9: My Fundraiser Page Overview: My Fundraiser Page 4.0 In this class, fundraisers will learn how to use the My Fundraiser Page to more easily and efficiently manage their prospects and prospect plans and to generate summary and contact reports from the information captured on this page. Assumptions: The exercises in this manual are intended to be used for practice after one completes My Fundraiser Page class. These exercises are to be performed in, and assume you have access to, the InterChange Sandbox. Lesson Objectives: o Access the My Fundraiser tab and My Fundraiser Page o Access your list of prospects and their subsequent prospect plans o Navigate to prospects records and prospect plans from the My Fundraiser Page o Determine the status of steps in prospect plans (pending, completed, etc.) o Generate plan steps, completed steps and opportunities summary reports o Use the four summary tabs to effectively assess your progress with prospects o Use the information on the My Fundraiser Page to complete your contact reports 2015 InterChange University 2
Accessing the My Fundraiser Page From your personal constituent record 1. Once you are set up as a fundraiser in InterChange, most of the information from your My Fundraiser Page is located under the Fundraiser tab on your constituent record. You can access this tab by going to the constituent record you have in InterChange. From the Prospects Home Page 1. You can also access the My Fundraiser Page by going to the Prospects Home Page and choosing, My fundraiser page from the available menu items. 2015 InterChange University 3
The Fundraiser Page vs. The Fundraiser Tab It doesn t matter whether you access your prospect s information through My Fundraiser page or The Fundraiser tab on your constituent record. Both display and allow you change the same types of information about your prospects and prospect plans. However, only the My Fundraiser Page has the Miles and Expenses and Interactions tabs. The Fundraiser Page-Overview 1 2 If you choose to go to your My Fundraiser Page to access information, you will see two essential areas on this page: 1. Information about you that InterChange has gathered from your records, such as your address, household name, position at The Salvation Army and amount you ve requested from your prospects. 2. A series of tabs across the middle of your screen, which provide essential information about your prospects and their plans. The Fundraiser Icon When you see at the top of the page, you are on your My Fundraiser Page. 2015 InterChange University 4
Pending Activity My Fundraiser Page 4.0 The Fundraiser Page-Tabs Under the Pending Activity tab, you will see any activity on your prospect plans that you ve scheduled for the future, such as phone calls and meetings. A fundraiser can utilize the information under this tab like a master to-do list, as it outlines the steps you ve scheduled to complete with your prospects. *You can access the plans that have pending activity from this tab, but you cannot edit steps from this tab. If you d like to edit a step on a prospect s plan, you have to go to the plan to do this.* Exporting Information Some of the information you find on your My Fundraiser Page can be exported to an external document, such an excel spreadsheet. If you see the button, it means information in this section can be exported. To export, just click on the drop-down menu and choose what file type you d like to export this information to. 2015 InterChange University 5
Fundraiser Summary This tab summarizes information about you, the fundraiser. Some of the things you ll find here include: -The amount of qualified and unqualified gifts listed on your prospect plans -The amount (in $) of pending responses from your prospects Summary Tabs There are several Summary tabs on the My Fundraiser Page. Each Summary tab completes, essentially, a similar purpose in that it provides an overview of a specific part of a fundraiser s record. Use these tabs to get a big picture of your fundraising efforts and progress. 2015 InterChange University 6
Planned Step Summary This tab gives you a bar graph overview of the ways in which you ve contacted your prospects, how many plans you have (segregated by plan type) and a breakdown of the stage of cultivation your prospects are in (by percentage). 2015 InterChange University 7
Completed Step Summary This tab also gives you an overview in a bar graph format but this information relates to the steps you ve already completed in your prospect plans. Here, you can see how many steps you ve completed by contact method and plan type. Prospect Summary This tab summarizes information about your prospects, such as how many prospects are assigned to what type of plan and what role you play in each prospect plan (ie: primary manager, solicitor, etc.) 2015 InterChange University 8
