It is an exciting, all- night, drug and alcohol- free celebration. It is planned and hosted at the high school by dedicated parents and local businesses and supported by school administrators, local police, and community leaders. It is a safe and healthy way for our graduates to mark this important milestone in their lives. Every year, over 90% of the graduating class attends this successful, fun-filled event. Grad Nite is the ultimate allnight, action packed Party til Dawn with food, games, entertainment, dancing, professional entertainment and $10,000+ in gifts and prizes. 3 JOB DESCRIPTIONS FOR ET GRAD NITE 2019 CHAIRS The role of Grad Nite Chairs, varies according to their needs: Chairs attend monthly meetings with other Chairs & the PSTO 3rd Vice President known as Grad Nite Chair. Chairs facilitate meetings with their own group of volunteers to plan & implement their tasks & responsibilities. Chairs coordinate their staff & manage their areas during grad night set-up & take down as needed. All Grad Nite Committee Chairs work together with the common goal of launching another successful Grad Nite. AUXILIARY GYM CHAIR: Responsible for design and decoration of the Auxiliary Gym, relating to the overall Grad Nite theme. Confirm vendor & work with Contract Chair. Work with the Electrical Chair for this area. Coordinates volunteers to lay gym floor & construct the props and decorations that will be used for this area. Coordinates volunteers to set-up the weekend before Grad Nite, to work this area on the night of the event, and to take-down this area at end of event. BAG CHECK CHAIR: Coordinate a group of volunteers to staff the claim check area on grad night (mostly from 4:30-6:00am) utilizing bags for the kids to drop off their valuables & prizes for safe keeping. Work closely with the prize chair at the end of the night to return valuables & prizes. Each bag should be pre-labeled with student s name, student ID and Passport ID. BATHROOMS CHAIR: Responsible for the design & decoration of the boys & girls bathrooms in the gym. Provide toiletry items for the kids to use that night or to take home. The rooms are cleaned & sanitized by the school prior to your moving in! CARNIVAL CHAIR: Responsible for design and decoration of the Carnival area, relating to the overall Grad Nite theme. Order games, prizes & work with other Chairs in this area. Coordinates volunteers to construct the props and decorations that will be used for this area. Coordinates volunteers to set-up the weekend before Grad Nite, to work the Carnival area on night of the event, and to take-down Carnival at end of event. Carnival sets up all chain link fencing and attaches all panel prior to any other exterior set-up. This is a full weekend extravaganza. CASINO CHAIR: Responsible for design and decoration of the Casino room, relating to the overall Grad Nite theme. Coordinates volunteers to construct the props and decorations that will be used for this area. Coordinates volunteers to set-up the weekend before Grad Nite, to work the Casino area on night of the event, and to take-down Casino at end of event. DANCE ROOM CHAIR: Responsible for decorating the dance room (stage, drink area, money booth area) seniors dance the night away to a spectacular DJ. Play in the money booth for prizes. Enjoy a cool refreshment from the drink bar. Volunteers responsible for monitoring the dance room, man the money booth and pick up miscellaneous trash from the floor. Wrapping up the evening all together one last time as high school seniors with a very special show. ELECTRICAL CHAIR: Responsible for everything electrical before, during & after Grad Nite. Procures volunteers who have electrical experience & works with all the Grad Nite Chairs to confirm all electrical needs. Works with Set up Chair so they can lay the electrical grid before set up begins. Orders all electrical items. Is Responsible to sign out & sign in all electrical items to each GN Chair requesting electrical in their specific areas. ENTRANCE CHAIR: Responsible for providing for the grads, their first "glimpse" of an amazing night! You and your crew design & decorate the entrance to grad Nite. This area remains one of the most critical areas for setting the mood for the night! It usually has an area where volunteers cheer & welcome the arriving seniors. This is their pathway to Grad Nite. The seniors want to make a big entrance we make it happen. Responsible for decorating a secure holding area for graduates once they have secured their Grad Nite ticket. Also in charge of tearing down the area with Registration volunteers, once the doors are closed and the Seniors are inside. FOOD/HOSPITALITY CHAIRS: Food Co-Chair Coordinates food/beverage needs throughout the party areas. Solicit donations for food/beverages to compliment the budget for such provided by the Grad Nite program. Provide food/drinks for volunteers during the weekend of setup. Provide food/drink for volunteers the night of the party to keep everyone going. Coordinate how food will be cooked, kept warm & served. Work with the school to use their kitchen, utensils and equipment. Hospitality Co-Chair focuses on helping with Soliciting donations for food/beverages, provides food/drinks during bin work days, GN mtgs & Tear Down after GN. KINDER FOTO CHAIR: The Kinder Foto chair person is responsible for the design and decoration of one of the four areas within the main gym. Coordinates the volunteers to construct props. Paint backdrops and contribute to overall room layout. Coordinates volunteers to help set up and clean up the Kinder Foto area. Along with this, we collect the childhood photos of the graduates, from their parents, and incorporate a fun way to display photos.
