1 EAST ANGLIA S CHILDREN S HOSPICES Job Title: Activities Co-ordinator (Band 4) Reports to: Job Summary: Care Manager To plan and deliver activities appropriate to the needs and wishes of children, young people and their siblings and family members, in the hospice, and in the community as required. This includes non therapeutic direct work with families such as advocacy, groups, and family events. To take into consideration when planning activities the faith and cultural needs of each family. To co-ordinate volunteer support for play, activities and events To maintain and develop resources for staff to use with children, young people and families To be aware of, and know how to access, play, leisure and educational resources in the locality and to act as a resource to parents, the hospice and other relevant professionals. To promote equal access and opportunities for children, young people and families
2 Ensure that practice meets the required professional and EACH standards Ensure effective liaison and communication with professionals and outside agencies to ensure the support offered is effective and meets the needs of the service user. To maintain clinical records using the Systmone electronic records system General emotional support To provide emotional support to CYP and family members by: Recognising and responding to signs of emotional distress and identifying and referring individuals who are exhibiting continuing or increasing distress for additional support to the Wellbeing team. Signposting to relevant information sources Facilitating activities which promote expression, reflection and representation of a child, young person and family s journey, before and into bereavement. Team Working To support members of the team to provide activities for children, young people and families To build relationships with service users and colleagues, as part of the MD team. To recognise and report problems and work with others to solve them. To work with, supervise and appraise identified volunteers Professional Responsibility To have an awareness of own personal responses in relation to the maintenance of a safe environment and identification of potential risk for all personnel, patients and significant others. Education & Governance Activities To participate in management supervision and annual appraisal ensuring challenging objectives are set and achieved and a personal development plan is agreed. To adopt a reflective approach to personal practice and learn from experience. To participate in relevant clinical governance activities within EACH To participate in student placement programmes where appropriate.
3 Contribute to EACHs audit programme Participate in education and training both within and outside of EACH Provide statistical information as required General requirements Maintain confidentiality in all areas of work at EACH. Ensure that your conduct within and outside EACH does not conflict with organisational expectations. Actively support and promote EACH and all its policies. Promote the safeguarding and welfare of children, young people and vulnerable adults Ensure an awareness and observation of Fire and Health and Safety Regulations. Ensure the respect, dignity and rights to privacy of children, young people and their families as far as possible. This job description reflects the present requirements of the post. As duties and responsibilities change and develop, the job description will be reviewed and is subject to amendment in consultation with the post holder. The management and clinical philosophy of EACH is based on a multi-disciplinary approach. Staff regardless of grade or discipline are required to participate according to this concept. All staff must be sympathetic to, and able to project the philosophy and concept of hospice care. The role of volunteers is integral with the work of EACH, and paid staff are required to underpin this in their attitude and actions. Date: February 2017
4 EAST ANGLIA S CHILDREN S HOSPICES PERSON SPECIFICATION Activities Co-ordinator Qualifications / Knowledge ESSENTIAL Diploma level qualification in related field of practice NVQ, BTEC or Council for Awards in Care, Health and Education (CACHE) at level 3, in children s Health and Social Care, or Care Learning and Development, or an equivalent Knowledge of child development. DESIRABLE Degree level qualification in related field of practice Knowledge of children s palliative care Experience Experience of planning and providing activities to children and young people in a professional setting (hospital ward, school, nursery). Experience of working with children and young people with disability or those complex healthcare needs Experience of working with the bereaved Experience of working with volunteers Able to supervise volunteers Skills & Abilities Excellent communication skills. Able to work creatively and to plan and organise activities Ability to mange time effectively Ability to recognise problems and work with others to solve them Ability to work effectively as a member of a multi-disciplinary team. Computer literate, and able to maintain accurate written records. Working knowledge of a range of IT software; electronic gaming equipment; assistive technology Recording notes on an electronic system
5 Other requirements Must be available to work over the 7 day period Must have full driver s licence and own transport and able to travel to locations to deliver care as required
6 EAST ANGLIA S CHILDREN S HOSPICES EMPLOYMENT DETAILS ACTIVITIES CO-ORDINATOR BAND 4 Salary: Contract: Hours: Unsocial Hours: Holiday:. Sick Pay: EACH band 4: 19,400-22,700 per annum. This is a spot point and there will be no automatic incremental increases Full time, Permanent hours per week. You are required to work these hours flexibly to meet the needs of the families and children over a 7-day period including weekends and public holidays. Any additional hours worked above will be compensated by time off in lieu. Care is provided in the community and at our hospices, and staff will work in both settings. Any hours worked before 7am, after 8pm, and any time on weekends and public holidays will be classified as unsocial hours, and will be paid for at the hourly rate plus 30%. 35 working days, including public holidays, in each complete year based upon a 7.5 hour working day (pro rata for part time hours). An extra two weeks leave will be given for every five years service completed, to be taken over the course of the next five years. Linked to length of service. Period of continuous service Period of full basic salary Period of half basic salary During the first year of service 1 month 2 months During the second year of 2 months 2 months service During the third year of service 4 months 4 months During the fourth & fifth years 5 months 5 months of service After completing five years of service 6 months 6 months Pension: A contributory group personal pension scheme is in operation (to which the charity will contribute up to 7% of gross salary) or alternatively, you will automatically be enrolled into a qualifying pension scheme 3 months after the start date of your employment with EACH. Those who are already members of the NHS scheme may continue to make contributions to the scheme through the payroll. Retirement: Employees can retire voluntarily at a time of their choosing or in line with the pension scheme rules Training: The Charity maintains a policy of developing staff through training which is appropriate to its business plan aims. EACH has an Education, Training and Research centre based at Milton Hospice. Full orientation is given to all new staff and those changing roles within the organisation. An annual appraisal system is in operation which aims to identify appropriate training needs.
7 Staff Support: Travel: Staff support measures currently available include support groups, an employee assistance programme with confidential telephone access for individuals, and team / staff meetings. A small vehicle fleet is maintained by the Charity. Staff who travel in their own vehicles on Charity business will be reimbursed in accordance with current Charity policy. Additional: A no smoking policy is in operation on all sites.
