1 Release Date: 18 February 2017 Release Number: v AWCTS SYSTEM RELEASE NOTES Release Summary The release of the Army Warrior Care & Transition System (AWCTS) consists of bug fixes and enhancements. If you have questions or concerns about system capability, contact the AWCTS Service Desk at or support@awcts.zendesk.com. Release notes for past system versions are available from the AWCTS Help Center ( AWCTS Module: ALL Professional Relationship Contact Affiliation (fix) When adding a relationship contact coded as Professional, Affiliation is now a required field and Relationship is not available. If changing a contact from Personal to Professional, the Relationship information is automatically cleared from the record when it is saved. AWCTS Module: AW2 Interview Page (fix) Interview/LCMP Form Paging Controls in Notifications (fix) The Interview page properly displays the grid. (resolved mid-cycle) The latest Interview/LCMP Form is now available for download in PDF format. Paging controls no longer disappear after deleting a full page of notifications. AWCTS Module: OMB Edit Issue Fields (fix) The WTU Assignment dropdown now appears as expected when editing an Issue. Additionally, Method of Contact, Issue Location and Referred Source can be modified by Ombudsman. AWCTS System Release Notes (v ) 1

2 DNS Document Type Implement show/hide capability for Case Origin dropdown list items DNS is now available as a document type when adding attachments to an Issue. Capability to activate and deactivate dropdown values now exists for the Case Origin field on the Create Case screen. AWCTS Module: WSFH Update Tabs, Grids and Headers Screens Resize to Fit Browser Window Modernize Existing charts and dashboards Update Popups An updated look and feel for grids, tabs and headers throughout WSFH is now available. Changes include: Improved grid filtering Remove filters option on commonly used grids to reset the grid Heading styles Existing link/button styles In-pane scrolling This change is part of regular system architecture maintenance. Refreshing a window after changing its dimensions will adjust the view for maximum functionality. To resize, change the dimensions of a window then refresh using F5. This will adjust the contents of the window to maximize the available screen space. Modernized Charts and graphs throughout OMB are now available. This change is part of regular system architecture maintenance. New pop-up window style is now available in the following areas: Case Logs Issue Details My Profile Attachments This change is part of regular system architecture maintenance. 3 AWCTS Module: WTU Self-Assessment Dashboard (new Modify Self-Assessment Validation Screen for Future Action Item Integration Self-Assessment Validation link to Action Plan Action Plan Item Name Field (new Prevents Risk Assessment and Self- Assessments from Generating for Soldiers In-Processed as In-Patient A Self-assessment dashboard is now available for Nurse Case Managers, Squad Leaders and Platoon Sergeants on the Home Screen. Self-assessments in Active and Pending Validation Status will populate the dashboard. Assessments pending validation include a quick link to the validation screen by clicking on a Soldier s name. Active Assessments link to the Soldier s contact information. In preparation for Action Item integration, the selfassessment validation screen has been modified. The validation categories have not changed. Validators will now be required to choose Concur, or enter comments in the Validator Comments textbox. Each tab is saved by when clicking on another tab or using the save button. Once the minimum required actions have been completed and saved on each page, a checkmark will appear in the header tab. When all tabs have been validated, the user submits the validation on the Review tab. (See New Self- Assessment Validation for detailed instructions) A link to the Action Plan section of a Soldier s case is available on each page of the Self-assessment validation. This will open Action Plans in a new window. An Item Name field is now available for Action Items. This short field will facilitate identifying action plans once integrated with Self-assessment validation. Soldiers identified as Inpatient during in-processing will not have a Risk Assessment or Self-assessment automatically generated by AWCTS. A Risk Assessment can be generated manually at any time. The Selfassessment will be automatically set to unavailable with no initial Self-assessment generated. CTP Management Analysts can update patient status on the Soldier Information page. When a Soldier s status is updated to Outpatient, a Risk Assessment will generate automatically if no previous Risk Assessment has been generated. If a previous Risk Assessment exists, the next Risk Assessment should be initiated using the standard process. A Self-assessment will also generate if no previous Self-assessment has been generated. To accommodate scenarios where a Soldier reaches MRDP prior to arriving at a WTU or within the first 90 days, the FTR appointment type can now be scheduled in place of an Initial or 90-Day Scrimmage. FTR already exists as an appointment type when scheduling beyond the Initial or 90-Day Scrimmage. Note Scrimmages MUST be scheduled by the SSA, SW or CTP MA on the Scrimmage/Goal Setting page of the case. On-call users in-processing a Soldier are required to select patient status. Inpatient status will not generate a Risk Assessment. Outpatient status will launch the initial Risk Assessment. If the Soldier has a previous AWCTS WTU case record, the patient status will default to outpatient. See the Off-duty in-processing document in