3 PURPOSE OF THE POSITION This position is to: To contribute to the overall patient experience in Ambulatory Care by working within the health care team and under the direction and supervision of a Registered Nurse/Midwife or Registered Health Professional to deliver outpatient services that meet the patient needs, are efficient and customer focused. A PCA may work specifically at the Front Desk for a designated time, may work for a designated period on a specific task such as Planned Appointments or other administration functions or may work in a general role supporting clinics. A designated period may be a session, a day, a week or be a regular routine. Clinics can be held in a variety of settings using Counties Manukau District Health Board ( CM Health ) facilities such as Manukau SuperClinic, Botany SuperClinic, Middlemore Hospital and small community clinics. 4 NATURE AND SCOPE OF RESPONSIBILITIES Key Accountabilities Standards / Achievements Escort patient from waiting area to change/radiology room Check patient details Change patients into gowns for relevant examination assist patient if necessary. Inform relevant staff of patient readiness and location Escort patient into x-ray room as per staff instructions and assist where necessary eg patient lifts and transfers. Ensure that patient leaves the department on completion of the examination with relevant details about obtaining the results. See specific area instructions for further details Communication and interpersonal skills Liaises with staff of radiology and other disciplines as required to provide a well-organised, efficient and client-focused service to patients. Displays a professional approach when dealing with patients and other staff, communicating clearly and effectively. Answer telephones when necessary and assist caller. Room maintenance Ensure adequate supply of paper towels in rooms Check that the linen cupboards are fully stocked and tables/beds are neat and clean at all times Make sure MRSA boxes are fully stocked See specific area instructions for further details. Patient Flow Organise patient flow as per team leader instructions For ward patients, check mode of transport and special requirements eg MRSA, Escort etc. Episode request forms where necessary Organise the faxed forms check patient hasn t already been x-rayed Quality Encompass quality in the workplace by ensuring all aspects of work are performed to organizational and departmental protocols and standards Cultural Safety & Diversity Commitment to the principles of Treaty of Waitangi Honouring Diversity Respect, sensitivity, cultural awareness is evident in interpersonal relationships. 5 Key Accountabilities Standards / Achievements Utilise Information Technology Demonstrate ability to access and use available clinical information systems. Is conversant with applications required for specific discipline/role. For example, i.pm, Concerto, Outlook, etc. Maintains own professional development by attending relevant IT educational programmes. COMMUNICATION AND INTERPERSONAL SKILLS Will be required to interact on a regular basis with a range of CM Health staff members including: Facility Manager Team Leaders Registered Nurses, Midwives, Enrolled Nurses All other Health professionals Appointment Co-ordinators Interpreters Other Manukau SuperClinic staff Volunteers Materials Management Patients Externally there will be contact with: Families/Whanau Caregivers General Practitioners Practice Nurses Community Health Workers Situations may often call for tact, diplomacy and will require information to be handled in a discreet, sensitive and confidential manner, and be referred on to appropriate health professionals. In conflict situations will be required to exercise sound judgement, negotiation and persuasiveness skills, toward facilitating a workable outcome. Position description: Counties Manukau Health 5
6 PROBLEM COMPLEXITY The PCA will regularly deal with a wide range of task. These tasks are clearly defined and involve working with established procedures. There will be a requirement to be able to prioritise issues and negotiate time frames, while still providing a quality customer service. There will be demands to meet deadlines, maintain accuracy and quality of information. Failure to do so could impact on the organisation in terms of patient care. The PCA will refer to the Team Leader or Registered Nurse/Midwife or other Health Professionals for advice and guidance. Position description: Counties Manukau Health 6
7 PERSON SPECIFICATIONS (requirements for the role) Minimum Preferred Qualifications Experience (including years) Skills/Knowledge/ Behaviour School Certificate passes or equivalent At least one years experience in a service-based or health environment Positive friendly approach and likes people makes eye contact where appropriate and smiles at patients Ability to organise and prioritise common sense approach Professional approach in dealing with patients, visitors and other staff. Takes pride in place of work and appearance Honest and reliable Good listener Personal Qualities Demonstrate good interpersonal and communication skills. Appreciation of the sensitivities and empathy required for providing patient care. Ability to maintain courteous rapport and environment for patients and colleagues Sensitivity to cultural issues and an appreciation of the needs of all ethnic groups.
