JOB PURPOSE To improve the management of patients by the collection and prompt dissemination of prospectively collected high quality clinical data. Provision of a comprehensive clinical audit data management service ensuring the collection, maintenance and submission of high quality clinical data for audit purposes. To utilise information gathered through ongoing audit and/ or sprint audits to influence clinical practice leading to streamlined and improved services and outcomes for patients. 3. DIMENSIONS The post is to provide facilitation of the Scottish Trauma Audit Group (STAG) for relevant sites across NHS Lothian. NHS Lothian principle acute hospitals are the Royal Infirmary of Edinburgh, the Western General Hospital, St John s Hospital and the Royal Hospital for Sick Children. The post holder will be expected to collect and enter data relating to approximately p.a. or 350 per day to be included in the audit/ register for STAG following agreed national guidelines and protocols. The Royal Infirmary is a university teaching hospital, operating in the acute division of NHS Lothian. The Department is the major Emergency Department and is the designated receiving hospital in the event of major, chemical, biological, nuclear or radiation incident for Lothian and the Borders. Patient attendance is approximately p.a. or 350 per day and presentations range from minor injuries or illnesses to those who require immediate resuscitation either in hospital or in the pre-hospital setting. Performance indicators are continually assessed and used to drive service improvement.

7 The post holder is employed within NHS Lothian and there may be a requirement to work flexibly across Lothian to meet service demands. 4. ROLE OF DEPARTMENT The role of the management team is to: Provide visible leadership and direction Deliver effective and efficient clinical services Manage all resources within designated clinical service Achieve all quality and performance targets Benchmark all services ensuring they provide value for money Ensure compliance with all governance standards 6. KEY RESULT AREAS Working as part of a multi-disciplinary team the main duties of the post holder will be to contribute to the

8 aims of STAG. This will involve ensuring that complete, accurate, and timely data are available on an ongoing basis. This is required to monitor the quality of care provided to patients and associated outcomes of care, and to enable improvements in care to be identified and implemented. 1. To be responsible for developing and implementing methods of comprehensive case ascertainment to identify patients eligible for inclusion in the audit/ register using data provided from other sources e.g. IT systems, case notes, ward records and attendance at multidisciplinary meetings etc. and according to agreed national inclusion/ exclusion criteria. 2. Be responsible for the accurate and reliable data collection and input of audit data information via standard proformas to the STAG. 3. Develop relationships with clinicians and other relevant staff to ensure that all appropriate patients are included in the audit/ register and that guidance can be sought for clarification of specific clinical conditions/ terminology. 4. In addition to reports produced centrally by the national audit/ registry team there may be a requirement to prepare and present audit reports locally in a variety of formats (e.g. written reports, tables, charts, formal presentations). 5. To disseminate audit reports enabling inter-hospital comparisons and improvements in performance by measuring progress against local and national targets, reporting as necessary and taking appropriate action in resolving problems. 6. Ensure that members of the multidisciplinary team are aware of the results and recommendations from STAG on a monthly basis (or otherwise arranged). 7. Assist in promoting compliance with local protocols, SIGN guidelines and national clinical standards or key/ quality performance indicators informing the lead clinician/ lead nurse of progress achieved. 8. To manage sensitive clinical data on a daily basis in a manner which ensures confidentiality and security as required by local Health Board policies and legally according to the Data Protection Act To liaise regularly with the national audit/ registry team to ensure that national guidance is adhered to locally. This will involve attending National Audit Coordinator meetings in order to network with colleagues from across Scotland and participate in the further development of the audit/ register. 10. Liaise with other hospitals and providers of care in order to complete required national audit/ register requirements, e.g. rehabilitation services, Scottish Ambulance Service, Allied Health Professionals etc. 11. Responsible for the quality assurance of the audit data submitted to the national audit/ register team working closely with them to correct any validation queries. 12. To attend formal and informal meetings at a variety of levels local, regional, national where the audit data are discussed.

9 13. Assist in promoting audit/ register to all members of the multidisciplinary team in a proactive manner. 7a. EQUIPMENT AND MACHINERY Personal computer/ lap top entering of data electronically may be a requirement of the national audit/ registry, but in addition to this communication will be required by and there will be a requirement of the use of other IT systems, e.g. patient management systems, picture archiving systems etc. Photocopier/ scanner Printer Phone communication will be required both internally and externally 7b. SYSTEMS Good understanding and use of a variety of systems and packages is required, e.g.: National audit/ registry database (as appropriate) Microsoft packages such as Word, Excel, PowerPoint and Outlook. NHS mail systems. NHS patient management systems (will vary by hospital specific systems should be added) Internet There will be a requirement to adhere to agreed IT security policies when accessing the various systems and managing the use of usernames and passwords. 8. ASSIGNMENT AND REVIEW OF WORK The post holder will report to Clinical Nurse Manager and work will be directed by Clinical Lead and Clinical Nurse Manager. The post holder will also liaise closely with the lead clinician(s), and with other key clinical and nonclinical staff within the service(s) concerned. The post holder is subject to annual objective setting and appraisal. Personal objectives and a personal development plan will be agreed and reviewed within the same cycle. 9. DECISIONS AND JUDGEMENTS The post holder works in relative isolation with occasional supervision from their line manager. The post holder will work within clearly defined guidelines and protocols development by the national audit/ registry team and with the support of the central audit/ registry team and the local multidisciplinary team.

10 The post holder will practice at all times within the Nursing and Midwifery Council code of professional practice. The post holder uses their initiative to manage day to day workload with the minimum of supervision prioritising on a daily/ weekly basis adjusting priorities dependent on demand and working in a flexible manner as required. The post holder shows considerable self-motivation in ensuring the quality and integrity of the data held, managing the workflow, ensuring accurate analysis and meaningful reporting, and providing data to improve services. The post holder will check data for accuracy/ completeness and will identify any anomalies highlighting them to clinical staff for clarification as appropriate. 10. MOST CHALLENGING/ DIFFICULT PARTS OF THE JOB Main difficulties are managing the collection of prospective audit data, ensuring that all appropriate patients are included. Being available in person or by telephone to alleviate or assist with any problems relating to the collection of the audit/ register data. Having the ability to co-ordinate monitor and prioritise multiple tasks. Managing workload to tight deadlines whilst ensuring that information provided is of a high quality. Working at computer for long spells and keeping up to date with changes to IT systems. Ensuring that robust systems are in place to ensure data completeness. 11. COMMUNICATIONS AND RELATIONSHIPS The post holder will be required to communicate effectively to establish good working relationships with colleagues, members of the central audit/ register team and patients. PHYSICAL, MENTAL, EMOTIONAL AND ENVIRONMENTAL DEMANDS OF THE JOB Physical: Manual dexterity required for use of mouse and keyboard. Prolonged periods sitting at work station and looking at computer screen. Manual handling of multi-volume case notes. Requirement to move and work between hospitals in region. Requirement to attend meetings across the region/ nationally. KNOWLEDGE, TRAINING AND EXPERIENCE REQUIRED TO DO THE JOB ESSENTIAL: Qualifications: Registered clinician, e.g. registered nurse/ AHP with evidence of current registration. Post registration experience at band 5 or equivalent in relevant clinical area. Experience of health research/ clinical audit/ data management/ health information.
