2 Institutional Head or Executive Officer Position Description: Is the head of the chartered organization (may or may not be a Scouter). Chartered Organization Representative Position Description: Is the head of the Charter Organizations "Scouting Department". The Chartered Organization Representative is appointed by and serves at the satisfaction of the chief executive of the Charter Organization. Reports to: Charter Organization Institutional Head (IH). Is a member of the Charter Organization. Secures the Troop Committee Chair and encourages training. Maintains a close liaison with the Troop Committee Chair and the Scoutmaster. Helps recruit other Adult Leaders. Becomes trained for the position, to include the Troop Committee Training. Serves as a liaison between the Troop and the Charter Organization. Assists with unit re-chartering. Encourages service to the organization. Is an active and involved member of the Timucua District Committee. Provides meeting place for the Troop meetings and storage of the Troop equipment. Approves all Adult Leader applications. Reports to the Troop Committee as needed. Currently Filling the Position: Mr. Rice Scoutmaster Position Description: Is the Adult Leader responsible for working directly with the Scouts to help them create the program for the Troop. He trains Youth Leaders to run the Troop by providing direction, coaching, and support. Is selected and recruited by the Troop Committee and approved by the Charter Organization Representative and serves at the satisfaction of the Troop Committee and the Charter Organization Representative. Can be male or female. Must be at least 21 years of age. Must be a registered Adult Leader. Completed Youth Protection Training. Trains and guides the Troop's Youth Leaders. Works with other responsible Adult Leaders to bring Scouting to the boys. Uses the methods of Scouting to achieve the Aims of Scouting. Page 1 of 16 Version 1; August 26, 2014

3 Meets regularly with the Patrol Leaders Council for training and coordination in planning the Troop activities. Attends all the Troop meetings, or if necessary arrange for a qualified Adult Leader substitute. Attends the Troop Committee meetings. Attends all the campouts or arranges for a qualified Adult Leader substitute. Attends the monthly Timucua District Roundtable or arranges for a qualified Adult Leader substitute. Attends the Eagle Boards-of-Review and introduce the Troop's Eagle candidates or arrange for a qualified Adult Leader substitute. Conducts Scoutmaster Conferences for all rank advancements or delegate to a qualified Assistant Scoutmaster. Conducts periodic parents sessions to share the program and encourage parent participation and cooperation. Delegates responsibility to other Adult Leaders and groups (Assistants, The Troop Committee) so they have a real part in the Troop operations. Coordinates the annual elections for the Troop Junior Leaders with the Patrol Leaders Council. Coordinates an annual The Troop Introduction to Leadership Skills for Troops program with the Patrol Leaders Council. Coordinates an annual planning meeting with the Patrol Leaders Council to plan the next years Troop activities. Present this plan to the Troop Committee for approval Makes it possible for each Scout to experience at least 10 days and nights of camping each year. Builds a strong program by using proven methods presented in Scouting literature. Becomes trained for the position to include: This is Scouting, Scoutmaster and Assistant Scoutmaster Leader Specific Training, Intro to Outdoor Leader Skills, Youth Protection, and Hazardous Weather. Woodbadge Training is highly recommended. Sets the example by wearing the Boy Scouts of America uniform or equivalent for the event (wear what the Scouts should wear). Conducts all activities under qualified leadership, safe conditions, and under the policies of the Chartered Organization and the Boy Scouts of America. Maintains a close working relationship with the Charter Organization Representative and the Troop Committee Chair. Recruits Assistant Scoutmasters. Abides by the Scout Oath or Promise and the Scout Law. Commit to serve in this position for a minimum of 3 years. Page 2 of 16 Version 1; August 26, 2014

