WALTER RAR LESLIE, DIRECTOR 4104 SIERRA CT 71 Oak Lane (770) (404) TO: Grand Knights, Grand Ladies, Commanders, and Counselors RE: Annual District Junior Conference (June 8-10, 2018) Greetings, The 2018 KPC Gulf Coast District Junior Conference will be held June 8-10, 2018 at the Embassy Suites Charleston Airport Hotel and Convention Center, 5055 International Blvd, North Charleston, SC Zone 5 is busy preparing for what is sure to be a fun, busy, informative conference for our juniors. The conference theme is Reaching for the Stars and Beyond, Claverism. CONFERENCE REGISTRATION: Conference Registration is $ per participant. All attendees are to be registered. Non-Claver chaperones are also required to pay the $ registration fee. This fee covers conference materials, t-shirt, dance, banquet, and ball. Please note that a late fee of $25.00 per participant will be required for registrations postmarked after the April 30, 2018 deadline. There will be no onsite registration. The Conference will pay the registration fees for the District Junior Board and the appointed conference parliamentarians. The Parent Housing Release and Permission Form must accompany the registration packet. The entire registration packet will be returned if the above forms are not included. Commanders/Counselors remember Child Protection Certificates are needed for everyone accompanying our juniors to be on file at the Junior Conference (see deadline). Remember to make court or council checks and money orders (no personal checks) payable to 2018 Gulf Coast District Junior Conference. Mail to Elease Amos-Goodwin 12 Brighton Circle, Charleston, SC Refer to Check-Off List for deadlines. CONFERENCE DUES: Conference Dues are a flat fee of $25.00 per branch/court. Dues are used for conference administrative costs (i.e. agendas, signs, posters, awards, supplies ). The dues are obligatory for all financial units within the district, regardless of conference attendance. Early Bird awards will be given to the branch and junior court that submits their conference dues first. Only entrees that are postmarked after April 9, 2018 will be considered for the Early Bird Contest. 2 LODGING: The conference hotel is the Embassy Suites Charleston Airport Hotel and Convention Center, 5055 International Blvd, North Charleston, SC The hotel room rate is $ per night plus 14% tax per night plus any local fees (parking is complimentary). The hotel offers daily complimentary breakfast. Attendees may begin making hotel reservations via: through May 8, Individuals must identify themselves as being with the group, KPC Junior Conference 2018 at the time the reservation is made to receive the special group rate of $ per night. The hotel reservation phone number is Embassy ( ). The preferred payment method is by credit card. (No Swimming). CREDENTIALS: The Conference Credentials Form is used to list the delegates, alternate delegates, and other junior non-delegates. The Early Bird Awards are a friendly competition between the units attending the conference. The unit returning the Credentials Form first will receive an award. Only complete forms postmarked after April 9, 2018 will be considered for the Early Bird Contest. The Junior Knights credentials should be submitted to Director Leslie and the Junior Daughters credentials should be submitted to Directress Simmons by April 30, Commanders/Counselors please complete entire credentials form. Provide updated information for new Commander/Counselor and/or Grand Knight/Grand Lady. Director or Directress will take care of credentials for the Junior Conference Officers. Delegates will be comprised of the Junior Grand Knight/Lady (or representative) and up to five juniors. Alternate Delegates representation equals the same number of listed delegates. Alternate delegates represent their branch/junior court during the plenary sessions when the delegate is not in chambers. NOMINATIONS/ELECTIONS: Jr. Knights & Jr. Daughters GCD Jr. Officers Elections will be held at this conference. Enclosed in this package you will find a Nominations Form with the criteria. Please send nominations by April 30, 2018 to the Director or Directress. ANNUAL AWARDS: Junior Knight/Daughter of the Year and the Branch/Court of the Year will be recognized at the Conference. Please send nominations by April 30, 2018 to the Director or Directress. CONFERENCE CONTESTS: Contest rules and registration forms will be included in the Jr. Conference Packet. There will be no on-site registering for contests. Submit all contest registrations by April 30, 2018 Deadline to Director Leslie or Directress Simmons. (No Exceptions). COMMITTEE ASSIGNMENTS: As previously informed, we are seeking to obtain from you your first and second choice for committee assignment, earlier than in the past. The senior division makes up the advisory component of the committees at our junior conferences. The idea is to get the committees formed (Sr. Advisor, Jr. Chair and Jr. Members) and conduct pre-conference meetings. We share your concerns for ensuring that our juniors have adequate time to discuss, in its entirety, the issues they bring up and make appropriate recommendations. Consequently, we are pre-assigning members to joint committees. Individuals who may have already expressed interest in a certain joint committee will be included. If any committee is over/under populated, the Director/Directress along with the Junior Conference Presidents will make the final assignments. Preference from the seniors and juniors are being accepted now. Please complete and submit the attached CONSOLIDATED COMMITTEE SIGN-UP WORKSHEET and return it by February 28, Also, we ask for your patience in this new process as we iron out the kinks that we have yet to realize.
