2011 Pilot Mentorship, Exchange and Program 1: Mentorship Guidelines Museum and Gallery Services Queensland (M&GSQ), with the financial support of Arts Queensland through the Regional Arts Development Fund (RADF), will offer a pilot Mentorship, Exchange and for paid staff and volunteers working in regional Queensland museums and galleries in 2011. Museum & Gallery Services Queensland Limited is funded by the Queensland Government, through Arts Queensland and is supported by the Visual Arts and Craft Strategy, an initiative of the Australian, State and Territory Governments, and by the Commonwealth through the Australia Council its arts funding and advisory body.

MENTORSHIP GUIDELINES: Page 2 ABOUT THE PROGRAM The Museum and Gallery Services Queensland (M&GSQ) 2011 pilot Mentorship, Exchange and supports paid staff and volunteers in Queensland museums and galleries located outside the Brisbane metropolitan area 1 to access expertise in cultural institutions in Australia and overseas for the purpose of professional development. This new initiative has been developed to build the capacity of Queensland s Collections Sector, its workers and the communities they serve. The program aims to create opportunities for paid professionals and volunteers in museums and galleries located outside the Brisbane metropolitan area to extend their knowledge, enhance their skill levels, build and strengthen key networks, stimulate discussion and foster collaboration with industry colleagues. Objectives of the pilot are to: Support great arts and culture through professional development for the Collections Sector. Increase access to individual professional development opportunities for regional museum and gallery staff and volunteers. Provide volunteers with direct experience of best museum practice in line with the National Standards for Australian Museums and Galleries (2008). Inspire and develop leadership in the regional Collections Sector through collaborative learning and the sharing of skills and knowledge in lasting networks. Disseminate learnings from the mentorships, exchanges and fellowships through case studies of inspiring examples of best practice, such as new ways of involving audiences and communities. 1. The Brisbane metropolitan area is defined as areas within the Brisbane City Council jurisdiction. Museum and Gallery Services Queensland promotes, supports and provides services to foster excellence in museums, galleries and keeping places. We strive to ensure a future where museums, galleries and keeping places are relevant, accessible and valued by their communities.

MENTORSHIP GUIDELINES: Page 3 MENTORSHIP, EXCHANGE, FELLOWSHIP, INTERNSHIP PROGRAM There are four different types of programs offered. Details are outlined below. There is a different application form for each program. READ THIS FORM TO APPLY FOR PROGRAM 1: GALLERY MENTORSHIP OR MUSEUM MENTORSHIP. Application forms (word format) and information for the other programs can be downloaded from Museum and Gallery Services Queensland s website, www.magsq.com.au or by contacting M&GSQ on P: 1800 680 433 (freecall within Queensland) or 07 3215 0820 E: information@magsq.com.au For the emerging, mid-career and established professionals in Queensland regional galleries and museums, three types of programs with a total of eight opportunities are offered: PROGRAM 1: MENTORSHIP GALLERY MENTORSHIP 2 opportunities @ $3,000 each MUSEUM MENTORSHIP 2 opportunities @ $3,000 each PROGRAM 2: EXCHANGE STAFF EXCHANGE CO-MENTORING PROGRAM 2 opportunities [total of 4 people] @ $3,000 per person PROGRAM 3: FELLOWSHIP INTERNATIONAL FELLOWSHIP 2 opportunities @ $6,000 each For volunteers in museums or galleries located in regional Queensland, one type of program with a total of four opportunities for volunteer internships is offered: PROGRAM 4: INTERNSHIP VOLUNTEER INTERNSHIP for Museums or Galleries 4 opportunities @ $3,000 each

