4 Nurses also need to Register for an NMC Online account in order to submit their Revalidation (from April 2016 onwards via: / (then click Go to NMC Online pink link)

5 Once you click the Go to NMC Online Link (via / ) a registration box comes up click Register if this is your first visit

6 Once you click Register you need to type in: your address (work or home), create a password, your Surname, your NMC Pin No, your date of birth, and to accept the terms and conditions & that s it - your account is now created with the NMC

9 NMC Nurse/Midwife revalidation requirements

10 Revalidation Requirements from 1 st April 2016: You are fit to practise. Using the Appraisal process to discuss/prove: 450 hours practice hours - in last 3 years (but 900 hours if dual qualified i.e. a Nurse & also a Midwife) Practice hours, you can insert several weeks, or 4 months in one go - not just 8 hrs of one shift etc. Put evidence in either year 1 and year 3, or some each year, only need to insert 450 hours (or 900), you don t need to put in any more than this. 35 hours CPD ( 20 hours being participatory learning i.e. learning with others) over 3 years (including Mandatory training both electronic & face to face like Safeguarding, MHA, (not topics that don t relate to your practice, so NOT Fire, not Health & Safety etc.). You can also include other ways of learning, like SIRI review meeting, MDT meetings, conferences, study days, peer reviews, coaching/mentoring, university courses, structured clinical supervision, clinical audits, practice visits, training related to job like rotations/secondments/shadowing, or personal library study etc. ( see handout taken from Pages of NMC How to Revalidate guide ) 5 pieces - third party feedback in 3 years (from either patients, service users, carers, or peers/colleagues), could also be appraisal feedback, 360 feedback, from colleagues or managers - can be positive or negative i.e. compliments/complaints, can be verbal, can be written, can be for you, or your team (or from students if you are a mentor, or for teachers from delegate evaluations forms - for educators)

11 Revalidation Requirements cont.. 5 pieces of reflection in 3 years on either your CPD or Feedback, or an Event/Experience in your practice, (stating how did you change or improve your practice as a result (must be reviewed by a Nurse) linked to relevant 4 themes of new NMC Code. Remove ALL Personally identifiable data (P.I.D.) in both reflections and feedback (don t even say the diagnosis or condition, no names, dates or info) Must have Face to Face (F2F) reflection discussion this must be with another Nurse (does not have to be on same part of Register) ALL requirements Signed off by a Confirmer should be Line Manager & or Nurse in SHFT (minimum Band 6) F2F Confirmation discussion required (or Video Conference)

12 Recommendations from NMC You choose the appropriate confirmer (not a friend or relative) You and Confirmer are responsible to ensure NO Bias NMC Recommend confirmation takes place anytime in Year 3 You personally - submit using information on the Confirmer Form online to NMC yourself (see Reflective Discussion & Confirmation templates in handout) Confirmation is NOT about judging if fit for practise Keep a signed copy of your F2F reflective discussion and confirmation discussion for your personal records ( and in case the NMC want to see this). Can use annual appraisal process - as joint reflection & confirmation discussions (can have both discussions at same time )

13 Midwives/HV (SCPHN) NMC info PLEASE Read pages 12, 43 & 44 of the NMC guide on How to Revalidate Example A: A registered midwife practises as a midwife, but also works some of their time as a SCPHN. They will need to undertake 450 practice hours from across their midwifery and SCPHN scope of practice. They will need to submit a completed ItP form every year to their named supervisor of midwives and be subject to statutory supervision. Example B : A registered midwife practises wholly as a SCPHN and does not undertake any practice as a midwife. They need to undertake 450 hours of practice in their SCPHN role. They don t have to submit an ItP form and are not supervised by a supervisor of midwives. They retain their midwifery registration, but the register makes clear that they are not able to provide midwifery care in the UK. Example C : A registered midwife has been working wholly as a SCPHN and so has not served an ItP since the last time they renewed their registration or joined the register. They now wish to return to midwifery practice. Before they can return to midwifery practice, they will need to complete a midwifery return to practice programme. They can then submit an ItP and begin to practise as a midwife.

