2 Dear Greater New York Councils Scouters, On behalf of the district Key 3 s, the Greater New York Councils Program Committee and the professional staff, we are proud to present the July 2017 December 2018 Greater New York Councils program calendar. This calendar lists all of GNYC s events along with the activity, training and committee meeting dates in each of our eight districts. The purpose of this calendar, our third year using the 18 month format, is to put information in the hands of unit leaders before the start of the next Scouting season. It also give you the ability to attend another district s event or training course in case conflicts prevent you from attending in your own district. All eight districts support our mission, to give the youth of New York City the best program possible. Any youth or adult can attend any council or district training course or activity, with only one exception: our district and council Key 3 s have decided that district Pinewood Derbies are open only to Cub Scouts who belong to a pack within that specific district. 3 Program Planning: The Basis of a Successful Unit UNIT PROGRAM PLANNING Program planning is a simple but critical part of your unit s success. Throughout the process remember your goal is to deliver a high quality program to each boy and his family. It should be fun, exciting and focused on the purposes of Scouting. Setting an annual program plan provides direction, a sense of satisfaction and a feeling of accomplishment in a job well done. Planning also makes the best possible use of your valuable volunteer time, and makes it easier to recruit parents into volunteer roles. Quality Program One of the most important responsibilities of the unit committee is to keep the unit operating with a first-rate, year-round program. The quality of the program will depend largely on the unit committee giving the unit leader and his/her assistants the help they need. Scouting s program planning and delivery include several important steps, which usually guarantee a strong unit program. All unit plans should have at least one of the six core values included in each of their outings: Citizenship, Fitness, Outdoor, Leadership, Service and Social. The Annual Unit Plan should include the following goals: Get 100% of your leaders trained for their position. Grow the number of families served by retaining families and recruiting new families to the unit. Ensure the greatest number of your Scouts attend summer camp or day camp. Have 100% of your parents complete Youth Protection training. Steps to Building a Great Annual Plan 1) SET A DATE TO PLAN: Set a date to meet with the committee and all assistant leaders. 2) CHECK MEETING DATES: Check with your chartered organization and school calendar(s) to find available dates for unit meetings that remain consistent (same time and day each week/month). 3) REVIEW LAST YEAR S PROGRAM: Which activities worked and which did not? Decide what activities and special meetings you would like to do again. Also determine whether or not your budget was adequate. 4) SET NEW MEETING DATES: Review available unit meeting dates with the committee, set dates for the coming year and include them in your planning calendar. Be careful to avoid holidays or school breaks. 5) NOTE COUNCIL AND DISTRICT DATES: Review the council and district calendar and mark dates on your unit schedule: training sessions, activities and important meetings like s. 6) SET SPECIAL UNIT DATES: Set the dates for special unit activities: annual fundraiser (popcorn/camp cards), FOS, award ceremonies, summertime activities. 7) SCHEDULE YOUR MONTHLY COMMITTEE MEETING AND COMMUNICATION DEADLINES: Secure monthly dates for unit committee and, for troops, patrol leaders council meetings to finalize the following month s program. 8) SELECT A MONTHLY CORE VALUE: Write one of Scouting s core values under each month in your calendar so the month s focus is known. 9) SET A BUDGET: Create a wish-list of activities with your Scouts and use a worksheet budget to plan how to fund it. 10) COMMUNICATE THE PLAN: Scouts and their families are more likely to participate in the program if they have a copy of the calendar in advance. Families should receive a copy so they can plan accordingly