4 Equivalents: Team Coach Varsity Scouting Crew Advisor Venturing Skipper Sea Scouting Post Advisor Exploring Currently Filling the Position: Mr. Viruet Assistant Scoutmaster Position Description: Is an Adult Leader age 18 or over who assist the Scoutmaster in delivering the Troop program. Is selected by the Scoutmaster with assistance of the Troop Committee and serves at the satisfaction of the Scoutmaster and the Troop Committee. Reports to: The Scoutmaster. Can be male or female. Must be at least 18 years old (at least one Assistant Scoutmaster in the Troop should be 21 or older so he or she can serve in the Scoutmaster s absence). This is the only the Troop Adult Leader position for Adults age Must be a registered Adult Leader. Completed Youth Protection Training. Assists the Scoutmaster with his/her responsibilities. Attends 50% of all the Troop meetings and outings to qualify for position credit. Becomes trained for the position to include: This is Scouting, Scoutmaster and Assistant Scoutmaster Leader Specific Training, Introduction to Outdoor Leader Skills, Youth Protection, and Hazardous Weather. Woodbadge Training is highly recommended. Fills in for Scoutmaster when required. Sets the example by wearing the Boy Scouts of America uniform or equivalent for the event (wear what the scouts should wear). In addition to the above duties several Assistant Scoutmaster s have additional responsibilities in specific areas as assigned by the Scoutmaster: - New Scout Patrol: Work with new Scouts to help them make a smooth transition into the Troop and advance to First Class in a reasonable time. This involves working with the Patrol Leaders Council and the Assistant Senior Patrol Leader for New Scouts. Also works closely with the Troop Instructors, Troop Guides, and Advancement Coordinator to facilitate Scout advancements. - Meetings: Provide guidance to the Senior Patrol Leader in keeping the Troop meetings on schedule and organized. - High Adventure: Acts as a mentor to the Venture Patrol (older Scouts) to promote and execute a quarterly High Adventure outing. 5 - Order of the Arrow: Encourage membership in the Order of the Arrow and coordinate annual Order of the Arrow elections. Must be an Order of the Arrow member. Should attend all Order of the Arrow meetings or arrange for a qualified Adult Leader substitute. - The Troop Junior Leader Advisor: Act as a mentor to the Troop Junior Leaders. Help coordinate Introduction to Leadership Skills for Troops training. - Patrol Advisor: Act as a mentor to Patrol Leaders and serve as a resource to the Patrols. Get monthly reports from each of the Patrols and share them with the Senior Patrol Leader and Scoutmaster. - Tour Leader: This is a Scoutmaster/Assistant Scoutmaster trained, uniformed Adult Leader over 21 who is appointed by the Scoutmaster to be the Adult Leader responsible for any given outing/activity. Normally this person would be an Assistant Scoutmaster although this is not required. Completing the following courses or the equivalent would constitute being trained: Youth Protection, Fast Start, This is Scouting, Scoutmaster/Assistant Scoutmaster Leader Specific Training, Introduction to Outdoor Leader Skills, and Hazardous Weather. Works with other responsible Adult Leaders to bring Scouting to boys. Uses the methods of Scouting to achieve the aims of Scouting. They also provide the two deep leadership required by the Boy Scouts of America (there must be at least two Adult Leaders present at any Boy Scout activity). Abides by the Scout Oath or Promise and the Scout Law. Clift, Mr. Derfler, Mr. Ferguson, Mr. Mitchell, Mr. Palmer, Mr. Roche, and Mr. Wilson THE TROOP COMMITTEE POSITIONS The Troop Committee Chair Position Description: Is appointed by the Chartered Organization and registered as an Adult Leader of the Boy Scouts Serves at the satisfaction of the Chartered Organization Representative and the Troop Committee. The Troop Committee Chair appoints and supervises the Troop Committee and Adult Leaders. Reports to: Charter Organization Representative. Page 4 of 16 Version 1; August 26, 2014

6 Can be male or female. Must be at least 21 years of age. Must be a registered Adult Leader. Completed Youth Protection Training. Organize the Troop Committee to see that all functions are delegated, coordinated and completed. Maintain a close relationship with the Chartered Organization Representative and the Scoutmaster. See that Unit Leaders and the Troop Committee members have training opportunities. Interpret national and local policies to the unit. Ensure the Troop adheres to the policies of the Chartered Organization and the Boy Scouts of America. Prepare the Troop Committee meeting agendas Work closely with the Scoutmaster in preparing the Troop Committee meeting agendas. Call, preside over, and promote attendance at monthly Troop Committee meetings and any special meetings that may be called. Ensure unit representation at monthly Timucua District Roundtables. Recruit top-notch, individuals for adult leadership. Become trained for position to include: The Troop Committee Training, Scoutmaster Fundamentals, and Youth Protection. Arrange for charter review and re-charter annually and plan charter presentation. Abides by the Scout Oath or Promise and the Scout Law. Commit to serve in this position for a minimum of 3 years. Currently Filling the Position: Mrs. Wilson Troop Committee Member Position Description: All registered Adult Leaders are members of the Troop Committee. The Scoutmaster and Assistant Scoutmasters are non-voting members. All other registered Adult Leaders have a single vote. All Adult Leaders must be approved by the Troop Committee Chair and the Charter Organization Representative. Can be male or female. Must be at least 21 years of age. Must be a registered Adult Leader. Completed Youth Protection Training. Serves as a resource to the Troop. Works with an assigned officer. 