14 Requirements for the NMC Health and character declaration - registrants declare this to NMC themselves (not to confirmer ) (i.e. you declare you can practice safely unsupervised - following reasonable adjustments, confirming you have no formal cautions, no convictions in last 3 years). You must inform both NMC & Line Manager/The trust of any cautions/convictions straight away) Professional indemnity (insurance ) registrants declare this to NMC themselves (not to confirmer )(covered by SHFT, but may need own cover for private work outside SHFT. (if you are not insured you could be removed from the Register ) If you are unable to be Revalidated then you will come off the NMC register, and will be unable to practice as a Nurse/Midwife

15 How to renew/revalidate via NMC: Revalidation on NMC online (you need to register at NMC for an online account ), they will notify you 60 days before due date you can then submit your information (confirmation & declarations) yourself (before your due/expiry date) When you receive NMC notification then complete online application form If your renewal date was 30 th April, your Revalidation Application Date will be 1 st April (1 st of same month) they want you to submit evidence before - or at latest by the first day of the month you are due (or anytime before 1 st in the 60 day period) Expiry Date will be the last day of month in which your registration expires (i.e. 30 th April) Extensions - only if exceptional circumstances, have to apply by , if you meet Their criteria - only 6 weeks extension given by NMC

16 Tips on using the electronic tool in SHFT to meet the requirements Our electronic tool has the ability to pull through all training you ve done through the LEaD system, just then tick on the left hand side the items/topics you want to put towards your CPD target (see button called import your training record ) The electronic tool has a download button to allow you to print off all your evidence either for any NMC requests, or if you leave the trust before your confirmation date & you want to take your progress/data with you. See today s handout for the templates the NMC state you have to use for recording taken from NMC How to Revalidate Guide (pages 45 51) ( i.e. your CPD log, your practice hours, reflective account, reflective discussion and confirmer discussion templates ) we have used these templates to design the electronic tool with the same wording

17 Spot Checks/Appeals - NMC As soon as you submit online to NMC either immediately by return or within 24 hours they will let you know if you have been selected by - for a spot check/deep dive (so check your account the next day after you submit) If they spot check - you will fill in a form online with more information. NMC will also contact your confirmer (remind your confirmer to check for s from NMC as if they don t reply this will delay your revalidation) If spot checked you will not lapse during this time, but you won t be renewed until checks are done (max time frame for NMC to do this - 3 months) If you FAIL to revalidate, you can appeal but apply within 28 days of decision letter

18 Getting Ready for Revalidation: Nurses/Midwives due for their 3 yearly reregistration/renewal on 1 st April 2016 will have to do this process to keep on the Register (check new trust policy on downgrading to HCSW pay - or Suspension with no pay, plus what happens after period of Suspension ) We ve revamped Appraisal Documentation (Section 2 for NMC registered staff) available on intranet from April 1st to print off to show questions/evidence required ( FAQ s also on intranet) (or discuss questions in a 1-1 mtg ) Start having your conversations during this years appraisal to get ready for your Revalidation date (3 yearly renewal date) Remember - A Nurse/Midwife MUST review your 5 reflections & Confirm your evidence

19 Getting Ready for Revalidation: NMC recommend Your Line Manager will need to Confirm you for Revalidation (this will need to be a Band 6 or above - Nurse for SHFT) Revalidation Panels have been set up within SHFT at senior management level to review progress/concerns Southern Health have designed an electronic solution to help you collect/store evidence (check your LEaD home page)

20 Quick Check - what do you need to do?

21 Getting Started 1. You will need to be logged into your MLE homepage 2. Click on: Choose your revalidation portfolio template. 3. The following screen will appear. You need to select the option relevant to your main role that you revalidate for. This will determine the portfolio template that you load.

22 Your Dashboard Explained Your overall progress so far. This shows as a % The menu Bar Each option here is a link and is available from any page you are on within the revalidation tool. Your Timeline This displays: your current revalidation Date, Todays Date, The opening date for your submission (circled in red ) and Your final submission date. Progress for feedback collected & Link to add evidence. Displays progress for Practice Hours & Link to add practice hours Progress for reflections & Link to add evidence. Displays progress for overall CPD & Link to add CPD hours and evidence. Once you reach your targets for each elements the red box will go green to show you are on target Displays progress for Participatory CPD & Link to add CPD hours and evidence. 22

23 Adding Practice Hours You will be required to have done 450 practice hours or 900 practice hours if you are revalidating as both a nurse and midwife. To start adding hours click add You will need to add the organisation you work for before you can add practice hours. You can have more than one organisation. Click add organisation

24 Name of organisation Organisation address Scope of practice. Once all three parts have been completed you can save organisation. You will need to add hours to each organisation a total of 450 overall, or 900 if you have a combined role.

25 (450 hours is equivalent to 12 weeks full time, 900 is equivalent to 24 weeks full time). You can do the hours in sections over the course of three years or in one single chunk. Type the amount of hours here.

26 Nurse or Nurse/SCPHN Midwife or Midwife/SCPHN. (DUAL ROLE NURSE and MIDWIFE) You will need to add 450 hours for each role. Scope of practice.

27 Choose Work settings which applies to you on the drop down. This box is for adding a Brief description of your work. -It will only need to be a short sentence.