4 PHOTOGRAPHER/VIDEO CHAIR: Responsible for taking pictures starting with work bin days, Build Week, Grad Nite & Take Down. Once finished with the project, copy picture on a zip drives so Grad Nite Chair has record of this event. PRIZES CHAIR: Responsible for collecting & soliciting all Grad Nite donations that are allocated for the seniors gifts. Responsible for procuring volunteers to help with this process as well as help with set up, Grad Nite & take down. Responsible for purchasing, the final gift for the ET Seniors from the Grad Nite Committee, before they leave the event the next morning. PUBLICITY CHAIR: Coordinate & generate publicity regarding Grad Nite within the high school & the community through the use of the Grad Nite website, ETHS website, activities director at ETHS, posters, ASB, e-bulletin, , the O.C. register, etc. Effective publicity increases ticket sales & recruits volunteers to work with the various committees. The chair promotes attendance for Grad Nite preview (held the night before graduation) for persons over the age of 18. Arranges, a thank you ad, listing the Grad Nite sponsors/donors on the Grad Nite web site, PSTO web site as well as, the Saddleback Valley News. REGISTRATION CHAIR: Responsible for all Grad Nite forms to be updated, approved by Grad Chair & Principal & to be sent out before/during school registration. Responsible for keeping track of all registered seniors & create Excel sheet with all parent information regarding payment, volunteering, donating. Works with Treasurer & Grad Nite Chair. Responsible for all communication with ET webmaster. Attends monthly meeting for updates. Attends all Parent meetings regarding Grad Nite. Procures volunteers for the night of Grad Nite Registration. Helps Entrance Chair tear down the night of GN, after the Seniors are in. SECURITY CHAIR: Responsible for procuring volunteers, Orange County Sherriff Department Explorers, and radios for that evening to ensure a safe environment. Responsible for development of assignments for each security volunteer, security volunteer training, security volunteer check in, ensuring proper communications between security volunteers during the evening. The day of Open House the volunteers will meet with the Chair to go over the entire Grad Nite area, discuss rules & responsibilities. Responsible for preliminary screening during check in, and for parking lot security. SET UP CHAIR: Procure all materials and staffing needs for Main Gym ceiling construction, carpet installation, exterior and interior fencing needs, scaffolding, and trash dumpster rental. Ensure all fire codes are met and assist in Fire Marshall Walkthrough. Oversee supplies, organization, and functionality of the "work bin". Manage all activities from Main Gym possession through Open House Night. TAKE DOWN CHAIR: Responsible for procuring volunteers to help take down the Main Gym & assisting all Chairs during this process. Move props to Grad Nite Bins, move fencing & plants outside in a designated area for company pick up. Have ET Gym back to its original appearance by 12 noon the day after Grad Nite. TREASURER CHAIR: Responsible for maintaining financial records for Grad Nite which includes processing reimbursement checks, paying vendors, bank deposits, monthly reconciliation of bank accounts, generate monthly & yearly treasurer reports for Grad Nite Chairs & PTSO. VOLUNTEER CHECK-IN CHAIR: Provide staff to man the check-in area for Grad Nite volunteers when they come to work their shifts. Provide a table and light with a master list of volunteers and shifts that is obtained from each chair. Help with cleanup at end of Grad Nite. VENDOR CONTRACTS CHAIR: Arranges for all the entertainment with vendors. The Chairs arrange for their vendor and the specifics of the contract, and then they are to Contracts Chair to execute and pay deposit. Reviews all contracts, including vendor & insurance policies. Coordinates with other Chairs on the entertainment needed. Is on hand at Grad Nite with vendor contracts & checks. It s preferred to pay deposits later rather than earlier, so we may secure their participation, but not by deposit unless the vendor requires it. 6 2019 Senior Student Information: What to Expect For Grad Nite 1. This is a SAFE and SOBER event! We take all precautions to ensure this kind of environment. 2. Do not eat before you come. Drinks and food will be provided throughout the night. 3. If you are planning to attend Grad Nite, DO NOT have a graduation party on that night. Doors will be closed PROMPTLY at 11:00PM & will not be allowed in after the doors close. 4. Wear comfortable clothes and closed toed shows. It will be warm and crowded. 5. Do not bring money. There is nothing to buy here. It's all FREE to you! 6. Do not bring personal items, except your phone, we will have a charging station there. 7. No food/drinks, backpacks/purses allowed! Food/drinks will be thrown away and we will have a bag check area if you bring in ANY personal items & you will not get them back until the party is over at 5AM. 8. Do not bring keys, ID or wallet. No students are allowed to drive the night of ET Grad Nite All students must be dropped off and picked up by parent or guardians. 9. To have FUN and make lots of memories!!!