7 Read their son's Scout Handbook. Understand the Aims and Methods of Scouting. Become trained for position to include: Fast Start, This is Scouting, the Troop Committee Challenge and Youth Protection Training. Shows support to individual Scouts and The Troop by attending Courts-of-Honor and as many the Troop meetings as possible. Attend as many Troop Committee meetings as possible. Support the Troop fundraisers, service projects, and activities. Participate on Board of Reviews as requested by the Advancement Coordinator. Assist the area Coordinators when requested. Abides by the Scout Oath or Promise and the Scout Law. Secretary Position Description: Responsible for keeping minutes of the Troop Committee meetings and to handle the Troop correspondence. Is appointed by the Troop Committee Chair and serves at the satisfaction of the Troop Committee Chair and the Troop Committee. Can be male or female. Must be at least 21 years of age. Must be a registered Adult Leader. Completed Youth Protection Training. Attends all the Troop Committee meetings, record the minutes, with special emphasis on decisions made, actions taken, and policy made. Transcribes and distributes rough draft of minutes to attendees as soon as possible following the Troop Committee meeting to ensure members have time to follow up on action items. Sends out the Troop Committee meeting notices. Handles publicity. At each meeting, reports the minutes of the previous meeting. Provides copies for those attending. Handles The Troop correspondence as needed. Reports to the Troop Committee as needed at Troop Committee meetings. Abides by the Scout Oath or Promise and the Scout Law. 8 Training Coordinator Position Description: Ensures training opportunities are available, maintains training records and materials, and is responsible for Boy Scouts of America Youth Protection Training. The goal of the Training Coordination is to have 100 percent of the Adult leadership trained in their positions of responsibilities. Is appointed by the Troop Committee Chair and serves at the satisfaction of the Troop Committee Chair and the Troop Committee. Can be male or female. Must be at least 21 years of age. Must be a registered Adult Leader. Completed Youth Protection Training. Stays aware of Adult Leader and Youth training opportunities at the Gulf Ridge Council and Timucua District level and on-line. Ensures Adult Leaders and Scouts are made aware of training opportunities. This entails making announcements and providing information about upcoming training opportunities. Encourages new Adult Leaders to attend ongoing training such as roundtable, Outdoor Training, Youth Protection, and Wood Badge. Coordinates yearly Youth Protection Training prior to Summer Camp. Coordinates Fast Start Training with Membership Coordinator for new parents after Webelos have bridged. Encourage periodic Junior Leader Training within the Troop at the Council and National levels. Assists the Scoutmaster as needed with preparations/materials for Introduction to Leadership Skills for Troops training as requested. Coordinates training events for parents at the Troop meetings. This is done by finding topics of interest or need for the Adult Leaders/parents and arranging a short presentation from the Scoutmaster Corps or other knowledgeable person. Keeps the Scoutmaster and the Troop Committee Chair apprised of activities. Strives to make sure the Troop meets Gulf Ridge Council Training requirements for Adult Leaders. Reports to The Troop Committee as needed at Troop Committee meetings. Abides by the Scout Oath or Promise and the Scout Law. 9 Membership Coordinator Position Description: Works closely with Webelos Den Leaders and Cub Masters encouraging Webelos Scouts to make the transition into Boy Scouts. Is appointed by the Troop Committee Chair and serves at the satisfaction of the Troop Committee Chair, Scoutmaster, and the Troop Committee. Can be male or female. Must be at least 21 years of age. Must be a registered Adult Leader. Completed Youth Protection