Person Manager Permissions G/TIMS TIMS is permissions driven. Users may only access the interfaces and applications for which they have been granted permissions. TIMS permissions consist of: Individual functions Roles comprised of functions Role profiles comprised of roles The Person Manager Permissions tab is an administrative tool for assigning TIMS permissions. This Quick Guide includes a detailed discussion on using the role profiles option to assign permissions. Role profiles are role groupings defined at the wing level that can be non-organization or organization specific: Non-organization can be applied to any user, with an organization(s) specified at the time of assignment Organization can include more than one organization (usually a squadron and subordinate flights) and should only be applied to users in the specified organization(s) or to senior leadership who require permissions to all squadrons in the wing or group This Quick Guide reviews assigning and modifying TIMS permissions using two operational scenarios. Assigning Permissions Using Role Profiles We return to the scenario examined in the Person Manager User Information lesson for nd Lt Jerry Davis, who will begin undergraduate pilot training in the 8th FTS C FLT, whose account was created in the same lesson. Tip Refer to the Person Manager User Information guide for instruction on selecting a person with the Person Picker. Click the Permissions tab.
Click Add. The Add Roles window appears. If a student role profile exists, select it from the Role Profiles panel. Check the Show checked roles only? box. The Roles panel grid is filtered to the student role. Enter 8 in the Training Org field (because Davis is in 8 FTS C FLT). The Training Org column is filtered to organizations that begin with 8. 6 Check Vance Student for 8 FTS C FLT. 7 Click Assign Roles. The role is added. 6 7 8 Click Save. 8
Assigning Permissions Without Role Profiles If a student role profile does not exist, roles can be assigned individually from the Roles panel. The Roles Filter and Training Org fields can filter the Roles panel to a manageable view. T Tip To specify an optional role time frame, select dates from the Role Assignment Start and End Date drop-down menus. Enter student in the Roles Filter text field. The Roles panel grid is filtered to the student role. Enter 8 in the Training Org field. The Training Org column is filtered to organizations beginning with 8. Tip Hover over a role to display its full name. Check the student role. In this case, Vance Student. Click Assign Roles. The role is added. T
Click Save. Tip Click Delete to remove roles assigned to a user. T Working with Role Profiles A non-organization specific role profile may include multiple roles. This example shows the Flight Commander role profile, comprised of the Flight Commander, Flight Scheduler, and IP roles. The Flight Commander role profile is non-organization specific because it is only assigned to a flight commander for the specific flight he or she commands. Non-organization specific role profiles require that an organization be manually selected. Like the non-organization specific student role profile shown in the scenario for nd Lt Jerry Davis, the Flight Commander role profile is assigned by selecting a single organization.
Tip TIMS permissions do not flow down to subordinate organizations. That is, permissions assigned at the squadron level are not inherited at the flight level. An organization specific role profile may include one role and multiple organizations. This example shows the FTS Instructor role profile comprised of the IP role for the rd FTS and subordinate flights. In USAF Undergraduate Pilot Training (UPT) operations, line instructors are typically assigned the instructor role for all flights in the squadron because they might fly with any student in the squadron, regardless of flight. The FTS Instructor role profile shown here assigns the instructor role to all five organizations (squadron and four flights) at once. An organization specific role profile may also include multiple roles and organizations. This example shows the FTS CC/DO/ADO role profile comprised of the CC/DO, Duty Desk, and IP roles for the squadron and subordinate flights. The FTS CC/DO/ADO role profile shown here assigns all three roles to all five organizations (squadron and four flights) at once. Modifying Permissions Using Role Profiles As noted in the Introduction, the Permissions tab is also used to update existing permissions. In this scenario, Maj (Lt Col select) Gloria Kelly, an instructor in the rd FTS, has been designated an ADO (Assistant Director of Operations) for the squadron. Maj Kelly s permissions must be modified accordingly. Note that a squadron ADO fulfills a role similar to a USN squadron Department Head. Maj Kelly will be assigned the FTS CC/ DO/ADO role profile, which includes the IP, Duty Desk, and CC/DO roles, as shown in the Working with Role Profiles section of this lesson. The Roles grid displays Maj Kelly s IP permissions for the rd FTS and subordinate flights. Click Add. The Add Roles window appears. 6
Click FTS CC/DO/ADO from the Role Profiles panel. Check the Show Checked Orgs Only? box. The Roles panel grid is filtered to organizations associated with the role profile. Check the Show Checked Orgs Only? box. The Roles panel grid is filtered to the roles associated with the role profile. Tip 8 When an organization specific role profile is used to assign permissions, all roles and organizations specified in the selected profile(s) are applied to the user automatically unless expressly deselected. 6 Click Assign Roles.
