ABOUT THE 2016 MARKETING COMMUNICATIONS & CHAPTER LEADERSHIP AWARDS SMPS-NY s Marketing Communications recognize excellence in marketing communications and the outstanding achievements of top marketing professionals. The communications awards will be granted to A/E/C firms whose materials and campaigns most compellingly achieve their firms marketing goals. The leadership awards will recognize the exceptional accomplishments of individuals in our industry. The awards are judged by an independent panel of senior industry professionals. The awards provide an unparalleled opportunity for peer recognition and expert feedback, and highlight the outstanding efforts made by those who have a real passion for our industry. Our program is open to both member and non-member firms and people whose offices are located within the New York, New Jersey, Long Island, and Westchester regions. Awards will be presented to the winners and honorable mentions at our Annual Meeting and Awards Gala, which is being held on Wednesday, June 1, 2016. Winners (not honorable mentions) of the Marketing Communications Award will be required to provide a poster of their winning submission on the night of the Gala for the People s Choice Award judging. MARKETING COMMUNICATIONS AWARD CATEGORIES BRAND IDENTITY: Rollout of a new graphic and marketing standard for all firm s print and/or digital collateral materials, within the past two years. This all-encompassing category recognizes a firm s holistic implementation of a new logo, color scheme, format, and layout through firm marketing collateral; project, resume, proposal, and presentation templates; and business card/stationary systems, website/digital interface. WEBSITE: An external, public website and/or mobile site (designed specifically for smartphones or other handheld devices) that promotes your firm and was implemented after January 1, 2014. MARKETING CAMPAIGN: A single, external campaign that employs marketing techniques to promote the firm, a specific project, or a targeted marketing initiative. Examples include a brochure, project opening announcement, blog, event, mailing, monograph, infographic. (Choose one) EVENT/HOLIDAY PIECE: A one-time piece such as a card, party invitation, client appreciation gift, etc. produced for a specific holiday. There will be a separate award given for print and digital submissions. SOCIAL MEDIA: A corporate Facebook, Twitter, LinkedIn, YouTube, Flickr, etc. account that promotes your firm and utilizes an interactive platform for thought leadership and collaboration to engage audiences. Please include any statistical information including shares, followers, re-tweets, etc. ADDITIONAL HONORS Only winners (not honorable mentions) will be displayed at the Gala: PEOPLE S CHOICE: On the night of the Gala, winning entry presentation boards will be displayed and Gala attendees will have the opportunity to cast their ballots for the best overall submission. SUBMISSION REQUIREMENTS Award submissions are due by March 25, 2016. All materials must be submitted in an 8.5-in by 11 in, three-ring binder. If you are submitting more than one entry, each entry must be in a separate binder. Not meeting these requirements will result in disqualification. Materials must include: 1. Completed Awards Application. 2. Clarification Statement. Reference following page for guideline. 3. A USB drive with a digital copy of all materials, including a single.pdf of your entire submission and high resolution version of any images submitted. 4. Hard copy of materials. For Website category submissions: include a link to your website, screen shots of important pages and each page referenced in the Clarification Statement, and a site navigation map. For Brand Identity category submissions: choose a minimum of four from the list below. Brochure (e.g., firm, project type, projectspecific, service-specific) Firm Profile Project Sheet Resume Proposal Template Presentation Template Business Cards/Stationary Internal or External Communication (e.g., Intranet, Newsletter) Website, blog, or other digital presence For Social Media category submissions: include a link to your corporate account and screen shots of important content/updates (e.g., tweets, posts)
CLARIFICATION STATEMENT REQUIREMENTS A. MARKETING OBJECTIVE Goals: Clearly state your marketing goals. What did your firm hope to achieve with the piece or program? How did you plan to measure your results against your marketing goals? Target Audience: Define the audience for this piece or program. How many pieces were sent via mail or e-mail? Characterize the composition, size, and location of your target audience (e.g., 250 CEOs and senior managers of the top 500 leaders of the California high-tech industry). Factors jurors will be looking for: Strategic marketing objectives clearly identified. Time frame and budget. Methodology for collecting and evaluating results. B. CONTENT MESSAGING Research, Planning, and Implementation: Describe the market research conducted prior to planning your piece or program. Explain the production and delivery method. Message: What is the intended message of this entry? Factors jurors will be looking for: Entry clearly conveys the firm s marketing message to its intended audience. Project content adheres to the firm s established marketing objectives. Piece or program reflects the firm s strategic direction. Appropriately conservative or innovative approaches are taken to meet the overall marketing objectives. Writing is free of grammatical and typographical errors (in both the entry and the clarification statement). C. CONTENT DELIVERY Distinction: Explain the thought process used to make your piece or program stand out from other communications aimed at your target audience. Factors jurors will be looking for: Production and delivery methods show effective and innovative use of resources. Graphics exhibit demonstrates consistent use of composition, color, type, illustrations, or physical displays. Printing techniques support the marketing message through selection of materials such as papers, inks, finishes, bindings, or similar substrates, canvas, billboards, and engraving. Digital techniques chosen result in a functional and imaginative transmission to recipients working on desktops, laptops, or various mobile devices. D. THE RESULTS Goals: Which actions did the target audience take after receiving your materials? What was your break-even goal for profit/loss, and did you achieve it? Did you meet your specific sales goals? Did you gain new clients as a result? Factors jurors will be looking for: Measurable return on investment (ROI) is presented. Outside testimonials are included as feedback. Lessons learned are noted and reviewed. Target market identified; including location, composition, and size. Tactical plan, including specific actions. Any strategic constraints. Final cost meets project budget to cover all expenditures. Piece or program successfully integrated into the firm s overall sales efforts.

