Church Packet As you will find provided within your Consultation Proposal packet we have developed a Heart to Heart: Women s Spiritual Mentoring Church Packet. The hope would be that all the information and resources that a church representative would need, would be included within the Church Packet. In order to maximize time efficiency the Church Packet is ready as is to be sent to all local churches. The Heart to Heart: Women s Spiritual Mentoring Church Packet includes: a letter to the church, DVD of the Heart to Heart: Women s Spiritual Mentoring promotional video, postcards, links to social network platforms, and all necessary contact information. Promotional Video Another resource we have provided is the Heart to Heart: Women s Spiritual Mentoring promotional video. The goal of the promotional video is to capture and provide local churches with the heart and vision of Heart to Heart. The video is very much focused on mentor recruitment and the benefits of being involved with the program. The Heart to Heart: Women s Spiritual Mentoring promotional video is not only easy to send and provided within the church packets, but it takes the passion of this program into the local churches. The hope would be that having a visual aid to tell the story of this program would not only help alleviate previous constraints on time but also significantly increase the number of mentors within the local churches. Website One of the major resources G2 INC. is excited to provided Heart to Heart: Women s Spiritual Mentoring is a new resource website. Although Heart to Heart is featured on the main Azusa Pacific University website, we felt that in attempt to recruit more mentors for the program we needed a website that was solely for Heart to Heart: Women s Spiritual Mentoring. Having a website that is devoted only to Heart to Heart allows for better resourcing and marketing. This website also works in combination with the updated handbook, in which we will discuss next. Once you click on the Resources tab on the main page of the website, you will be directed to the screen bellow. Here you will find all necessary resources and portions of the Handbook that have been removed. Another amazing feature of the website is that individuals interested in becoming a mentor can fill out an application online, by simply clicking on the Apply Now tab. Updated Handbook When doing research and getting feedback for the Heart to Heart: Women s Spiritual Mentoring program, it was made aware that the handbook although very useful and necessary, was overwhelming due to the size. Therefore our solution here at G2 INC., was to keep the most essential items within the handbook and transfer all other resources to the new Heart to Heart website. As you will note when we discuss the budget, this not only minimizes the intimidation of the handbook, it also saves finances that can thus be used to print and send out the Heart to Heart Church Packets. NOTE: An updated version of the Heart to Heart Handbook has been provided in the pocket of your portfolio. Targeting Local Alumni When doing research of other universities and the mentorship programs they provided, one thing that we recognized was a huge push to get alumni of the university involved. Thus we feel that this could be another target area for mentor recruitment for the Heart to Heart: Women s Spiritual Mentoring program. Azusa Pacific University being a community that goes beyond the physical campus. The hope would be that if we could merge the two communities of current student with alumni, it would not only increase mentor recruitment but also the APU experience. Several ways we see Heart to Heart being advertised through the APU Alumni Association would be through the APU Alumni Association Facebook Page, APU Twitter Account, and the Cougar Tracks emails sent out The APU Twitter by the APU Alumni Association. handle has 4.000+ followers, many of whom are alumni. The APU Alumni Association has a follower ship of over 2,483 alumni and the number continues to increase. CCSD Graduate Assistant Position One of the major recourses that the Heart to Heart: Women s Spiritual Mentoring program currently has available is the CCSD Graduate Assistant Position. As we were informed when discussing with the program s leadership, this position allows for the program to accomplish more within the needed time frames. As discussed in our meeting there are many ways in which the position has become of assistance to the program. In looking at a more effective way to empower the Heart to Heart program and staff, we have developed a job description of the position. In many ways the new job description (next page) encompasses what the position has required in the past, however we felt that this position should have a focus on the task of promotion to local churches and collaboration with on-campus departments. We felt that this is appropriate in that promotion of church involvement and on-campus collaboration are task within themselves, and can benefit to have the attention of a specific individual. POSITION - Heart to Heart CCSD Graduate Assistant JOB DESCRIPTION- The HEART TO HEART Graduate Assistant has the opportunity to help facilitate impactful spiritual mentoring relationships for undergraduate women at Azusa Pacific University. The Graduate Assistant will work closely with the Spiritual Mentoring Coordinator to hire, train, and match mentors, coordinate events, and foster relationships with local churches and businesses. ROLES AND RESPONSIBILITIES Assist with the coordination and execution of events and programming. Provide advisory support to Heart to Heart mentors, peer mentors, and undergraduate mentees. Coordinate mentor and mentee pairings. Assist in training workshops on the topic of spiritual mentoring. Facilitate the mentor recruitment, screening and selection process. Various clerical responsibilities // Maintain website & Social Media Platforms QUALIFICATIONS SKILLS Enrolled at least part-time in a Azusa Pacific University graduate program. Ability to work flexible hours including occasional evenings and weekends. Experience working with various student