28 You can upload any evidence as a file. E.g. E-roster as proof of hours worked. Once you have saved your practice hours the next screen will appear like this. The percentage will go up depending on how many hours you have entered (450 or 900). Also the overall progress bar is on the left of the page.

29 Adding CPD You must have undertaken 35 hours of continuing professional development (CPD) relevant to your scope of practice as a nurse or midwife, in the three year period since your registration was last renewed or you joined the register. When adding CPD Hours you will need to click add. Of those 35 hours of CPD, at least 20 must have included participatory learning. You will be able to import any training from your MLE homepage (your training record) by selecting Import CPD from your training record.

30 Tick the training courses which are applicable. You should not include statutory training that is not directly related to your practice (e.g. Fire safety) Click Import into CPD. Click Yes.

31 Participatory CPD - includes any learning activity in which you personally interact with other people. It is an activity undertaken with one or more professionals or in a larger group setting. You will need to go into each of the courses imported or added, by selecting edit Any training which was participatory (face to face) you need to manually tick this box for each course. This way your participatory hours will be accounted for on your progress. Please note that for all courses that you import or add these will also need to be linked to the code(s) which apply. You will need to individually do this for all courses on your portfolio.

32 You can choose a file to upload as evidence for your CPD if you want to. E.G certificates, leaflets on the course, any photos taken for/on the course. Scroll down and click save CPD. For each course you will have the code you have linked to it and whether or not the course is participatory CPD.

33 Create CPD Entry Add a title for the training attended. 1. Select a date that you attended training (needs to be within the 3 years of revalidating). 2. Add the number of hours the training took. 3. Select the code/s which the training links to. 4. Select the method of training. 5. If the training is participatory you will need to tick the box, to make it count towards your participatory hours. 6. Click Choose File to upload evidence.

34 Any imported training from MLE will need to be manually linked to the code. Individually link to code, Click Edit to do this Once you have saved your CPD hours the next screen will appear like this. The percentage will go up depending on how many hours you have entered. Also the overall progress bar is on the left of the page. To add information to the other mandatory elements of your revalidation you can select from the left of the page or go back to dashboard.

35 Adding Feedback You are required to add 5 feedbacks on the portfolio. Click Add Feedback.

36 Add feedback in the white text box. You are able to edit/ change and delete feedback.

37 Adding Reflections You must have prepared five written reflective accounts in the 3 year period since your registration was last renewed or you joined the register. You must have had a reflective discussion with another NMC registrant, covering your five written reflective accounts on your CPD and /or practice-related feedback and/or an event or experience in your practice and how this relates to the code. Click Add to start your reflections. Click Add Reflection.

38 Add the nature of the CPD activity and/or practice-related feedback and/or experience in your practice. Add what you learnt from the CPD activity and/or feedback and/or event or experience in your practice. Add how it changed or improved the practice as a result. Select a theme - it can be more than one. In the last box you will need to explain how the reflection is relevant to the code you can select more than one.

39 You will be able to edit and view your reflections. The overall progress bar is on the left of the page.

40 Managing your revalidation Use this page to manage your revalidation. When you are ready you can send invites for your Reflective Discussion and Confirmation Discussion. Each section on this page needs to be completed prior to submitting your declaration to the NMC website. Inviting your Reflective Discusser You will be required to have a reflective discussion with another NMC registrant-registered nurse or midwife about your reflections on either your CPD, your practice related feedback or an event/experience in practice. The discussion itself is based on the five written reflective accounts. These accounts link reallife experiences to the four key themes of the Code (prioritise people, practise effectively, preserve safety, promote professionalism and trust). This is an opportunity for both participants to re-familiarise yourselves with the Code and gain a greater understanding of how it applies to your everyday nursing and/or midwifery practice. It may be helpful for both of you to bring your copies of the Code with you to the discussion. You can use the reflective discussion in lots of different ways, for example: To share ideas, information and experiences ; To debrief after an incident; To get another person s perspective on a situation; and To think about professional development objectives. You must record details of your reflective discussion on the NMC form provided in the to the person having your reflective discussion with you. You need to record your name and NMC Pin. You should keep the completed and signed form. You will need to show it to your confirmer as evidence that you have had a reflective discussion (unless your confirmer was your reflective discussion partner).

41 click Manage to invite someone. To invite a NMC registrant click Invite NMC registrant. Click Select user

42 Enter the name of the person you want to invite here and click Search. You will need to click Choose. This will the selected person to have a reflective discussion. The will give them the choice to accept or decline. Process for managers (Reflective discusser) We will provide an NMC form for your reflective discusser to download and print off. Found in the sent to the Reflective Discusser. The invitee for the Reflective Discussion will need to click Accept or Decline in the . This will then produce a link on their (LEaD) training homepage, found in the task list. The inviter will be informed if you have accepted or declined the request.

