--REGISTRATION Signed contract for exhibitor space with full payment must be received by February 28, 2019 in order to be included in all conference materials. Submissions that are incomplete, illegible, or missing required attachments may be returned and may not be considered. No registration will be permitted after April 5, 2019. All exhibit locations and packages are on a first come, first serve basis. All exhibit locations to be determined by CALNARPM. --EXHIBITOR BENEFITS In order for exhibitors to take full advantage of all their benefits, we require that all materials be submitted by the designated deadline. If materials are received after the deadline, CALNARPM cannot guarantee the exhibitor will receive all listed benefits. It is the sole responsibility of the exhibitor to ensure that CALNARPM receives the necessary files or information prior to the deadline. --CANCELLATION There are no refunds after April 5, 2019. Cancellations received by April 5, 2019 will receive a full refund minus a $75 handling fee. --TRADESHOW HOURS The tradeshow will be held in the Napa Valley Ballroom (Stag's Leap, Howell Mountain, & Mount Veeder) and the Pre-Function corridor. The Tradeshow will be open Thursday, April 25, 2019: 1:00 p.m. to 7:45 p.m (immediately following lunch through the end of the Exhibitor Reception) AND Friday, April 26, 2019: 8:00 a.m. to 2:00 p.m. --EXHIBITOR SET-UP/TEAR-DOWN HOURS Set-up on Thursday, April 25, 2019 from 7:00 a.m. to 12:00 p.m. Teardown on Friday, April 26, 2019 from 1:00 p.m. to 3:00 p.m. *Note: the Tradeshow will remain open until the end of the Conference at 2pm, but exhibitors are allowed to begin tearing down as early as 1pm to help facilitate travel. --DISPLAYS Exhibitors must use the assigned booth space only, and must not disturb other exhibits. The use of a table and chairs is not required; however, advanced notice MUST be provided to CALNARPM for removal no later than 1 week prior to the event. Exhibitor will display products and services as described herein. Pop-up and floor displays MUST fit within the space provided. Each space includes the listed number of tables & chairs, and is typically just large enough for these with a small amount of room in the back and sides. At CALNARPM's discretion, exhibitors may be asked to remove their pop-up or floor display if it is too large for the space, obstructs another exhibitor's space, obstructs an exit, or obstructs a walkway. Hanging banners are not permitted. --SECURITY/LIABILITY CALNARPM and NARPM, and it's members, agents, and employees, and the Napa Valley Marriott Hotel & Spa shall not be liable for any injury, loss, or damage incurred by exhibitor or to an exhibitor's property through theft, fire, accident or any other destructive cause, whether the result of negligence, or otherwise. The exhibitor, at the exhibitor's expense, is responsible for all repairs and damage. --SHIPPING AND DRAYAGE INFORMATION Shipping and storage of exhibit materials to the hotel is at the exhibitor's option and expense. To ensure that materials are properly received and distributed, exhibitors must follow the guidelines as follows: please ensure that the recipient's name who will be requesting the boxes (company name), group name (CALNARPM), and Hotel Director, Nicholas Bobbs, all appear on the mailing label. Due to limited storage space, please do not send boxes more than two days prior to April 24, 2019. --ELECTRICAL OUTLET, TELEPHONE LINE, AND INTERNET REQUIREMENTS It is the sole responsibility of the exhibitor to arrange electrical, telephone, or other audio visual needs through the Napa Valley Resort & Spa and is solely at the exhibitor's expense. Typically, exhibitors who participate bring a bowl or other container to collect business cards and use the business cards as the raffle entries. --LODGING ARRANGEMENTS It is the sole responsibility of the exhibitor to arrange lodging needs through the Napa Valley Marriott Hotel & Spa and it is solely at the exhibitor's expense. Please contact the Marriott Central Reservations at 1-866-263-1462 to book your reservation. In order to receive the special group rate of $229 Tuesday Thursday and $269 Friday-Saturday, make sure to inform them that you will be attending the 2019 CALNARPM Conference & Tradeshow. Reservations must be made by March 25, 2019 in order to receive the group rate. The group rate will also be available three (3) days pre and post program. Rooms are available on a first come first serve basis. --EXHIBITOR PROMOTIONAL PIECES It is not permitted to place any promotional pieces outside your exhibit space during the conference unless otherwise stated on the sponsorship package. --EXHIBITOR FUNCTIONS Exhibitors must not schedule functions, meals or classes that conflict with any CALNARPM 2019 Conference and Tradeshow events on April 24-26, 2019 without prior written approval by the CALNARPM Executive Board. Should exhibitors schedule an event that conflicts with the conference schedule, the exhibitor shall be asked to leave the tradeshow and registration funds will be forfeited.