Prospects and Plans The Prospects and Plans tab houses exactly that: A list of all of your current prospects and their plans. The last and next steps you have scheduled in each plan will be displayed as well, under their respective columns. The Icon ospects must have constituent records If you see a caution sign next to any step listed on a prospect s plan, this means that the step is due for an update. 2015 InterChange University 9
Grants The Grants tab houses details about any specific grant funding requests to which you ve been assigned and a summary of this information. Opportunities and Asks The Opportunities and Asks tab provides you with a complete summary of your opportunities. It shows you essential information, such as how much revenue on your prospect s plans is related to qualified opportunities, how many asks you have pending and the number of gifts and pledges prospects have committed. 2015 InterChange University 10
The Opportunity Pyramid Under the Opportunity Pyramid tab, you will see all of your current opportunities displayed in a colorful, easy-to-read visual. This is another tool on the My Fundraiser Page that helps give you a big picture overview of your current prospect plans by segregating your opportunities by dollar amount. Campaigns Under this tab, you will see information about any campaigns that have been assigned to you. This tab hasn t been used much in the past but may be a place you ll need to go if you re involved in some type of fundraising campaign. 2015 InterChange University 11
Research Requests From the Research Requests tab, you can submit a research request, which means that you d like your research team to find out more information about specific prospects. For example, you may request information about a prospect s financial information or the business they own. Here, you can also see what requests you ve already submitted. Prospect Requests Once you add in a research request, all of the requests you currently have that are pending approval will display on your Prospect Requests tab. 2015 InterChange University 12
Miles and Expenses 1. The Miles and Expenses tab can only be found on your My Fundraiser Page. This tab allows you to enter in the information you are required to submit to your supervisor in a contact report. To add information into a contact report, click the Add button. 2. Next, a box will open up that asks you to enter in a large amount of information. Enter in what you re required to, then click Save. 2015 InterChange University 13
3. To edit or delete information you ve entered into a contact report, just click on the drop-down menu next to it and you ll see the Edit and Delete buttons appear. Make your changes and Save. 4. To export your contact report to an external document (ie: excel), click on the More button. A drop-down menu will then appear. From here, you can export this document onto your computer and then print it out. Interactions The Interactions tab can only be found on your My Fundraiser Page. This tab allows you to see any pending interactions you may have with your prospects. 2015 InterChange University 14
The Fundraiser Tab Exercises: My Fundraiser s Page 1. Go to your constituent record in InterChange. a. Move your Fundraiser tab to the farthest left. b. Now, move your Fundraiser tab to a place in your Summary Tabs that you find most convenient. The My Fundraiser Page Go to your My Fundraiser Page in InterChange to complete the following exercises: 2. How many active prospects/plans do you currently have? 3. What are the next three pending steps you have to complete? a. b. c. 4. How many steps total have you completed? 5. How many steps have you completed this quarter? 6. What s your next planned step? 7. How many outstanding opportunities do you have? 8. Change one of your pending steps into a completed step. 2015 InterChange University 15
9. What s the: a. Total revenue committed? $ b. Total revenue paid? $ 10. Access one of your prospects. What s the last amount he/she gave to TSA? $ 11. In your Miles/Expenses tab, enter in the following: a. Miles= 500 b. Expenses= $2315.16 c. Office Days=15 d. Field Days= 4 e. Variance Days= 7 12. What s the next pending interaction you have with a prospect? Exporting 13. Export your Miles and Expenses Report into an excel document and print it out. 14. Job Aids-My Fundraiser Page How to export information 1. Go to the tab and area from which you d like to export information into an external document. *Note that not all areas will allow you to export information. 2. Click on the drop-down menu next to the More button. 3. Choose which type of file you d like to export this information to. How to Create and Manage a Contact Report 1. Open up your My Fundraiser Page and click on the Miles and Expenses tab. 2. Click the Add button. Complete the information in the required fields and Save. 3. To edit a Contact Report, click on the little drop-down menu next to the contact report you d like to edit. You will now see the buttons Edit and Delete. 4.
