hosted quarterly Pinal County Museum Meet-Up in Heritage Hall- April 2016 - Hosted History Speaks! at the Museum and the Dorothy Powell Senior Center in April 2016 - Hosted the Buffalo Soldiers in Heritage Hall- April 2016 - Partnered with the Casa Grande Vista Grande Library Literati book club by hosting the season finale shoot-out in our Trekell Barn. - Partnered with Blackbox Foundation by hosting their summer camp students - Met with members of the Zonta to discuss a partnership next January - Met with Marilyn Szabo, photographer and curator of At Work in Arizona: The First 100 Years, a project of Alliance Bank of Arizona about displaying some of our photos in their banks. Total participation hours: 82 Facilities Property income supports facility maintenance, utilities, and general operations. The museum has not undergone any real significant repairs this quarter. We had some maintenance done on one of our airconditioning units in Heritage Hall. Total Revenue from properties: $6,477 Total Expenses for properties: $2,000 Museum Gift Shop The Museum Gift Shop provides unique gifts and historical resources (books, journals, postcards, maps, etc.) specific to the Casa Grande region. Sales revenue supplements museum income and directly benefits museum exhibits, research, and programs. Total revenue: $675 Membership The museum is a community based nonprofit organization and membership is a vital component of the operations model. Members are granted unlimited admission to the museum galleries and also receive discounts at the gift shop and some events. Annual membership dues are based on original joining date, and all members are invited to the museum s Annual Meeting. Membership revenue: $1,826 Admissions Admissions, like membership and the gift shop, provide funds for general operations. Fees are based on age and pre-scheduled groups at a reduced or no fee entry based on the program designed for the group. General Admission is $5, senior rate is $4, and children under 16 are admitted for free. Admission revenue: $600 Fundraising and Grants Museum funding supports operations, preservation, and educational programs. General donations, planned giving, the brick sponsorship project and honorary memorials are other sources of fundraising income. The museum hosts two major fundraising events each year. Night at the Museum was April 9, 2016 and our Hot Wings for History event will resume this fall. Total donations, memorials, and fundraiser this quarter: $15,500 Archives, Collections, and Exhibits The archives and artifact collections are available for research year-round by appointment and include invaluable primary resources. They are utilized by the public, by community organizations, and businesses to support proposed and ongoing projects. Fees are collected only for the printing, publication, copy, and use of photographs or archives. There is no fee for research. - Provided research and materials to patrons by request - Museum volunteers processed and catalogued over 250 artifacts - Continued work on 2 new exhibits to open in the fall - Continued process of reorganizing archives to improve access - Used a selection of archival materials and artifacts as teaching tools for K-12 programs - Sent Dallis Collection films for digitization/preservation- AHRAB 2015 funded project Total public service research hours: 92 (does not include research for catalogue process) Total artifacts & archives revenue: $75 Archives, Collections, Exhibits Expenses: $150 Conclusion The museum directly and positively impacts the quality of life for residents of the Casa Grande region through its mission to preserve and disseminate the history of our region by employing historic resources, properties, and partnerships. We are continually adding new programs and outreach activities to draw awareness to the deep and colorful history of Casa Grande and to support the ongoing growth of cultural events in the community. We wish to thank the City and the community of Casa Grande for continued support. We could not accomplish the work without the ongoing support of our community leaders and volunteers. Major projects and operations this year have included: - Expanded our new education and curriculum plans for fieldtrips, youth groups, and adult tours by providing traveling educational programming that engage with individuals in the community. - Participated in the national Smithsonian Museum Day Live! events on September 26, 2015 and on March 12, 2016. - Hosted field trips for 450 students from Ironwood, Mesquite, and Cottonwood Elementary Schools; Cactus, Villago, and Casa Grande Middle Schools; PPEP Tec High School, Arizona Home Schools, the Boy Scouts of America, and the Blackbox Theatre Summer Camp. Our Education Coordinator also did school visits prior to the field trips to give students an introduction to the Museum and follow-up visits to the schools to give the students an opportunity to ask any questions they might have about the Museum. - Hosted the Chamber of Commerce Business After Hours event - Initiated internship program with CAC, hosted CAC interns - Partnered with Dee Dee Davis and her Vista Grande Library Literati program by hosting their season finale shoot-out in our historic Trekell Barn in April. Additionally, participation in these programs promotes the City of Casa Grande as a community. - Coordinated quarterly Pinal County Museum Meet-ups at Oracle Historical Society/Acadia Ranch Museum-July 2015; Apache Junction/Lost Dutchman Mine Museum-October 2015; Coolidge Historical Museum-January 2016; and hosted the Pinal County Museum Meet-up here in Heritage Hall-April 2016 - Hosted History Speaks! featuring speakers from AZ Humanities at the Museum and the Dorothy Powell Senior Center (October 2015-March 2016). - Outreach and information table at local schools and various events throughout Casa Grande. - Monthly participation at Casa Grande Main Street Downtown Street Scene events - Provided a meeting space for the Casa Grande Valley Fine Arts Association, 2015. - Entered our historic 1927 LaFrance Firetruck in the Veterans Day Parade, Electric Light Parade, Rodeo Days Parade, and showcased it at various downtown events. - Hosted the Buffalo Soldiers in Heritage Hall- April 2016 - Attended events hosted by neighboring historical societies (Coolidge, Florence, Casa Grande Ruins) - Partnered with the Vista Grande Library Literati hosting the season finale shoot-out in our Trekell Barn. - Hosted a partnership Comedy Night event with Blackbox Foundation- March 2016. Also hosted their summer camp students for a tour and activities- June 2016. - Met with members of the Casa Grande Zonta to a partnership next January Total participation hours: 663 Facilities Property income supports facility maintenance, utilities, and general operations. This year the museum has undertaken repairs and painting to interior museum walls both in the gallery and storage areas. There is ongoing maintenance of our a/c units as some of them are getting up there in age. monsoon rains. There was also some brake work done to our historic Fire Engine #3, in addition to the regular monthly maintenance and facility costs. Total Revenue from properties this year: $28,296.00 Total Expenses for properties this year: $21,396.00 Museum Gift Shop The Museum Gift Shop provides unique gifts and historical resources (books, journals, postcards, maps, etc.) specific to the Casa Grande region. Sales revenue supplements museum income and directly benefits museum exhibits, research, and programs. Total revenue this year: $3,640.59 Membership The museum is a community based nonprofit organization and membership is a vital component of the operations model. Members are granted unlimited admission to the museum galleries and also receive discounts at the gift shop and some events. Annual membership dues are based on original joining date, and all members are invited to the museum s Annual Meeting. Membership revenue this year: $7,702.00 Admissions Admissions, like membership and the gift shop, provide funds for general operations. Fees are based on age and pre-scheduled groups at a reduced or no fee entry based on the program designed for the group. General Admission is $5, senior rate is $4, and children under 16 are admitted for free. Admission revenue this year: $5,616.00 Fundraising and Grants Museum funding supports operations, preservation, and educational programs. General donations, planned giving, the brick sponsorship project and honorary memorials are other sources of fundraising income. The museum hosts two major fundraising events each year. Night at the Museum was April 9, 2016 and our Hot Wings for History event will resume this fall. Total donations, memorials, and fundraiser this year: $18,083.00 Archives, Collections, and Exhibits The archives and artifact collections are available for research year-round by appointment and include invaluable primary resources. They are utilized by the public, by community organizations, and businesses to support proposed and ongoing projects. Fees are collected only for the printing, publication, copy, and use of photographs or archives.