43 This is where My task list is located on the LEaD homepage. The request will show in the Reflective Discussers task list like this. Click Accept or Decline Click Accept

44 You will be taken to this page which will give an option to add notes and then upload the signed NMC form. The reflective discusser needs to Confirm that you have had the Discussion It will show like this on the Nurse s/midwife s portfolio once completed.

45 Confirmation from a third party Nurse Revalidation Tool The confirmation process involves having a discussion about your revalidation with an appropriate confirmer. We recommend that you obtain confirmation through a face-to-face discussion or video conference. As part of that discussion, you will demonstrate to that confirmer that you have complied with all of the revalidation requirements, except Professional indemnity arrangement and health and character, as set out in this guidance. We recommend that you obtain your confirmation during the final 12 months of the three-year registration period to ensure that it is recent. Your line manager is an appropriate confirmer, they must be a NMC registered nurse or midwife. If your line manager is not a nurse or midwife you will have to choose an appropriate confirmer-it is helpful if they have worked with you or have a similar scope of practice, but this is not essential. You can only invite a confirmer once the portfolio is completed 100% and you have had your Reflective Discussion. When ready click Invite confirmer.

46 Click Select user. Type the name of who you will invite to be your confirmer, click Search and then click Choose. confirmer this will send them an invitation via , they will have an option to accept or decline. We will provide an NMC form to download and print off. You will find this within the sent to your confirmer. You must use it to record your confirmation. Your confirmer will need to complete and sign this form. You should keep the completed and signed form.

47 Process for managers (Confirmer) We will provide an NMC form for your Confirmer to download and print off. Found in the sent to the Confirmer. The Confirmer will need to click Accept or Decline in the . This will then produce a link on their (LEaD) training homepage in the task list. The nurse/midwife will receive an to say whether this person has accepted or declined. This is where My task list is located on your LEaD homepage.

48 The request will show in the Confirmers task list like this. They will need to click Accept or Decline Once the confirmer has clicked Accept it will bring them to this page. This will allow the Confirmer to add notes and then upload the signed NMC form.

49 How to change my confirmer Nurse Revalidation Tool To successfully revalidate you are required to have a discussion with another NMC registered Nurse who can confirm they have seen all your evidence and that you have complied with the revalidation requirements. Your confirmer will automatically be your line manager on MLE, however they may not be suitable to be a confirmer for your nurse revalidation. Your confirmer must be one of the following: Your line manager Any appropriate NMC registered nurse or midwife. Select Manage. From the menu on the left hand side

50 Select Invite confirmer. Type the name of your confirmer and click search. You will need to click choose. Once you have chosen a confirmer, you will need to click confirmer, this is to notify them that they are being asked to be your confirmer.

51 Indemnity Insurance Nurse Revalidation Tool If your arrangement is provided through membership of a professional body or a private insurance arrangement you will be asked to confirm a) that you have read and understood our information on professional indemnity arrangements for nurses and midwives; b) that you have in place an indemnity arrangement which provides appropriate cover, in relation to your individual scope of practice, as explained in information on professional indemnity arrangements for nurses and midwives; and c) that you understand that you will need to justify decisions on cover you put in place or rely on, if the NMC request you to do so. Otherwise your indemnity insurance will be covered by an NHS trust, therefore select the first box on the list below on your nurse revalidation portfolio. click save.

52 Declarations Nurse Revalidation Tool If an employer, a nurse or midwife, or any other individual becomes aware of a serious concern about the fitness to practise of another nurse or midwife they should raise it promptly through our fitness to practise procedures. All nurses and midwives have a professional duty to raise a concern about the practice of another nurse or midwife either through their employer or directly with us. They should not wait until a nurse or midwife s renewal or revalidation is due to raise such a fitness to practise concern. Revalidation does not create a new way of raising such a fitness to practise concern about a nurse or a midwife, and the confirmation stage of revalidation does not involve making a judgment as to whether a nurse or midwife is fit to practise If you are subject to an NMC investigation, condition(s) of practice order or a caution, you will be able to apply to renew your registration as long as you fulfil all the requirements for renewal. However, you will remain subject to NMC fitness to practise processes and the outcome of those processes. When signing the declaration below, you agree to inform the NMC during your NMC online submission and declare any formal cautions or convictions, and will inform the NMC of your health and character status. Click sign By clicking yes you agree to and digitally sign the declaration.

53 Resetting your portfolio In Settings located on the left hand side of the page, the dashboard menu is where you can reset portfolio, by entering the date you submitted your revalidation to the NMC. Enter the date you submitted your revalidation to the NMC here. After submitting to the NMC you will reset your portfolio for the next three years. It will appear like this on your homepage. You can access and download the old portfolio but will not be able to make any changes 53