CHAPTER LEADERSHIP AWARD CATEGORIES PRINCIPAL OF THE YEAR: Salutes a Principal who actively promotes the strategic vision and values of the company and fosters a culture throughout their firm that encourages all staff, administrative or technical, to contribute to their Marketing, Business Development and Public Relations efforts. To be eligible for the Principal of the Year award, this candidate must be a mid-to-high level Principal with the authority to make decisions for the firm and have at least 10 years of industry experience (3 at current firm). The candidate must also be an SMPS-NY Member in good standing. JUDGING CRITERIA: Candidates should demonstrate their commitment in at least 3 of the following areas: Supports Marketing understands the need for and importance of a professional approach to marketing, business development and public relations. Encourages Professional Development encourages continuing professional development on a consistent and regular basis; promotes SMPS and similar educational venues for all levels of their marketing and professional staff; and provides an atmosphere that promotes professional growth for members of the marketing team. Fosters Marketing Culture encourages all staff to contribute to the marketing effort either by excellence in client service, authoring professional publications, public speaking, or active participation in civic, charitable, or industry organizations such as SMPS-NY. Actively Participates in the AEC Industry Does the nominee set a good example by actively promoting and marketing the firm? The nominee might be an active member of professional or civic organizations, publish, or take speaking engagements that enhance the prestige of the firm. Includes Marketing/Marketer in the Management Team recognizes their professional marketing staff as part of the firm s management team; includes marketers in strategic planning and considers their input in making everyday business decisions; and encourages marketing staff to foster and enhance relationships with clients. SUBMISSION REQUIREMENTS 1. Statement of Nomination Form. 2. A 1-2 page letter that describes: a. Who you are nominating and how you came into contact with their exemplary service? b. How the candidate has been integral to their firm s marketing/business development strategy and/or been recognized in the profession for their leadership ability that sets them apart from their contemporaries. c. Their involvement and support of the SMPS-NY Chapter. d. How the candidate has demonstrated their commitment to at least three of the following five areas: i. Supports Marketing ii. Encourages Professional Development iii. Fosters Marketing Culture iv. Actively Participates in the AEC Industry v. Includes Marketing/Marketer in the Management Team 3. Provide a copy of the Candidate s professional resume.
MARY FINDLEN PROFESSIONAL DEVELOPMENT GRANT: This award serves to strengthen SMPS-NY s mission to promote the continued advancement of new talent within our industry. This grant is open to mid-level marketing, communications, and business development professionals with approximately 3 to 7 years experience. Candidates must also have a minimum of 1 year of SMPS-NY membership. Recipients of the grant will receive full registration to the SMPS Build Business Conference in Philadelphia, Pennsylvania, from August 10 through August 12. The award includes conference registration, round-trip airfare/transportation, and three nights hotel accommodations a total value of up to $2,500. Please note, current SMPS-NY Board Members are not eligible to enter. JUDGING CRITERIA: Candidates should be able to demonstrate their commitment to their career as an A/E/C marketer through professional development activities, participation in SMPS-NY, and the contributions they have made to their firm in their current position. SUBMISSION REQUIREMENTS 1. Grant Application Form. 2. Cover letter (3-page maximum) which describes: a. Your involvement in professional services marketing and responsibilities in your current position. b. What you hope to gain by attending the Conference. c. Your SMPS-NY Chapter activities and involvement to date. d. How SMPS has benefitted you both personally and professionally. e. Description of your work sample(s), including the driving marketing strategy and how your work accomplished the objectives (e.g., differentiated your firm; addresses potential client s issues, promoted your firm s brand, expanded/highlighted your firm s strengths in a particular market). Please explain your specific role in the preparation of this material. 3. A copy of your professional resume must include your current contact information and dates of employment. 4. Work samples no more than 3 samples of material you ve development as a professional services marketer (e.g., brochure, proposal section, advertisement, printout of website content). This will also need to be described in the cover letter. 5. Letter from your supervisor that you have secured permission to attend the SMPS Build Business National Conference if you are selected as the winner.