Training. Maintains contact with local Cub Pack Leaders. Encourages Den Chiefs and promotes Den Chief Training. Invites Webelos dens to visit the Troop and attend annual Webelos camp out. Coordinate schedule of visits with Scoutmaster. Greets visitors at the Troop meetings, introduce them to the Troop Youth and Adult Leaders, and help them understand how to join the Troop. Answers any questions they may have about the Troop operations. Makes sure prospective the Troop members (Adult & Youth) receive the necessary information and forms needed to register with the Troop and to sign-up for Summer Camp. Ensures registration paperwork is properly completed and routed to appropriate Adult Leaders. Works with Treasurer to collect dues as required for new members. Should attend most the Troop meetings and be prepared to welcome visitors and provide information about the Troop and how to join. Plans and coordinates the Troop open house. Coordinates with Cub Master and Scoutmaster to ensure the Troop attendance and participation in Webelos crossover ceremony. Works with the Scoutmaster to make sure new Scouts are assigned to a Patrol and welcomed by the Patrol. Assists in the orientation of new Scouting parents. Maintains contact with parents of new Scouts during the first few months after joining to make sure their questions are answered and their concerns are addressed. Currently Filling this Position: Vacant Webmaster Position Description: Is responsible, along with the Scout Webmaster, for the Troop website. They insure that the website is up to date with the information Scouts and parents need and the site is maintained in a professional manner. Is appointed by the Troop Committee Chair and serves at the satisfaction of the Troop Committee Chair and the Troop Committee. Can be male or female. Must be at least 21 years of age. Must be a registered Adult Leader. Completed Youth Protection Training. Should have experience in maintain a website. Coordinates with the Troop Webmaster on design and content of web site. The intent is to make all information on Troop 101 and our outings available on-line in a simple and easy to use manner. Provides links to other sites as appropriate so we do not recreate the content of Timucua District, Gulf Ridge Council, or National organizations. Coordinate with Registrars to create distribution lists. Coordinate information with the Patrol Leaders Council and Troop Committee for inclusion in the Website. Maintain backup of site for disaster recovery. Ensure security of sensitive information on the website. Renew web site hosting and URL registration as needed. Reports to the Troop Committee as needed at Troop Committee meetings. Should attend the Troop Committee meetings and report as needed. Currently Filling the Position: Assistant Scoutmaster Mr. Palmer Chaplain Position Description: Promotes the pursuit of the 12th point of the Scout Law "A Scout is reverent". Provides spiritual tone, guides the Chaplain s Aide, gives spiritual counseling, and promotes the regular religious participation of each member. Is appointed by the Troop Committee Chair and serves at the satisfaction of the Troop Committee Chair and Scoutmaster. Page 9 of 16 Version 1; August 26, 2014

11 Can be male or female. Must be at least 21 years of age. Must be a registered Adult Leader. Completed Youth Protection Training. Provides a spiritual tone for the Troop meetings and activities. Gives guidance to the Chaplain Aide (a Scout position). Promotes regular participation of each member in the activities of the religious organization of his choice. Coordinates visits to homes of Scouts in time of sickness or need. Gives spiritual counseling service when needed or requested. Promotes the pursuit of religious awards by all Scouts. Coordinates with Chaplain Aid religious observations during Scout activities. Reports to the Troop Committee as needed at Troop Committee meetings. Abides by the Scout Oath or Promise and the Scout Law. Currently Filling the Position: Vacant Advancement Coordinator Position Description: Ensures that the unit has at least monthly Boards-of-Review, quarterly Courts-of-Honor, and that the unit has goals of helping each Scout advance a rank each year and for new Scouts to reach First Class rank during their first year. The advancement chair is also responsible for record keeping and submitting advancement reports. Is appointed by the Troop Committee Chair and serves at the satisfaction of the Troop Committee Chair, Scoutmaster, and the Troop Committee. Can be male or female. Must be at least 21 years of age. Must be a registered Adult Leader. Completed Youth Protection Training. Encourages Scouts to advance in rank. Arranges and conduct Boards-of-Review Coordinates Courts-of-Honor with the Senior Patrol Leader and Scoutmaster. Trains Troop Committee Members to conduct the Troop Board of Reviews for Tenderfoot to Life ranks. Attends the Troop Committee meetings and report as needed. Should attend most of the Troop meetings. 