Authors Work Package KITE, UNIBO WP7 Dissemination and exploitation Abstract This document presents the XCYCLE Project communication materials, developed to illustrate and promote the project main characteristics, objectives, activities progress, achievements and results. Beside the project website, already describe in a previous deliverable, the dissemination will occur through leaflet, poster, video, infographics, press kit and other means will be further investigated. The aim is to provide both the domain audience as well as the general public with up-to-date information about the project, throughout its entire duration. Every item has been designed to be easily referable to the XCYCLE Project, by utilizing the official logo, colors and theme icons. All documents are constantly available on the project website and will be distributed both internally to the Consortium partners and externally during workshop, conferences and events. The creation of occasional material for specific events, either organized by the project or to which partners will participate, will be assessed case-by-case.

1 - Introduction 1 Introduction Communication about European research projects should aim to demonstrate the ways in which research and innovation is contributing to a European 'Innovation Union' and should account for public spending, by providing tangible proof that collaborative research adds value by showing how European collaboration has achieved more than would have otherwise been possible, notably in achieving scientific excellence, contributing to competitiveness and solving societal challenges; showing how the outcomes are relevant to our everyday lives, by creating jobs, introducing novel technologies, or making our lives more comfortable in other ways; making better use of the results, assuring they are taken up by decision-makers to influence policymaking and by industry and the scientific community to ensure follow-up. This document contains the description of the promotional material developed in the XCYCLE Project to create awareness about the performed research work and the achieved results, both to the competent audience as well as to the public. In particular, it describes internal documents templates, leaflets, poster, infographics, video and press kit that have already been or will be made available to all partners for dissemination on line, at public venues, workshops and conferences. For each document, it is explained the exploited graphical logic, the distribution channel and the possible updates. The XCYCLE project is required to clearly express in each material produced that it has received funding from the European Union, through the Horizon 2020 Programme. The official disclaimer statement is hereafter presented. Publications and papers production is not considered in this document, as the project is still in an early stage, and results worth for publication still have to be achieved. 1 D 7.2, V 1

2 - Project overview 2 Project overview The Horizon 2020 EU-funded XCYCLE Project is dedicated to the identification, design and development of advanced measures to reduce cyclists' fatalities and increase comfort in the interaction with motorized vehicles. Cyclists suffer a disproportionate share of serious injuries and mortality, which has been growing in the recent years. In addition, they are often not treated equally by traffic systems (e.g. traffic signals frequently fail to register their approach or presence). XCYCLE has the scope of elaborating the means to re-balance awareness of cyclists in traffic and thus both encourage cycling and make cycling safer. XCYCLE will develop: technologies aimed at improving active and passive detection of cyclists; systems informing both drivers and cyclists of a hazard at junctions; effective methods of presenting information in-vehicles and on-site; cooperation systems targeted at reducing collisions with cyclists. An in-vehicle detection system as well as a system of threat mitigation and risk avoidance by traffic signals will be developed. The built up components will be systematically integrated, implemented and verified. A new large-scale research infrastructure in the city of Braunschweig (DE) and a second mobile platform will be used as test site. A demo bicycle with a cooperative technology will be created and tested as well. A user-centred approach will be adopted. Behavioural evaluation will part of the whole process: attentional responses using eye tracking data; evaluation of human-machine interface; acceptance and willingness to pay. In the Cost-Benefit Analysis, behavioural changes will be translated into estimated crashes and casualties saved per system. In the end, the XCYCLE project will contribute to innovative and efficient advanced safety measures to reduce the number of accidents, often of high severity, involving cyclists in interaction with motorized vehicles. The XCYCLE project started on June 2015 and will run for 42 months, structured upon 7 work packages (i.e., WP1 Project Management, WP2 Problem specification and solutions, WP3 In-Vehicle and On-Bike Systems, WP4 Infrastructure-based situation and threat assessment, WP5 Integration, implementation and verification, WP6 Evaluation of the integrated system, WP7 Dissemination and exploitation). The Consortium is composed by four research centres and universities, four companies and one SMEs from five different EU countries (i.e., Alma Mater Studiorum University of Bologna, ITS - University of Leeds, University of Groningen, VTI - Statens väg och transportforskningsinstitut, VOLVO TECHNOLOGY AB, DLR, IMTECH Trafic and Infra BV, KITE SOLUTIONS S.r.l., Jenoptik Robot GmbH). 2 D 7.2, V 1

