2 Sapienza International Office structure The main internationalization activities carried out by Sapienza are implemented at several levels, all closely related to each other: - international agreements - internationalization of teaching and research - cooperation and development - international initiatives aimed at promoting the University abroad - participation in European projects for training, mobility and research, welcome office - welcome of international delegations. 3 Sapienza International Agreements Unit Part of the International policy of the University is to sign International Agreements between universities to enhance the cultural and scientific collaborations with Academic Institutions in the world. International Interuniversitary Agreements mainly promote and encourage research and/or teaching activities between Sapienza and the partner Institution, through exchanges of teachers, researchers, PhDs and students.
4 Sapienza International Agreements Unit Today Sapienza has more than 1000 International Agreements* with universities around the world, under the following formats: General Agreement of cultural and scientific cooperation Executive Protocol Additional Protocol (for student mobility) Specific Agreement of cultural and scientific cooperation *excluding Erasmus agreements
5 Sapienza International Agreements Unit The General Agreement of cultural and scientific cooperation expresses a general interest in promoting and developing collaboration between Sapienza and the partner institutions from all over the world, and it s signed by the Rectors. The implementation of the general interest is achieved through: the negotiation and signature of an Executive protocol aimed at supporting teachers, researchers and PhD students mobility within a single or more areas of research or teaching; it s signed by the responsibles of the involved structures; the negotiation and signature of an Additional protocol aimed at supporting in- and outgoing students mobility from/towards Sapienza towards/from higher education institutions outside the EU.
6 Sapienza International Agreements: standard operating procedures The proposal for the stipulation of a new International Interuniversity Agreement may be submitted by a structure within Sapienza University of Rome (Faculty or Department) or may arrive from a foreign University. According to the Guidelines 2012, our Unit provides for the verification of the requested requirements and presents submitted proposals to the Academic Senate for approval. In case of approval, our Unit can begin the process of negotiating the text and, upon successful conclusion of the proceedings, Agreements are signed in two certified original copies in English, or the languages of the contracting countries with a certified copy in English. 8 Sapienza Publications Sapienza release the scientific results of the projects supported by Sapienza and developed jointly with the Partner Universities; those publications are primarily for our academic community, highlighting our commitment and providing the inspiration for greater participation, but also for Italian universities in general, so that they can acquire knowledge, benefit and added value, with a view also to establishing integrated forms of academic cooperation. 10 Sapienza Academic Delegations Visits Visits and proposals Sapienza considers the visits of International delegations an excellent resource to build up meaningful cultural exchanges, and Representatives from Universities and Academies, Higher Education Institutions, Higher Research Bodies and Foreign Governmental Institutions are welcomed in order to set up new scientific collaborations.
11 Sapienza Academic Delegations Visits Visits and proposals: Purposes The Ministries, Consulates and the Embassies of foreign countries frequently propose visits of delegations at our University. The purposes of these visits are to exchange experiences and ideas, discuss potential future collaborations, to sign Bilateral Agreements of Cultural and Scientific Cooperation of Scientific Research during a round table, or to present a speech, a seminar or a workshop
12 Sapienza Academic Delegations Visits How Visit requests from potential future international partners could be: a. received via ; b. received on line. On the Sapienza web site there is a FORM that must be compiled and submited; ( c. received directly to our Secretary Rector Office; d. received directly from Rector s Delegates of Sapienza that are responsible of academic international relations with different geographical areas or countries or continents; e. received from the professors of Sapienza that have connections with other foreign professors or Phd students.
13 Sapienza Academic Delegations Visits Best Practices 1. To analyze the international collaboration requests that are received through various channels and organize the program of the event, taking in consideration the persons that will participate and the objective of the visit. 2. To create a bridge between the relevant persons of both parts in order to plan further collaboration and eventually sign international bilateral agreements or to start new collaboration or research projects. To assure and develop permanent communication between the parts. 3. To develop a relationship synergy within the international partners. More specifically, to choose and involve the right scientists and academics considering the field and the specifics of each meeting. 4. As a result of the international meeting, to determine the representative responsible of the outcomes of international collaboration in order to assure further cooperation and the project s development in various fields.

17 Sapienza International Research Unit The Activities The Central Administration, and the International Office in particular, has the following taskes: Supporting Faculties, Departments and Research Centres; Disseminating informations about programmes or new calls for proposals (F1RST, mailing list); Being the correspondent towards the EU institutions on all issues related to the legal status of the entity (i.e: LEAR, PIC, etc..); Adopting the administrative and accounting instructions for participation in EU programmes (i.e. reporting and accounting rules); Organizing meeting or training course for Sapienza s staff about EU or International programmes issues; Setting up of the 7FP and Horizon 2020 projects data base; Participating in national and international networks and working groups (Unica, Apre, ) Supporting Visiting Professors
18 Sapienza International Research Unit The Activities of International Office The Regulation of the activities carried out under European and International Programmes (2009) provides how Faculties, Departments or Research Centres can participate in 7FP or in other programmes projects. Faculties, Departments and Research Centres are financially autonomous. They are in charge with the administrative, financial and scientific management of projects Heads of Departments are allowed to sign Grant Agreements and all other documents required (such us Consortium Agreement or Cost Statement). They manage projects and they are responsible for their correct execution.
