2 ROTARY CLUB OF BENIN STRATEGIC PLAN FOR THE YEAR VISION To continue to do good in our communities especially through our support to the Rotary Foundation and carrying out impactful community and global projects. MISSION STATEMENT To be used as an instrument to provide service to others, promote integrity and advance a world of understanding, goodwill and peace through our fellowship of business, professional and community leaders. GOALS In keeping with the District goals of achieving minimum Rotary International District size in three years, the goals of Rotary Club of Benin are set out as follows: (1) MEMBERSHIP DEVELOPMENT: The membership strength of the club currently stands at 94 members and we do not desire to exceed hundred members for now. We plan to however charter one Rotary Club, one Rotaract Club and one Interact Club within this Rotary year. (2) CHARTERING OF NEW CLUBS Our club having attained a status of mega club not only in the district but Africa generally, the need to charter newer clubs has become imperative and urgently so. To this end we intend to charter one Rotary club, one Rotaract club and interact club accordingly within this Rotary year YEAR CREATION OF NEW CLUBS TOTAL 2018/ / / a) Furthermore, Fellowship is to be spiced up by bringing in innovations and making provisions for e.g. light refreshments, jokes and Rotary Songs and Rotary Talks to further cement the bond of friendship amongst members. b) Celebrate the birthdays and marriage anniversaries of Rotarians and Rotarian spouses and presenting gifts at such occasions. c) Increase and encourage recruitment of new quality members. d) The President and members at regular intervals will make contact with absentee Rotarians and report to the house accordingly. 2

3 e) Hold periodic training in the Club to keep Rotarians abreast with current trends in ethics and ethos of Rotary. f) Encourage a more friendly, loving and caring interactions among members. g) Conduct classification survey to determine filled and unfilled professions in the community. h) Give a classification talk at meetings to reflect diversity, age and gender. (3) SERVICE PROJECTS: i) Attract a District grant for at least one project for 2018/2019. j) Strive to do a District and a global project in conjunction with other clubs within the District. k) Rotary Club of Benin would do an environment impact and needs assessment for all our projects in 2018/2019. l) Work in collaboration with other clubs to do global grant projects starting from Rotary year 2018/2019. m) Continue to sustain our signature projects, i.e., hand washing, widow empowerment, skill acquisition, feeding of children, donation to multiple birth parents, water and basic sanitation program. n) Rotary Club of Benin shall do a project in all the six areas of focus in this Rotary year. o) Organize career counseling and development seminar with emphasis on career choice for secondary school students. p) Display the 4-way test bill boards in public places in collaboration with Ministry of Environment. Ogba Zoo, UBTH Central hospital etc. q) Holds vocational award ceremony in the month of October to recognize high ethical standards and public values in communities. corporate membership attract one tree planting r) Tree planting in conserving the environment and stopping of illegal felling of trees campaign awareness (2) ROTARY FOUNDATION GIVING: a) Rotary Club of Benin is to target an annual amount of $15,000 to be contributed to the Rotary Foundation for the three years. b) The Club would take EVERY ROTARIAN EVERY YEAR as a project and encourage all Rotarians to give to the Rotary Foundation. c) All October Sergeant-At-Arm contribution would go to District Education Endowment Fund (DEEF) while November Sergeant-At-Arm contribution would go to the Rotary Foundation (RF). d) Seek a Foundation matching grant for water and sanitation, maternal and child health and basic education and literacy. e) Get at least five (5) Paul Harris fellows ($1,000) each within the year. 3

4 f) Equally get at least two (2) Major Donors from the Club. g) The first ten (10) Rotarians that contribute ($800) to Polio Plus fund between now and October 23 rd 2018 will be matched with ($200) to become a Paul Harris fellow. This is open to first time donors only. (3) PUBLIC IMAGE: a) To have all our programs and projects adequately publicized each year. b) For the three consecutive years, the club must be sure to adopt the visual identity presence online, in print, electronic communication, brochures and promotional materials including Rotary Showcase. c) The club must have at least six electronic and print media information and/or interviews annually for the three years consecutive. d) Rotary Club of Benin will interface with non Rotarians through the instrumentality of social media and at the same time pass all District information to Club members through our Club social media page. e) Attend all public image training organize by the District from time to time. f) The Club must have and maintain a functional website during the period under review. (4) LEADERSHIP DEVELOPMENT: a) In the three years , District Conference will be taken as a project consequently % of members would be encouraged to attend all District events especially conferences in addition to attending Rotary International Conventions annually. b) Rotarians shall develop their leadership skill beyond Club levels. c) Members of the Club would be encouraged to participate in Rotary Leadership Institute training programs. (5) YOUTH SERVICES: a) The Rotary Club of Benin would continue to strengthen its sponsorship of the Rotaract Club of University of Benin b) The Club would sponsor not less than ten candidates to the Rotary Youth Leadership Award. c) Establish Rotaract Clubs at Institute of Science and Management Usen and Sunrise Polytechnic at Evbuobanosa. d) Would endeavor to do a joint project with one of our Rotaract Club this Rotary year. e) Persons below the age of 40 years would be encouraged to join the club. f) Rotaractors, on becoming Rotarians would be considered for waiver of training fee to encourage membership from alumni. g) The Club will make fellowship very interesting but not more than one hour. (6) CLUB ADMINISTRATION: 4

