icomply To Safeguard System Information Phase 1 Resource Packet Revised 3/25/2011

icomply Goal The icomply initiative aims to identify and properly secure any electronic device that is used to store and carry Henry Ford Health System or HAP information. If employees have Henry Ford or HAP information on an electronic device, they are required to work with their Information Security Officer, Privacy Officer and IT to ensure it is secured with password protection and encryption. icomply will target certain electronic devices in phases throughout 2011. The first phase will target flash drives, laptop computers and external hard drives. Safeguards for other electronic devices will be examined and addressed during subsequent phases.

Contact Responsibilities Reserve and confirm dates/times/locations of the icomply station for your facility Ensure that the tables/chairs/skirting/table clothes/power strips/extension cords/easels reserved and available for IT Lead to setup station Ensure station location is set-up appropriately: Envelopes and pens available for participants Poster positioned to identify station FAQ supply available for participants Crossword puzzle available for participants Bulk collect/inventory form available for participants Schedule time to visit your station throughout the amnesty period Wear icomply polo shirt, khaki pants and ID badge on the days you visit the icomply stations, if possible. Be prepared to engage with participants to answer questions about privacy/security or icomply Program Reserve a secure room to store all materials/equipment once station closes each night

IT Lead Responsibilities Set-up and breakdown icomply stations each day Retain and assist with securing all materials/equipment once station closes each night in a locked room or office Ensure secured collection containers from ISR are available at each station Ensure station location is set-up appropriately: Secured collection bins from ISR for disposal Technical equipment for transfers (i.e., laptop, monitors, etc.) Wireless Internet access cards Wear icomply polo shirt, khaki pants and ID badge at the icomply stations Be prepared to engage with participants to answer questions about privacy/security or icomply Program during slow periods Secure all icomply materials once station closes each night in a locked room or office

Collect all entries and place in envelope provided at station and return to Meredith Phillips at OFP 5F on the final day your icomply station closes. Please identify packet of entries by writing name of location on the outside of the envelope Entries must be delivered back to the icomply station. No emailing, faxing or inter-office mail will be allowed. Medical Center Administrators: Provide entries to participants and place in envelope for pick-up. This will be coordinated with Meredith Phillips. Winning entry must have 100% correct answers. No exceptions. Drawing will take place on May 2, 2011 and winners will be announced on the same day

icomply IT Logs The icomply IT Logs. pdf contains three tabs: Flash Drive Log External Hard Drive Log Laptop Log The Flash Drive Log will be used mostly by medical center administrators who are scheduling a tech or bulk collecting for their staff The External Hard Drive Log and the Laptop Log will be used by the participants wishing to register their laptop or external hard drive Each station will have a limited supply to be used by the participants
