THE PROCESS The information contained on the following pages details the 2015 2016 Housing Selection Process. The process allows current students to deposit, apply, search for roommates, and self-select their own housing assignment for next year. Below are a few highlights to remember about the process. Please take the time to thoroughly read this packet. The entire process is online. The Housing Application will open within 24 hours of satisfying the $500 housing deposit. Room and bed selection only! NO SUITE/APARTMENT selection process. Students are not required to fill rooms to capacity. Roommate Search Wizard Find the roommate that is right for you by searching portal profiles. Bedroom only. Students who do not meet the deposit deadline can sign up for Housing Intent Online. (See page 13.) Update! Pre-Fall Room Change request process now online. (See page 11.) 2 3
DEPOSIT Housing Deposit Due Friday, March 6, 2015, 3 p.m. EST. Submit $500 Fall Continuing Housing Room Selection Deposit Online Online deposits will be accepted starting Monday, January 12, 2015, until 3 p.m. (EST) on Friday, March 6, 2015. To make your deposit, your tuition account must be free and clear of balances at the time of deposit. Please review any outstanding financial or documentation requirements prior to the Room Selection Deposit period. Students on a payment plan must pay in person or call our Customer Service Center; they may not pay the deposit online. To make the online payment, log in to UIS. Once logged in, please select Menu > Student Account > Housing Application for Continuing Students. You may call in your credit card deposit to our Customer Service Center at 718-990-2000. Your account will be reviewed for eligibility at that time. Mailed checks must be made payable to St. John s University. Please include the student ID number and Fall Room Selection Deposit in the check memo line. DO NOT MAIL CHECKS TO THE MASSACHUSETTS ADDRESS. Please mail your check to: Office of Student Financial Services St. John s University 8000 Utopia Parkway Queens, NY 11439 Housing deposits will not be accepted after 3 p.m. (EST) on Friday, March 6, 2015. If you do not provide a deposit by the deadline (late or unable to pay by deadline), you will not be eligible to participate in the Housing Selection Process but will be invited to participate in our Housing Intent Process. Sign-up for the Post-Selection Housing Intent process begins Monday, March 16, 2015. Important te: All prior financial obligations, financial documentation requirements, and Spring 2015 balances must be satisfied in order for a housing deposit to be accepted. Any attempt to pay a deposit with an outstanding balance or documentation issue will not be reflected as a housing deposit payment. Credits on student accounts from current or past semesters may not be used to satisfy a housing deposit for the Fall 2015 process. Please note that a housing deposit does not guarantee participation in the Housing Selection Process. Students wishing to have their housing deposit returned must submit requests by March 27, 2015. Housing deposit refund requests received after 3 p.m. (EST) on March 27, 2015, will be declined and the student will forfeit a refund of their $500 housing deposit. 4 5
HOUSING PORTAL tice of Eligibility Students who have paid the $500 deposit for housing selection by 3 p.m. EST Friday, March 6, will receive an e-mail to their SJU e-mail account on Tuesday, March 17, 2015, notifying them of their eligibility status. If you satisfied the housing deposit by the deadline and do not have to the Fall 2015 online application and agreement or have not received an e-mail by Wednesday, March 18, 2015, please visit the Office of Residence Life with proof of payment so that we may review your account. What would make a student ineligible for the housing selection process? A cumulative GPA less than a 1.95 at the completion of the Fall 2014 term. Student conduct sanctions permanently restricting them from University-managed living properties. Housing Portal Application, Profile, Roommate Search, and Agreement Once a student has satisfied the $500 housing deposit for the Fall 2015 term, they will receive within 24 hours to complete the online housing application and agreement. Only eligible students will move on in the process to self-selection. During this step, students are expected to complete their housing application, student profile, and housing agreement. This step in the process must be completed online by 3 p.m. EST on Friday, March 13, 2015. This step requires completion by March 13 at 3 p.m. in order to be eligible to participate in the self-selection process. Failure to complete this step can negatively impact roommate requests. Students who do not complete their application will have their incomplete application cancelled. Students still interested in housing will be required to participate in the housing intent process. Incomplete applicants have not agreed to the terms and conditions of the housing agreement and are not eligible to continue on to the self-selection/placement process. 6 7
HOUSING LOTTERY Lottery appointments will be sent to the student s SJU e-mail address on Monday, March 30, 2015. Housing Lottery Appointments Student self-selection will be arranged through an online lottery scheduler. Lottery numbers will be calculated and scheduled based on the primary criteria below. Lottery appointments will consist of a date and time in which the student will have to the online housing portal in order to complete step 3 of the selection process. Lottery appointments will be sent to the student s SJU e-mail address on Monday, March 30, 2015. Cum. GPA x Credits Earned = Lottery Number (i.e. 2.8 GPA x 33 Credit Hours = 92.4) Cumulative Grade Point Average (Determined by the Registrar s office through earned academic credits upon completion of the Fall 2014 semester) Reminder: Students with a cumulative GPA of less than 1.95 at the completion of the Fall 2014 term will not be eligible to participate. Credits Earned (Determined by academic credits earned through the Registrar s office at the completion of the Fall 2014 semester) Housing Selection Options 1. Room Selection (For students interested in selecting a room and a preferred roommate) In this case, students will utilize the Roommate Search Wizard to identify the roommate with whom they will select a room. Every student interested in living in a bedroom together must complete the online housing selection process and confirm a mutual roommate request. In order for roommates to be selected during the roommate search process, all students must have completed all parts of Step 2 prior to using the Roommate Search Wizard. 2. General Bed Selection Students interested in participating in St. John s University housing as an individual (with no roommate requests) will complete the online housing process and self-assign themselves to an available bed during their appointment time. Beds primarily exist in single, double, and triple room occupancy. Bed space options are subject to availability. 8 9

