1 Release Date: 18 November 2017 Release Number: v AWCTS SYSTEM RELEASE NOTES Release Summary The release of the Army Warrior Care & Transition System (AWCTS) consists of bug fixes and enhancements. If you have questions or concerns about system capability, contact the AWCTS Service Desk at or support@awcts.zendesk.com. Release notes for past system versions are available from the AWCTS Help Center ( AWCTS Module: ALL System Report display corrected (fix) System Reports will remain inside of the application view area and resize as expected. AWCTS Module: AW2 Update Charts based on new region alignment (fix) Limit Issue Follow Up Date and Task Due Date Leadership Grids Contact Center Data My Profile Attachments (fix) Add Attachment popup windows Charts and dashboards across AW2 now consistently display the correct region titles. Issue Follow Up Date and Task Due Date are now limited to today s date or later. Grids for users with the Leadership role now display Contact Center data in addition to previously displayed information. Attachments (System Access request and HIPAA Certificate) can now be uploaded through a user s My Profile page. Add attachments popup windows are consistent across the module. The Submit button is now to the right of Cancel in all cases. AWCTS System Release Notes (v ) 1

2 AWCTS Module: OMB Dynamic Contact Data Requirements Issue Detail Report (fix) Closed Opened in Error Case Status Add Attachment popup windows Enable/Disable Permissions Format Validation (fix) Case intake requirements are now dependent upon the type of case. Anonymous Case: Phone Number and Address fields are optional Unmatched or Matched Case (to ITAPDB Record): A Phone Number OR Address is required The Issue Detail System Report now correctly displays Issue For data when the issue is for someone other than the service member. Admin and MAG Distro users may select the case status Closed opened in error on the Case Information page. Add attachments popup windows are consistent across the module. The Submit button is now to the right of Cancel in all cases. Dropdown list items can be enabled/disabled on the following dropdown lists: OMB location (Case Intake and Case Information screens) Contact Method (Case Intake screen) Issue Status (Issue Detail screen) Document Type (Add Attachment popup) field in Physical Address Location section now requires the accepted format. 3 AWCTS Module: Soldier Update Self-assessment language Improved Self-Assessment Tool Tips Next Scrimmage Information (fix) Formatting Issues (fix) Changes to Pain and Physical Fitness categories better assess a Soldier s current status and align with the need for Action Plans. The choices for Pain are now Green: I have no pain, or my pain is currently being managed. Amber: I have some pain and I need help managing it. Red: I have pain that is unmanageable. The choices for Physical Fitness are now Green: I am able to pass the APFT (primary or alternate events) and I am participating in an adaptive PT program, or I have a permanent profile that exempts me from taking the APFT. Amber: I am unable to pass the APFT (primary or alternate events), but I am participating in an adaptive PT program. Red: I am not participating in an adaptive PT program (regardless of my ability to pass the APFT). Updated tips are available by hovering over the question mark next to each self-assessment category. These tips clarify expectations for Soldiers completing the self-assessment. Next Scrimmage information now displays as expected for all scrimmage types and includes properly formatted time. Eliminated alignment and formatting inconsistencies on tabs and grids. AWCTS System Release Notes (v ) 3

4 AWCTS Module: WSFH Dynamic Contact Data Requirements Issue Log notification BLUF and Background Content Issue Log Assigned Tasks Dashboard Active Cases Dashboard Issues Grid Updates Case intake requirements are now dependent upon the type of case. Anonymous Case: Phone Number and Address fields are optional Unmatched or Matched Case: A Phone Number OR Address is required System notifications are no longer generated to the Supervisor when an Issue Log is added. BLUF and Background Content is now captured in the Issue Log. Customer Care Representatives now have an Assign Tasks dashboard sorted in order of due date. The due date will display: Black due date is greater than 3 days from today Orange due date is less than or equal to 3 days from today Red due date has passed Additionally, assigned task notifications no longer generate for Contact Center Representatives. The Active Cases dashboard on the home page now only displays the Name, Component, Creation Date and Case Id columns. Removed the Tasks tab from the Issues grid for Contact Center Representatives. Supervisors have an updated Tasks grid sorted by due date and color coded: Black due date is greater than 3 days from today Orange due date is less than or equal to 3 days from today Red due date has passed AWCTS System Release Notes (v ) 4