organizations in a leadership or advisory role. Higher education programming experience preferred. Excellent communication skills, both orally and in written form. Good organizational and problem-solving skills with attention to details. Ability to balance a variety of tasks and demands. Strong interpersonal and relationship building skills. Must be a collaborative and effective team member. HEART TO HEART is the Women s Spiritual Mentoring Program at Azusa Pacific University. We serve by connecting undergraduate women who are serious about growing spiritually to a mentorship relationship with an older woman who has faithfully been following and serving Jesus Christ. Heart to Heart students and mentors are intentional in their conversations, courageous in their questions, and sincerely desire to bring faith concepts into everyday circumstances through sharing stories and doing life together. Facebook Page Another resource G2 INC. is providing is the creation of a Facebook page for the Heart to Heart: Women s Spiritual Mentoring. In an era in which the most effective promotion and marketing of an organization is done through social networking it only seemed appropriate for the occasion. The Heart to Heart Facebook page would serve as a social media platform for both students and mentors to remain updated on what your program is doing. Everything from testimonies, upcoming events and photos can be shared with whomever Heart to Heart wishes. Get Students and Mentors to LIKE Your Page! Collaboration of On-Campus Departments One of the ways in which we see Heart to Heart: Women s Mentoring Program being supported in its desired change and further growth, would be through collaboration with other on-campus department, specifically the Azusa Pacific Women s Resource Center. Heart to Heart having a similar passion as the APU Women s Resource Center, that is serving and supporting the women of their campus, it is a strategic collaboration. From our understanding, many ways in which the APU Women s Resource Center is looking to be supported can be met with this collaboration. Vice-versa, the support we see the Heart to Heart program needing can be achieved through collaboration with the Women s Resource Center. The main way in which we see Heart to Heart benefiting from this collaboration, is that the Women s Resource Center would provide an avenue to host events centered on spiritual formation and women s issues, in which mentors and students can be directed to attend. One need that we felt was yet to be met was a consistent provision of events for students and mentors to attend, and collaboration with the Women s Resource Center could do just that. Senior Leadership Position SENIOR CLASS MENTOR // LEADERSHIP POSITION DESCRIPTION VISION OF THE SENIOR MENTOR PROGRAM A senior class student is matched with a freshman class student that has signed up for Heart to Heart: Women s Spiritual Mentoring and has requested a Senior Class Mentor for spiritual encouragement. This facet of Heart to Heart is supported out of the fact that Azusa Pacific s senior class students are uniquely gifted to mentor certain freshman who want advice and support on how to navigate the particular challenges and blessings of being at a Christian college. The heart of this partnership would be that the Senior Class Mentor would assist and encourage the freshman in making the most of the opportunities on APU s campus for spiritual growth. EXPECTATION OF SENIOR CLASS MENTOR Senior Class Mentors will meet once a week from the beginning of October through the end of April with a freshman class student. Their meetings will be approximately an hour a week and the time will be used for the freshman s spiritual growth. You ma choose to do a Bible study, a Christian book study, meet for meaningful conversation and prayer, and/pr attend a spiritually focused event on campus. In addition to meeting with their freshman class student, Senior Class mentors will: Meet twice a semester with Jeanine Smith for training and support. Meet regularly with a mentor for their own support and spiritual encouragement. IDEAL PASSION & SKILL SET We are looking for students graduating in May (INSERT YEAR) with a desire to help younger students make the transition to college and help them thrive. Experience helping younger students as an Alpha Leader, D-group Leader, High School Ministry Volunteer, Summer Camp counselor, etc. is helpful. A high level of commitment to their spiritual growth is essential. Prayer, Scripture and authentic Christian community should be a regular part of their life. Targeting Freshman Women There are several ways in which we see Heart to Heart: Women s Spiritual Mentoring growing the Senior Class Mentorship program. The most effective manner would be to recruit freshman specifically interested in this type of mentorship. Two initial ways we see this occurring is through the dispersing of the Interest Postcard (bellow) and having a Senior Class Mentor Program Info Night. The goal would be to target both interested freshman and potential Senior Class Mentors. This postcard will be dispersed throughout Adams Hall, women s halls in Engstrom Hall, and women s halls in Trinity Hall. Future Possibilities Although we see the tasks at hand the priority of Heart to Heart: Women s Spiritual Mentoring, we at G2 INC. believe it is never to early to think of future possibilities. When doing research for your program, and examining several university with similar mentorship goals, we see a technological trend emerging. When we examined other universities with successful mentoring programs we noticed that many are embracing the technological advances of our society and providing a virtual mentorship option via Skype. The main reason we mention this option is because we see APU s distant alumni being a perfect target for this option, and it would help meet mentor recruitment demands. Also it allows APU s students to take their mentorship experience with them when they study abroad. It would take strategic planning and resourcing, but we at G2 INC. would be excited to have a conversation around this possibility when the time is right!