12 Works with the Troop Librarian to build and maintain a Troop Library of Merit Badge pamphlets and other advancement literature. Promotes attendance at Timucua District Merit Badge Expos. Has a working knowledge of the Boy Scout advancement program. Makes a prompt report on the correct form to the Gulf Ridge Council Service Center when a Troop Board of Review is held. Secures badges and certificates as required. Works closely with Scoutmaster and the Baden Powell Assistant Scoutmaster to keep them informed on advancement needs of Scouts. Works closely with Eagle Advisor to request congratulatory letters for Eagle Courts-of- Honor. Works with Troop Scribe to maintain all Scout advancement records. Keeps records of the Troop advancement and attendance at the Troop activities in the TroopMaster program. Reports to the Troop Committee as needed at Troop Committee meetings. Abides by the Scout Oath or Promise and the Scout Law. Currently Filling the Position: Mrs. Mitchell Life to Eagle Advisor Position Description: Acts as a resource for Life Scouts preparing to work on the Eagle rank. Mentors Life Scouts as they complete their Eagle Process and assists in navigating the Gulf Ridge Council and Timucua District s requirements for the Eagle Project, the Eagle Application, and the unique Board-of-Review process. Is appointed by the Troop Committee Chair and Scoutmaster and serves at the satisfaction of the Troop Committee Chair, Scoutmaster, and the Troop Committee. This can be an Assistant Scoutmaster or a Troop Committee position. Reports to: The Scoutmaster and the Troop Committee Chair. Can be male or female. Must be at least 21 years of age. Must be a registered Adult Leader. Completed Youth Protection Training. Provides Scouts attaining Life rank the "Life to Eagle" packet. Informs Life Scouts of the Troop s Life to Eagle Guide and the Troop policies. Advises Life Scouts on the general process of attaining the Eagle rank. Explain Eagle rank advancement process to parent. Provide support and guidance to those Life Scouts advancing to the Eagle rank. Advises Life Scouts on Eagle service projects and provide guidance on paperwork preparation. Attend Eagle project and Eagle Boards-of-Review as required. Page 11 of 16 Version 1; August 26, 2014

13 Assists families of Eagle Scouts with Eagle Court-of-Honor planning. Coordinates with Advancement Coordinator requests for Eagle letters of congratulations from dignitaries. Should be an Eagle Scout, or the parent of an Eagle Scout who has knowledge of the process. Submit names to the Troop Committee of those Life Scouts wishing to advance to Eagle Scout on a quarterly basis. Reports to the Troop Committee as needed at Troop Committee meetings. With the Advancement Coordinator, maintain integrity of Eagle Scout rank advancement process. Abides by the Scout Oath or Promise and the Scout Law. Currently Filling the Position: Scoutmaster Mr. Viruet, Assistant Scoutmaster Mr. Wilson, Assistant Scoutmaster Mr. Mitchell, and Assistant Scoutmaster Mr. D. Clift Outdoor / Activities Coordinator Position Description: Secures reservations for the Troop activities/campouts, coordinates transportation, process tour permits and necessary paperwork required to conduct the outdoor program. Is appointed by the Troop Committee Chair and serves at the satisfaction of the Troop Committee Chair, Scoutmaster, and the Troop Committee. Can be male or female. Must be at least 21 years of age. Must be a registered Adult Leader. Completed Youth Protection Training. Will work closely with the Scoutmaster to make necessary reservations to accommodate the planned activities after the PLC's annual calendar has been approved by the Scoutmaster and the Troop Committee. Secures permission and reservations to use camping sites and facilities. Coordinates with the Treasurer to ensure camping fees are paid. Maintains map library for use in making copies for camp out drivers. Secure Tour Permits for all Troop activities. Attends the Troop meetings when Permission Slips are due and collect Permission Slips. Serve as transportation coordinator for the Troop outings. Ensure enough drivers are available for each outing. Prepare maps and driving directions for drivers. Publish a driving roster for each outing. Identify emergency contact person for each trip. Page 12 of 16 Version 1; August 26, 2014