3 QUARTERLY REPORT: Commanders and Counselors quarterly report form deadline is April 30, 2018, Commanders submit to Director Leslie and Counselors to Directress Simmons. Adhere to deadlines for Dress Code, Code of Ethics, Safety & Security Guidelines, and Photo & Media Consent Form. Refer to Check-Off List for deadlines. CONFERENCE RAFFLE: The raffle is a joint endeavor between the Junior Knights and Junior Daughters to assist with the administrative costs. Each Branch or Jr. Court will be issued twenty-five (25) tickets at $1.00 per ticket. It is mandatory every unit support the raffle whether attending the conference or not. All raffle tickets sold above the initial twenty-five tickets is considered a fundraiser for the respective unit. Early Bird Awards will be given to the first Branch/Jr. Court to turn in their raffle tickets. Each Junior Knight/Daughter is asked to bring one (1) new pair or pack of socks suitable for youth/adult to be donated to a homeless shelter or school in support of the Junior District Service Project. CHANGE FOR A CHANCE: Each Branch/Junior Court is asked to collect change with all proceeds being turned in to Council/Court and bring a Council/Court check to the 2018 Gulf Coast District Junior Conference. Proceeds will go to help fund the Cause for Canonization for Father Augustus Tolton. REMINDERS: Conference dues and raffle tickets are obligatory for all financial units within the district, regardless of conference attendance All candidates seeking office must be in good financial standing Candidate s unit must meet conference dues and raffle ticket obligations by April 30, 2018 Any candidate who will reach age 17 by June 4, 2018 will be ineligible to run for an office. 6 2018 CONFERENCE SNAPSHOT The 2018 Gulf Coast District Junior Conference begins the second weekend of June. We generally meet at the conference site on Friday for conference registration, get together activities, and some preliminary meetings. We encourage all Commanders and Counselors to please be present for the Commanders/ Counselors meeting on Friday. The Official start of the conference begins on Saturday morning with the first plenary session and concludes with the third plenary session on Sunday morning. 15 Code of Ethics (Rules & Regulations) 2018 Gulf Coast District Junior Conference 1. All Juniors, Commanders, Counselors and adult chaperones must be pre-registered 2. Juniors, Commanders, Counselors, and adult chaperones must wear Conference name badge at all time. 3. All Juniors are expected to attend all Conference functions. All curfews must be followed. All Juniors and their chaperones should be in their room immediately after the close of all evening events. Security will be monitoring the hall and other areas of the hotel. Chaperones are to have room checks and are responsible for all Juniors assigned to them. 4. Adult Chaperones must accompany Juniors at all times. If possible, chaperones should be members of the Knights of Peter Claver/Ladies Auxiliary Senior Divisions. The Branch/Court should provide adequate chaperones for the entire conference. There should be (1) chaperone per (4 Juniors). 5. Each Branch/Court is allowed to send a delegation of (5) representatives plus Jr. Grand Knight / Jr. Grand Lady, alternate delegates should be indicated on credential and registration forms in the event your elected representatives are unable to attend the Conference. 6. Juniors are not allowed to leave the hotel premises, unless accompanied by an adult chaperone (KPC Sr. Division member) or parent. 7. Alcohol, cigarettes, marijuana, or other illegal drugs are not permitted at the Conference. If a Junior is caught in or around the usage of these drugs, their parents will be called to remove them from the Conference premises. Special permission will be granted for Juniors taking special medication and this should be noted on the Medical Release Form. be allowed, but will not be the responsibility of the hotel or the Knights of Peter Claver, Inc. 11. Juniors caught damaging hotel property will have to pay any financial costs assessed by the hotel. 12. Juniors are expected to conduct themselves accordingly at all times in a manner that will be a credit to our organizations. Good manners and proper attire will be expected. 13. Respect should be given to all Commanders, Counselors, chaperones, assistant commanders/counselors, and all senior members of KPC. 14. All adult chaperones are expected to conduct themselves in the proper manner that would display the fine character of our organization. 15. Conduct not adhering to the stated rules of the Conference will be investigated and a decision will be made as to the proper action that will be taken. 16. Swimming is not permitted during the conference. 17. The Code of Ethics (Rules & Regulations) will be binding on all Delegates, Chaperones, Commanders, Counselors, and Senior members attending the Conference. 18. Each Branch/Court will be responsible for making Juniors, Chaperones, and others aware of the Code of Ethics (Rules & Regulations) 8. Courtesy and politeness will prevail at all times in meetings and workshops. 9. There should be no running, yelling, or playing in the hotel lobby, hotel halls, between floors and elevators. Respect for other hotel guests must be given. Juniors should have a low, respectful voice/tone at all times (no loud talking or outburst) 10. 16 SAFETY AND SECURITY GUIDELINES 2018 Gulf Coast District Junior Conference The following guidelines should be reviewed carefully by the Commanders and Counselors and shared with your Juniors and Chaperones: 1. The Security Team shall be made up of Knights and Ladies from all zones that are attending the Conference and would like to volunteer. 2. The Security Team will be on duty Friday Sunday 3. Security will work in teams to patrol the hotel around the clock especially after the curfew hours. 4. Juniors should not be moving around the hotel after the curfew hours. If an emergency occurs that you must leave your room, the Commander, Counselor or Chaperone must accompany the Junior and notify security (when possible). 5. Commanders and Counselors are obligated to know the whereabouts of their Juniors at all times. The safety of our Juniors is all of our responsibility. An un-chaperoned Junior in a strange place is dangerous. 6. The Security Team will be identified at the Joint session on Friday. Security will provide the Conference body with additional information or security procedures if necessary. 7. Junior will show respect to security and anyone that is helping them. 8. All juniors, commanders, counselors and adult chaperones must be pre-registered. 9. Juniors, Commanders, Counselors and adult chaperones must wear Conference name badges at all times. 10. Swimming will not be permitted at any time during the conference. 11. The code of ethics, rules & regulations will be binding on all Delegates, Chaperones, Commanders, Counselors and senior members attending the conference. 12. Conduct not adhering to the stated rules of the conference will be investigated and a decision will be made as to the proper action that will be taken. 13. Juniors caught damaging hotel property will have to pay any financial cost(s) assessed by the hotel.