5 AWCTS Module: WTU Risk Assessment Dashboard (new feature) Appointments Improvements Transition Coordinator Dashboard (new feature) A Risk Assessment dashboard is now part of the home screen for Squad Leader, Platoon Sergeant, Nurse Case Manager, Social Worker and Company Commander. The dashboard displays open Risk Assessments. When the user completes the open Risk Assessment, the Soldier s name is removed. The initial 24-hour Risk Assessment displays in red at the top of the dashboard and all other assessments display in order of their initiation dates. The following updates to manual appointments added and managed in AWCTS are now available to improve functionality and management: Improved popup window allows users to add or modify appointments while maintaining grid filtering End time added to manual appointments A conflict checker warns the user of potential appointment conflicts (overlapping manual appointments and medical appointments beginning before or during the appointment being scheduled) A dashboard for Transition Coordinators will show records for all Soldiers assigned to the user with upcoming or required actions. The dashboard has direct links to the CER page of each listed Soldier s record. CER eligibility and CER participation have green, amber, red indicators with hover-over tool tips. Green: no action required Amber: action required soon Red: action overdue E2I and VR&E 1-on-1 Counseling display completion status and allow the user to enter dates directly from the dashboard. If E2I and VR&E 1-on-1 Counseling is not completed before Day 90, the cell will highlight as red. CER Eligibility Determination Date For additional information, see Transition Coordinator Dashboard in the AWCTS Help Center Resources. CER eligibility determination dates for M2 and CDR now update when eligibility comments are modified. Admissions Grid (fix) The Admissions grid (Soldier Case > Appointments > Admission History tab) now displays the ward and correct date and time information. AWCTS System Release Notes (v ) 5

6 Action Plan Detail Report (new feature) Future Duty Field Patient Status and Self-Assessment Availability Remove Group Assigned Reports Grid Filters Bulk Reassignment Squad Leader Covering for Platoon Sergeant (fix) Self-Assessment Frequency Weekly in HHC (fix) Battalion Commander Log Note (fix) Internship Location Field A link to the Action Plan Detail Report is available within each Action Plan. Select the Item History link on the Action Plan Details tab to run the report. The report displays all linked categories, Soldier comments, and log notes. The future duty field is now standardized as a drop down to facilitate more accurate reporting of case outcomes. Users will select from the available options when out-processing a case. Soldiers identified as inpatient during in-processing or through changes to the Soldier Information page will now be unavailable for self-assessments. Changing patient status to outpatient will update the Soldier to available for self-assessments. Legacy controls that automatically assign selected system reports to a user s My Reports page are now disabled. Users now have full control over reports added to or removed from My Reports. Removed dropdown filters on the Soldier roster and Assessments grids to create more consistent filtering behavior. To filter information, enter text in the desired column header box(es). Assigning a Squad Leader to cover the Platoon Sergeant role using Bulk Reassignment will now function as expected. 1. Admin Add Platoon Sergeant role to Squad Leader profile and make primary. 2. WTU Bulk Reassign Soldiers from losing Platoon Sergeant to covering Platoon Sergeant. 3. Soldiers previously assigned to the modified Squad Leader will now have no assigned Squad Leader. Instead that user will be their assigned Platoon Sergeant. Self-assessment Frequency cannot be modified if the Soldier is assigned to an HHC Company. The log note entered by AWCTS when a high-risk mitigation plan is approved now contains the correct spelling of Battalion. The Location field when adding or editing an Internship now allows up to 100 characters. AWCTS System Release Notes (v ) 6

7 System Report Updates Module Report Name AW2 AW2 Advocate Caseload (New Report) Displays advocate locations and locations of assigned cases. WSFH Issues Inquiries by Date Formatted to allow sorting after Excel export. WTU Assessment Metrics by Location Updated statistics for Action Plans and added Company level reporting. WTU AW2 RCC Caseload by Location Added new filter options WTU Action Plans Open by Soldier Add Created by Column. Parameters allow Action Plans Past Target Date reporting. WTU Action Plan Detail Displays all associated self-assessment categories, ratings and Soldier Comments, associated tasks and log notes for a single Action Plan. WTU SA Action Items Status New report that displays the current status of all open Action Plans associated with a selfassessment. The available filters are RMC, WTU, Company and Action Items Status. Known Issues Module Workaround WTU Soldier Roster is loading in shortened format for some users Refresh the screen (F5) to fill the page.