14 Keep Tour Leaders Binder updated and in the hands of the Tour Leader for each outing. This includes the annual update of Medical Forms prior to Summer Camp. Work with Database Coordinator to ensure Gulf Ridge Council has updated drivers / vehicle list for Tour Permits. Promote attendance at the Troop campouts, Timucua District / Gulf Ridge Council activities (camporees, expos, camporall, etc.), and summer camp to reach the goal of one outing per month. Takes advantage of all Timucua District and Gulf Ridge Council events and activities. Promote the National Camping Award. Keeps the "Camping/Activity Pledge" in mind when dealing with exceptions to normal practices. Keep Tour Leader(s), Scoutmaster, and the Troop Committee Chair updated on any issues or potential problems with reservations or travel. Act as or appoint an Emergency Contact for each outing. Report to the Troop Committee at each meeting. Abides by the Scout Oath or Promise and the Scout Law. Currently Filling the Position: Assistant Scoutmaster Mr. Roche Service Project Coordinator Position Description: Coordinates and promotes service projects for. Is appointed by the Troop Committee Chair and serves at the satisfaction of the Troop Committee Chair and the Troop Committee. Can be male or female, but must be at least 21 years of age. Coordinates meeting with Chartered Organization Representative and/or the Troop Committee Chair and to discuss suitable projects the Troop could do for the Church. Discusses possible projects with The Troop Committee Chair and Scoutmaster for suitability. Gains Patrol Leaders Council and The Troop Committee support for project and set date. Coordinates procurement of materials/supplies needed. Promotes attendance at service project and generate a sign-up list. Coordinates with organization staff for access to facilities that may be required. Maintains records of participation hours and submit same to Advancement Coordinator. Coordinates sending thank you letters for those who donated material/supplies. Report on project to The Troop Committee. Abides by the Scout Oath or Promise and the Scout Law. 15 Equipment Coordinator (Adult Quartermaster) Position Description: Responsible for procurement and maintenance of The Troop equipment. Is appointed by the Troop Committee Chair with assistance of the Troop Committee and serves at the satisfaction of the Troop Committee Chair, Scoutmaster and the Troop Committee. Must be a registered Adult Leader. Completed Youth Protection Training. Handles all the Troop funds. Pay all bills on recommendation of the Scoutmaster and authorization of the Troop Committee. Works with Re-charter Coordinator to collect and record annual dues. Works with Fund Raising Coordinator to account for monies earned during fund raisers and track Scout account credits earned. Works with Membership Coordinator to process registration of new Scouts and Adult Leaders. Works with Outdoor / Activity Coordinator to make necessary payments for camping / activity reservations. Collects Summer Camp payments and remit funds to the camps local council office for camp reservations / payments in a timely manner. Needs to attend most The Troop meetings. Reports to The Troop Committee at each Troop Committee meeting. Abides by the Scout Oath or Promise and the Scout Law. Currently Filling the Position: Mrs. Chancey Fundraiser Coordinator Position Description: Researches and recommends fund raising projects to meet the Troops financial needs supervises fundraising and ensures that every Youth member has the opportunity to participate in. Is appointed by the Troop Committee Chair and serves at the satisfaction of the Troop Committee Chair and the Troop Committee. Can be male or female. Must be at least 21 years of age. Must be a registered Adult Leader. Completed Youth Protection Training. Makes recommendations on fundraising activities. Ensures all fund raising activity and the profit allocation to the Troop is in compliance with Boy Scouts of America policies. Work with the Treasurer in conducting Gulf Ridge Council-approved Troop moneyearning projects. Obtains the Troop Committee approval for all fundraising projects. Reports to the Troop Committee as needed. Helps the Troop Committee and Adult Leaders with Popcorn and other Fundraising events. Currently Filling the Position: Mrs. Ferguson Merit Badge Counselor: Are subject matter experts for the Merit Badges they counsel either through vocation or hobby. Can be male or female. Conducts all Merit Badge classes and counseling within published Boy Scouts of America guidelines. This includes: Youth Protection Training and the Guide to Safe Scouting. Whenever a Merit Badge Counselor is counseling their own son for a merit badge, the Scoutmaster must approve such an arrangement and other Scouts must also be included in the Merit Badge sessions.