Students will now be allowed to sign up to participate in one of the following two processes. 1. Room Swap: This option allows students to participate in a bedfor-bed trade with another student. Room swaps must be within the same gender, classification, or living learning community (i.e. Ozanam, Catholic Scholars, etc.). Students will log onto the SJU Housing Portal to sign up to participate in the room swap process. 2. Room Change Wait List: As rooms become available throughout our system, Residence Life will use the wait list to fill those rooms based on your preferences, gender, classification, and/or living learning community eligibility. Room change offers will be made in the order in which requests are received. The Pre-Fall Room Change Process will be available from April 20 to August 1. To Room Swap or Room Change Wait List, log onto the SJU Housing Portal. Please note, room changes are based on availability of space or swaps requested and are not guaranteed. Important information Housing Selection Information Sessions Information regarding the application and roommate search process will be provided during your first community meeting of the spring term. Another information session will be held in your residence hall the week after the deposit deadline to give you an opportunity to ask questions and review the process. These information sessions will be hosted by your resident director/resident assistants and will review the tutorial on how to reselect roommates after cancellations and select a room and meal plan. On January 12, 2015, the online tutorial of the housing portal will be posted to our website for your review. Missed Deposit Deadline? Housing Intent Process Is for You! The University will not accept housing deposits after 3 p.m. EST on Friday, March 6, 2015. Therefore, if your deposit is not received by the deadline, you will not be eligible to participate in the spring housing selection process occurring in March/April. Having an eligible student request you as a roommate will not make you eligible for housing selection. Please notify classmates of your ineligibility so they may seek other roommate options while in the portal, as you will not be present in their roommate search process. Students who are unable to pay the deposit by the established deadline may participate in our housing intent process by completing a Housing Intent Form. This form will be available online beginning Monday, March 16, 2015. The students participating in the housing intent process will be contacted based on availability. Participants in the housing intent process can expect to receive a housing offer from the Office of Residence Life between May 18, 2015, and August 1, 2015. I Need to Request Medical Accommodations for Housing If you require a specific type of housing accommodation due to a medical condition or disability, please follow the appropriate steps in order to ensure housing selection participation with medical/disability consideration. Despite your accommodation needs, you are still required to meet all deadlines for the housing selection process to be eligible for housing placement. You must reregister with the Center for Counseling and Consultation by providing updated documentation about your condition and housing accommodation recommendations from your treating physician. FREQUENTLY ASKED QUESTIONS 14 What if I can t make my appointment? Log into the Housing Portal and select your room as soon as possible. For online selection, there is no way to have a proxy sign in to act on your behalf. Once the next person s appointment time starts, they can select a room, diminishing your potential room choices. If you are not able to select a room prior to the online selection deadline, you will forfeit your opportunity to self-select your space and will be autoassigned by the online system on Wednesday, April 15, 2015. I m a student athlete. Do I need to participate in the housing selection process? If you are requesting to reside on campus for the 2015 16 academic year, you MUST submit the $500 housing deposit and complete all steps of the selection process by the deadlines outlined. Please note, all athletes are subject to the same eligibility criteria as all other students in the process. Every effort will be made to secure a spot for student athletes, but demand will ultimately dictate the outcome and roommate requests may be affected. I m currently studying abroad this Spring 2015 term. Can I participate in housing selection? Current study abroad students requesting to reside on campus for the Fall 2015 term MUST submit the $500 housing deposit and complete the required steps in the housing selection process. Study abroad students will be able to participate in the selection process in the same exact way as all SJU students via the online Housing Portal. I am an Ozanam or Catholic Scholar resident next year. How will the process work for me? If you are requesting to reside on campus for the 2015 16 academic year as a part of a special program, you MUST submit the $500 housing deposit and complete all steps in the selection process by the deadlines outlined. Please note, all special group participants are subject to the same GPA and student conduct review as all other students in the process. What does it mean to be eligible to participate? To ensure that you are eligible to participate in the housing selection process, you need to meet all of the deadlines and requirements outlined in this packet. Eligible means that you have completed the outlined steps and cleared academic and student conduct review and are qualified for possible participation in the housing selection process. This does NOT guarantee a housing assignment during the housing selection process. Will there be any preview nights to see examples of rooms and buildings before housing selection? Can I get my deposit back? If you are not eligible or no longer interested in participating in the selection process, you must log into the housing portal and complete the deposit refund request form by Friday, March 27, 2015. If you wish to decline your housing, you must request your deposit to be credited back to your St. John s student account on or before Friday, March 27, 2015. Housing deposits are nonrefundable after Friday, March 27, 2015. 15