MENTORSHIP GUIDELINES: Page 4 PROGRAM 1: MENTORSHIP 2011 GUIDELINES Gallery Mentorship x 2 positions Museum Mentorship x 2 positions Amount Available: Up to $3,000 per applicant Closing Date: 31 January 2011 Program Outline M&GSQ invites applications from emerging and mid-career professionals in public, not-forprofit museums and galleries located in regional Queensland. Applications from established professionals in Queensland regional, public galleries and museums would also be considered favourably. Successful applicants will be offered a two-week placement working with their mentor/s in the host institution in order to expand their professional skills, knowledge and networks in such areas as (but not limited to) curatorial practice, public programming, audience development, collection management, digitisation. The Gallery and Museum Mentorships allow the applicant to nominate their professional development focus and to choose their host venue in consultation with M&GSQ. Applicants may nominate a preferred host venue and/ or mentor in a Queensland or interstate institution or may request assistance from M&GSQ in the identification of suitable mentor/s and host venue. If applicants require assistance from M&GSQ, they will be asked to indicate the type of experiences they would like to include in their mentorship and to advise of any preferences they may have, eg preferred location of organisation. If assistance is requested, M&GSQ will provide applicants with a shortlist of possible institutions who have indicated a willingness to act as hosts. Eligibility Applicants must: Be in a paid full-time or part-time position in a public, not-for-profit museum, gallery, collecting

MENTORSHIP GUIDELINES: Page 5 or exhibiting institution located in regional Queensland. PLEASE NOTE: Staff of institutions located in metropolitan Brisbane are ineligible. Have the support of their own organisation for their application. PLEASE NOTE: The applicant s organisation is expected to pay the applicant s salary during the two-week mentorship. Be fully covered by their own organisation s insurance policy. Be able to fulfill their placement prior to 31 January 2012. Be prepared to participate in an evaluation of the pilot program. Be prepared to disseminate their learning with peers and colleagues via case studies at conferences, articles for industry publications and/or online including Arts Queensland s online resource hub for regional exchange. Selection Criteria The selection process takes into consideration: Appropriateness of the professional development opportunity for the applicant. Commitment from the applicant, the applicant s organisation, the host institution and mentor personnel. The benefits to the applicant and their organisation. The applicant s initiative, motivation and communication skills. The applicant s capacity to apply new learning in their current workplace. Note: Organisations may submit applications to more than one category. However as priority will be given to spreading opportunities across organisations and regional areas, it is unlikely that more than one opportunity will be awarded to any one organisation in 2011. Financial Assistance Funding up to a total of $3,000 is available for: The travel, accommodation and living expenses for the applicant to undertake their two-week mentorship. PLEASE NOTE: Arrangements for travel and accommodation are the responsibility of the applicant. Costs of communication with the mentor or host institution (such as telephone, internet, printing costs) incurred by the applicant in the preparation and follow-up to their two-week placement from 1 March 2011 up until 31 January 2012. Applicants may be eligible for complementary RADF funding from their Local Government. As long as there is no overlap in the expenses claimed, successfully applying for a Mentorship, Exchange, Fellowship or Internship from M&GSQ should not preclude a complementary RADF application from consideration by the relevant RADF Committee.

Complete the application form and mail postmarked by 31 January 2011 to: Mentorship, Exchange and, Manager Training and Professional Development, Museum & Gallery Services Queensland, Level 3, 381 Brunswick St, Fortitude Valley Qld 4006 3. Attach a copy of the applicant s CV. 4. Provide evidence from their organisation to demonstrate that the applicant will be covered by the organisation s insurance during the placement period. 5. Attach a letter of support from their organisation. 6. Attach the proforma letter of agreement from the endorsed host organisation or note that M&GSQ has agreed to find you an appropriate host venue. Assessment Process M&GSQ staff will acknowledge receipt of applications by email. Eligible applications will be assessed by a panel consisting of: At least one member of the Regional Galleries Association of Queensland Board At least one member of Museums Australia Queensland Executive Committee One M&GSQ senior staff member At least one gallery representative located in regional Queensland At least one museum representative located in regional Queensland. Host venues will be contacted during the assessment process. M&GSQ staff will notify applicants of the assessment outcomes by 1 March 2011. It is a requirement of the mentorship that the assistance of the M&GSQ 2011 pilot Mentorship, Exchange and be acknowledged in all material about the program. Specific acknowledgment requirements will be provided to successful applicants.

MENTORSHIP GUIDELINES: Page 7 Grant Acquittal An acquittal report form will be provided to successful applicants detailing requirements for a reflective report on the mentorship (1-3 pages) and an acquittal of funds (including receipts for expenditure). This will be required 6 weeks after the conclusion of the mentorship and no later than 1 March 2012. Photographs and media clippings should be included in the acquittal documentation. M&GSQ may use all or part of the acquittal report and support material in marketing material.