3 XCYCLE Communication pack The material included in the communication pack is directed towards all the stakeholders not aware and not involved in the XCYCLE project and to the general public. The main purpose is raising stakeholders awareness on the project activities and achievements and engaging domain experts in taking advantages of the XCYCLE findings. The promotion of the project primarily runs through the website, conferences/events attended by the members of the XCYCLE consortium, explanatory and marketing videos and via other specific documents to be printed or sent (e.g., leaflet, poster, newsletter, etc.). In particular, the materials have been created to give consistency to the project communication. All products contained in the communication must be easily linkable to the project concepts through a practical framework, which comprehends the project logo, the official colours and the overall concept images. They also contain the main project references, as the link to the project website and the contacts of both the project coordinator and of the communication and dissemination manager. The communication materials have been designed graphically appealing, manageable and meaningful with respect to the project goals and activities. The communication pack can be easily updated along with the development of the project as well as contents and the type of message can be adapted to the communication activity. Each communication channel is expected to have a different impact on the target audience and will be used to achieve different dissemination goals. The majority of the elements composing the communication pack can be found at and downloaded from the project website, in the Project Material dedicated webpage (see Deliverable D 7.1 Project Website 3.5.2). 3 D 7.2, V 1

include the following text: This project has received funding from the European Union s Horizon 2020 research and innovation program under grant agreement No 635975. When displayed together with another logo, the EU emblem must have appropriate prominence. In line with the previous article, the XCYCLE project is requested to indicate at all times the receiving of funding from the European Union using a corresponding sentence. The official XCYCLE disclaimer is: This project or the project XCYCLE has received funding from the European Union s Horizon 2020 research and innovation program under grant agreement No 635975. This statement is reported in all the XCYCLE official communication and dissemination documents and webpages. 3.2 Documents template Templates have a crucial role in reinforcing the consistent visual language of the project. They must comply with a graphical identity immediately ascribed to the project (e.g., project logo and colours) and easily adaptable to the specific needs of the Consortium partners. Templates have been provided to all the partners in the project workspace to be used for presentations, deliverables and other working documents dedicated to internal and external communication (see Deliverable D 7.1 Project Website 3.7). Two formats of templates have been produced: a Word one for text documents such as minutes and deliverables and a Power Point format for presentations. As general guideline for communicating project activities and achievements at external events, presentations should contain less textual information and have a preeminent graphical aspect to attract the target audience. Public presentations will be available on the project website in the section Project Materials - Publications (see Deliverable D 7.1 Project Website 3.5.1) and, upon Consortium approval, they could be distributed to the people asking for them. Deliverables will be issued to the EU Commission and published on the project website, after the EU Commission definitive approval (see Deliverable D 7.1 Project Website 3.5.1). 3.3 Leaflet A first brochure has been designed to promote the project in its initial phases. The brochure aims at informing the public about the project background, expected achievements, and consortium structure, as well as making it aware of the targeted results. It indeed briefly reports all the crucial information about XCYCLE. The last page contains the contacts of the project coordinator and the dissemination manager, as well as reference to the project website. The leaflet presented in Figure 5 has been prepared and equally distributed among partners for their use (e.g., whenever participating at conferences, workshops or other similar events). It will always be downloadable from the main page of the website, too. The leaflet will be exploited during the whole duration of the project as a support for the diffusion of information to the stakeholders about the existence of the project and about its activities and goals. The XCYCLE brochures and flyers will always be kept up to date and the production of new versions for specific purposes will be evaluated case-by-case. 7 D 7.2, V 1