5 a) Prepare a detailed Club program for the Rotary year 2018/2019. b) The Club may hold occasional fellowship meetings, with adequate forehand information, at the residences of Rotarians who for certain reasons are unable to fellowship with us. c) The Club can review byelaws whenever the need arise. d) Begin and end meeting on time. e) Rotate seating arrangement. f) Encourage Rotarians to dress properly and wear their pins always. g) Recognize members with perfect monthly attendance and club activity commitment. h) Encourage attendance by frequent phone calls through contact groups. STRATEGIES FOR ACHIEVING CLUB GOALS i) MEMBERSHIP ATTRACTION AND ENGAGEMENT: i) The Rotary Club of Benin would carry out membership satisfaction survey and adequate steps would be taken to address any negative tendencies, actions emanating from such surveys. ii) Each new member would be assigned to a mentor who should serve as a mentee until such a time such member is strong enough to stand on his/her own. iii) The need to be of good conduct by members of the Club both within and outside the Club would be emphasized as Rotarians are encouraged to be of good behavior at all times. This would be emphasized at all times and periodic lectures held within the club to further reemphasize the need for a Rotarian of the Club to be an ambassador of good behavior. iv) Members will be made to address the Club at different times and at short notice on what they have learnt from the visitation to Rotary International Portal. v) All members will be assigned to committees, trained and encourage to attend all Rotary function to learn more through active participation. vi) Members would be encouraged to invite only quality men and women as guests, with a view to their becoming Rotarians. vii) Members will be given roles in the club, such roles should conform with their areas of interest and consistent with their classification. j) FOUNDATION GIVING: ba) ROTARY GIVING: i) Every Rotarian Ever Year would be taken as a project. A director would be appointed who would have the role of making all members to 5

6 ii) iii) iv) contribute whatever they have at any meeting until all members become givers to the Rotary Foundation. The Osusu option or pay small small (PSS) would be considered in this regard. Members would not only be encouraged to give to polio day celebration, the Club must also give their annual November Sergeant-At-Arm collection to the Foundation. Rotarians and non Rotarians who give to the Foundation will be celebrated by the Club. For the three years , the Club would reach out to high networth individuals with genuine sources of income and to corporate organizations to give to the Rotary Foundation. v) Finally, our Club would fashion out other ways of raising funds for the Foundation time to time e.g charity ball, auction sales etc. bb) GRANT PARTICIPATION: i. The Club would key into the procurement and use of District and Global grants for projects and must attend Grant Management Seminar. ii. We would meet grant (District and Global) criteria. iii. The Club will ensure we send all Presidents, President-Elect, and Rotary Foundation Directors to Grant Management Seminar every year. iv. As a Club we must use the Chairman of Grant Management, DGN Virginia Major to our advantage in ensuring that beginning this Rotary year our Club must carry out Rotary grant projects. (C) SERVICE PROJECTS: i. The installation of all Presidents ( ) will serve the primary purpose of raising funds for projects and to showcase the public image of Rotary. ii. Diverse membership classification for quality service delivery in our Club. iii. iv. All service project goals must be set on my Rotary portal. All projects must be preceded by project conception meetings, i.e., identify projects, community and make provision for sustainability. v. To be able to deliver big and bold projects, we may consider collaboration with other Rotary Clubs or corporate organizations. vi. Past leaders of the Club will be involved in project planning and execution. (D) YOUTH SERVICE: 6

7 i. Rotary Club of Benin would sponsor a Rotaract Club at the Institute of Management Usen, and any other institution willing to embrace the Rotary ideas. ii. We will discourage Rotaractors from participating in RYLA and encourage non Rotaractors to participate. iii. We will be involved in planning activities with our Rotaract Clubs. iv. Rotary Club of Benin members will be actively involved in youth programs. v. The Club will carry out advisory campaigns on morals and ethics amongst members and intending members, e.g., dress codes, attitudes at meetings. vi. The Club and members of the Club will sponsor RYLA attendees annually. vii. Former Rotaractors who are now earning income would be encouraged to join our Club. (E) PUBLIC IMAGE: i. The publication of bi-monthly news letter of the Club will be sustained. ii. The news letter publication must contain articles that are attractive to non Rotarians. iii. Rotary Club of Benin will establish ourselves as a seal of good behavior in our community and beyond. iv. We must wear our Rotary pins at all time in and out of Rotary. v. We will work to have a 4-way test at the background during newscast in a local media. vi. The Rotary brand should be used in all our publication and publicity. vii. Whenever we attend any social function involving a Rotarian, Rotary banner must be at the corner of such event. viii. To further demonstrate that Rotary cares, the Club should identify with members during social events. ix. All meetings shall be streamed live through our now revamped website, YouTube, Instagram and twitter x. There shall be an e-meeting once in a month (F) DEVELOPING LEADERS AND STRATEGIC PLANS: i. The strategic plan may be reviewed at any point in time. ii. A disciplinary procedure known to all members is to be established, e.g., not wearing pins, improper dress/conduct, etc. iii. The Club would encourage Rotarians to attend Leadership Institute. iv. Every member of the Club must be given a copy of the Club strategic plan. v. Members would be encouraged to attend all District seminars. vi. The Club must identify potential leaders and train them beyond Club level. 7

8 PROPOSED ROTARY CLUB OF BENIN PERMANENT FELLOWSHIP/EVENTS BUILDING We are all aware of the Rotary Park and garden property owned by the Club. No other Club in Benin has such property to their credit. However is has greatly been under utilized because of its distance to majority of its members principally and lack of adequate awareness. It has become necessary to have a second building within the city center. A land acquisition/building committee is being set up with a view to scouting for Donors, sourcing for funds, both from the families of the charter members, Rotarians from within and outside the Club and good spirited members of the public. An approximate value in the sum of N35, 000, Thirty Five Million Naira only would complete and commission the project. Signed: 2 nd July, THE END 8