the AWCTS Help Center. Users with rights to in-process a case use the Re-open link on the Assignment screen for Soldiers previously outprocessed from a WTU. Re-open creates a new case and now takes the user to the new case record. Excel exports from the Assessments grids (Risk- Assessment, Self-Assessment, CDR Assessment) no longer cause a system error. Grid exports now function consistently on the Risk Assessment, Self-Assessment, and CDR Assessment grids. Paging controls function consistently on the Risk Assessment and Self-Assessment grids. The justification correctly populates in case logs when setting a Soldier to Unavailable for Self-assessments. Prep Activities (Employment Prep and OT Prep) are now available immediately upon in-processing. It is no longer dependent on Phase One Goal Setting completion. These documents are added in the Attachments section of the Soldier s case. Advise on SFL-TAP Services is no longer an available activity in OT Prep. Alternate Activities are now a CER activity category. Transition Coordinators may log Alternate Activities on the Alternate Activities Tab. These include approved activities outside the standard Career or Education tracks. The participation check box has been removed from all tabs. Activities can be added if the Soldier is eligible for CER. Soldiers will show as participating in a CER activity when an activity is added on the RIAWA, Education and Training, Internship, Other Career, or Alternate Activity tabs and has not yet finished. Participating: Date Started is today or prior and End Date is today or after Date started is today or prior and End Date is not entered Not Participating No activity is currently open Activity Date Started beyond today s date is entered will automatically change to Participating on the Date Started The Did Not Complete Date has been removed from all CER activities and replaced with a did not Complete checkbox. One-Day checkbox is available to indicate a CER activity that begins and ends on the same day. After selecting a Start Date, check the One-Day box and the End Date will populate automatically. 6 CER Career Skills Program (new CER Eligibility Revoked CER Pending Placement (new A Career Skills Program (CSP) check box is available on the add and edit activity pop ups for: Apprenticeship Non-Federal Internship Alternate Activity (On the Job Training and Job Shadowing only) If the placement is part of the CSP, check the Career Skills Program check box. NOTE: This field was mislabeled throughout as Career Services Program. If a Soldier s CER eligibility is revoked by M2 or CDR, all open CER work site activities are automatically ended. The end date will reflect the date of ineligibility. Activities entered for future dates will automatically be changed to Start and End on the date of ineligibility. If AWCTS enters or changes the End Date, the Did not complete box will be checked. A Pending Placement drop down is now available from the CER Summary page to track the reason a Soldier is waiting for CER placement. Pending placement is not available when a Soldier is participating in a CER activity. Pending placement options include: Approval Documentation/Forms Processing OWF Application Received, Pending Placement Pending Adaptive Equipment Pending Application to Work Site Pending Education Plan/Start Date Pending Non-Federal/CSP Program Application Pending Reasonable Accommodation Pending Soldier OWF Internship Application Pending Work site Placement Security Clearance Processing Other If Other is selected, the user will be required to add comments. When a CER activity is added that indicates the Soldier is participating in any category, the Pending Placement reason is automatically removed. AWCTS System Release Notes (v ) 6

7 CER Non-compliance Indicator (new CER Ad Hoc Entities Soldier Career Track Report (new system report) Commander's Risk Assessment by Soldiers Report (new system report) Initial Risk Assessment Time Line Report (new system report) A CER Non-compliance checkbox has been added to the CER Summary page. Checking this box will require the user to indicate a reason for non-compliance. Submitting a reason will immediately end all CER activities currently in-progress including Prep Activities and prevent logging additional activities. The End Date for all affected activities will be the current date and the Did not complete box will be checked. s will be generated from AWCTS to the Chain of Command regarding the non-compliance to: Battalion Commander Company Commander Platoon Sergeant Squad Leader Nurse Case Manager Ad hoc report entities have been updated to reflect changes to the CER functionality. Most CER related reports will require changes. See CER Reporting Entities in the CER User Manual available in the AWCTS Help Center. Report Name: SoldierCareerTrack Summary report showing career track counts and percentages by company in both table and graph format. Career track is designated on the Goal Setting/Scrimmage page in the Soldier s case. NOTE: May be delayed 1-2 weeks past 2/18/2017 Report Name: CommandersRAbySoldiers Summary report showing the most recent Risk Assessment levels by company and WTU. The report includes risk level by company in both a table and graph. In addition, the report provides completion status by company and risk level breakdown by gender. NOTE: May be delayed 1-2 weeks past 2/18/2017 Report Name: Initial RA Time Line Detail report providing Initial Risk Assessment completion status and metrics. This report also includes summary statistics on the percentage of Initial Risk Assessments that have been completed within 48 hours of the MODS record start date.