3.4 Poster To complete the information provided by the leaflet, a poster has been designed and distributed among the partners. As for the other documents, the graphic has been drawn in line with both the iconic of the project, and with the brochure layout. The poster summarizes: The three main project objectives; The current primary issues for cyclists upon which the project has set its base; The project achievements and expected impact; The partners logos and the consortium composition; The link to the project website. One poster will be distributed to each partners. More copies will be available to the project coordinator and communication and dissemination manager. Moreover, the poster will be always downloadable from the public website in PDF format. The production of new posters, with different layouts, in support of specific events either organized by the project or to which the Consortium will participate, will be assessed case-by-case. 3.5 Infographics In order to consistently communicate and disseminate the project concepts and taking advantage of upto-date media means, a set of Infographics will be created during the entire project. At the beginning, these will illustrate the main issues currently faced by cyclists and upon which the project has set its targets. As the actions will be carried out, the infographics will help to explain how the project is fulfilling its activity plan and which milestones has been reached, even to the general public. Finally, at the end of the project, infographics will depict in an appealing and easy manner the results obtained and the objectives reached. 3.6 Video A video on the project is going to be realized by professional communicators, in order to present to the general public the approach, methods, tools and the innovative technologies developed within the project and to ensure information also after the end of the project. In particular, it is aimed to achieve two main purposes: to raise awareness, give visibility and create a network of interest; to show how the project can contribute to reduction of cyclists' fatalities by support interorganizational learning and cooperation, fostering collaboration in ideas generation, and supporting their evolution leading to social and competitive advantage in value production for the stakeholders. Moreover the project will try to influence policy-makers. Its target audience is not limited to technical and business people, as it is conceived as dedicated to a more general audience. The video will be used for project design purposes and for conference presentations. The video will be disseminated and available on the website. 3.7 Press kit A pre-packaged press kit has been created containing promotional and descriptive documents to be distributed to media representatives. It aims at briefly presenting the project concepts, structure, objectives and ongoing achievements and to arise interests towards its activities. It is possible to request a press kit through: the dedicated form available online, at the Press Kit page (Figure 10), accessible through the Project Material page (see Deliverable D 7.1 Project Website 3.5.1), or directly contacting the project coordinator or the dissemination manager. Due to the early stages of the XCYCLE project, at the moment the press kit includes only the leaflet (Paragraph 3.3) and the abstract (Figure 9). With the progressing of the research work and the planning of future events other documents will be added. 11 D 7.2, V 1

4 - Conclusions 4 Conclusions Up to now a considerable amount of dissemination material has been designed and already distributed among partners (e.g., leaflet, poster, documents templates). Their usage is currently in progress and, in order to guarantee a successful dissemination, their correct management must be ensured for the entire duration of the XCYCLE Project. Hence, particular attention will be dedicated to this purpose. Other materials, like the project website and logo, have also been created and used since the early phases of the project, as described in the previous Deliverable D 7.1 Project Website. One newsletter has already been issued in September 2015 and the second one is in the process of being drafted and published by the end of 2015. The dissemination material will be improved in the following phases of the project to support the dissemination of intermediate as well as final results. In particular, in case of specific events, either organized by the XCYCLE Project or to which Consortium partners will participate, additional dissemination material will be produced. The design of dedicated webpage within the website, registration forms, invitations, posters, brochures, press releases, videos and general informative documents will be evaluated depending on the event nature. All dissemination material will be made available to the general audience through the main project dissemination channels, as well as after specific requests sent to the project coordinator or dissemination manager. On the other hands, all documents will be available internally through the project workspace, in dedicated folders. New means for communication (e.g., social networks, etc.) might be assessed and chosen in the next phases of the Dissemination and Exploitation plan, which is under elaboration. 14 D 7.2, V 1