22 Send Junior Knights Form to the Director, and send Junior Daughters Form to the Directress Deadline: April 30, STANDING RULES OF ORDER 50 TH GULF COAST DISTRICT JUNIOR CONFERNCE 1. The Conference shall be called to order on Saturday June 9, 2018 in Charleston, SC at 9:00 AM and shall adjourn at 11:00 AM on Sunday June 10, Lunch and breaks times will be in accordance with activities planned by the host Zone. Should deviation from the rules of order become necessary, then the agenda of the chair will prevail. 2. The Credentials Committee, under the direction of the Junior Secretary and its Advisor shall collect credentials for delegates to be verified. This committee will begin work on Friday June 8, 2018 at 3:00PM at the place designated by the host group. The Credentials Committee shall make its first report at the Saturday morning session and remain on stand-by throughout the Conference to make necessary adjustments. 3. Guards shall report to their assigned stations to receive the passwords, fifteen minutes prior to the opening of each session and remain on duty until excused. 4. Voting delegates shall at all times sit in the section reserved for them. 5. Any delegate seeking the privilege of the floor should proceed to the microphone displaying voting card. Being recognized by the chair, state name, branch/junior court number, city and state. 6. Preference in assigning the floor shall be given by the Chair to delegates representing Branches/Junior Courts whose delegates have not spoken to the pending issue or question. 7. Debate shall be limited to Delegates. Delegates may not speak longer than two minutes at one time, and not more than twice on the same subject. 8. No motion shall be subject to debate until it has been duly seconded and properly stated by the chair. Long motions shall be put in writing, upon request of the Chair. 9. All members shall be courteous and considerate in their deliberations, not indulging in personalities, and upon being called to order by the Chair, shall cease speaking until the question of order is determined and permission is given to proceed.

In the event that the Grand Knight/Lady or Delegate finds it necessary to leave the meeting chamber or be absent from the meeting, the Junior Deputy Grand Knight/Junior Vice Grand Lady or Alternate Delegate will be given their voting cards and permitted to function in their places. It is understood that the Alternate of either office does not assert his/her right of voice unless the Delegate is not present. 11. Nominations for Junior District President, Vice President, Secretary, Treasurer, and Sergeant-At-Arms/Mistress-At-Arms shall take place at the Saturday June 9, 2018 session. 12. Each member of the Conference is reminded of his/her obligation to attend the meetings of the Conference and be on time. 13. Delegates and All members will not be permitted to talk, smoke or chew gum in the meeting chamber. Violators will be fined.50 cent. 14. Cellular phones should be turned off or placed on vibrate in the meeting chamber. 15. Delegates and members should limit their entering and leaving the meeting chamber. 16. All juniors are to be chaperone throughout the conference. 17. The Newly Revised Robert s Rules of Order shall govern all proceedings of the Gulf Coast District Junior Conference. 18. All Juniors are to obey the 12:00 AM curfew, unless a supervised affair is in progress. In such instances, one must either be in attendance at the supervised affair or in his/her room. If one is attending a supervised affair, then curfew will be thirty (30) minutes after the time designated for the affair to end. 19. Regarding discipline and conduct After an investigation and all parties involved have been heard, the ranking senior officer reserve the right to suspend a delegate from the conference meeting by confining said delegate to his/her room (other than for meals) or by having said delegate return home (after proper notification to parents/guardians). Said delegate will be accompanied by adult sponsor to their home, this will include the complete delegation, if only one (1) adult sponsor is attending the conference. 20. The senior members may make observations, suggestions, as recognized by the chair, but when possible, consult with your delegation. 21. Adult sponsors will be expected to display only the FINEST CHARACTER which would be an asset to Claverism at all times.
