5 5 CIVIL RIGHTS TRAINING FOR CROSS STAFF & VOLUNTEERS Goals of Civil Rights that everyone is treated with fairness and equality while receiving food at the food shelf. Legal Prohibitions discrimination is prohibited on the basis of race, color, national origin, age, sex, and disability in special nutrition programs funded by the USDA and the Food and Nutrition Service, which includes your food shelf. Types of Discrimination Intentionally treating someone differently because of their differences; making a rule that affects a protected class group negatively; and retaliation against complainant or his/her family, associates or others involved in complaint process or exercising civil rights. When do Civil Rights rules apply Civil rights rules apply any time there is any federal financial assistance. Federal financial assistance is receiving anything of value from the federal government not just cash. Because your food shelf receives federal commodities, the rules apply. Special Circumstances - Make sure people with disabilities and limited English are accommodated. Treat all people with dignity and respect. Maintain confidentiality. It is not appropriate to talk about who is receiving benefits and to make remarks about them. Never share information with others regardless of an expression of good intentions. Refer all requests for information to managers. What happens at the site stays at the site. The exception, of course, is any illegal or inappropriate behavior that should be reported to state or federal officials. Make sure individual data is kept confidential. Sexual harassment is prohibited. Do not engage in or tolerate unwanted or unwelcome sexual behavior including jokes, touching, requests for sexual favors, etc. Report violations to management or to state or federal officials. Advise people who allege discrimination about how to file a complaint. They may write to: USDA, Director, Office of Civil Rights, 1400 Independence Avenue, SW, Washington, D.C or call (800) or (202) (TTY). If conflicts occur, remain calm. Call for assistance immediately if you feel threatened. Consider mediation or a third party to help resolve the situation. Follow the platinum rule treat people the way they would like to be treated! 6 6 SERVICE & PRODUCT POLICY FOR CROSS STAFF & VOLUNTEERS FOOD SHELF No food is to be removed from CROSS for personal use unless processed through an appointment with a Family Advocate. Exception: Food may be removed for personal use if it is POSTED that there is an EXCESS of perishable food and it is made available to ALL staff, volunteers, and client families. BIRTHDAY CLUB, SCHOOL SUPPLIES, HOLIDAY TOY SHOP, ETC. These items are not to be removed from CROSS for personal use unless processed through an appointment with a Family Advocate. CLOTHES CLOSET Staff and volunteers must purchase Clothing Room items out of the Clothing Shopping area at the current price from another staff person or volunteer. Staff and volunteers may not shop during their on the job office hours (lunch break periods are acceptable times for staff to shop and purchase items from a volunteer on duty). Volunteers may not shop during their shift. All quality clothing and household items MUST be placed on display for families served by CROSS in the Clothing Shopping area. Only unsold items still in the shop at the end of shift or during lunch breaks may be purchased by CROSS staff or volunteers. Free clothing is available to staff, volunteers, and shoppers ONLY AFTER a Family Advocate has assessed the extent of their financial hardship and provided a voucher. FINANCIAL ASSISTANCE CROSS s financial assistance is provided through 0% interest loans, which are processed through an application and an appointment with intake staff. The process takes at least five days and the decision is based on the circumstances of the individual case. Staff and volunteers are eligible to apply for these funds if they meet the requirements and follow the application process. Your position at CROSS will have no bearing on the decision.
7 7 SOCIAL MEDIA Social media (e.g., Facebook) is a powerful communications tool. CROSS employees and volunteers must communicate on social media sites professionally and respectfully, just as CROSS would expect them to communicate were they present in person. CROSS employees and volunteers must keep separate any social media communications that implicate CROSS from their own personal communications. Clients/customers should never be cited or obviously referenced. If you spot negative comments about CROSS or clients served in social media, please notify CROSS staff immediately and we will address it. All services CROSS provides to the community are available to staff and volunteers. The staff person or volunteer must meet the requirements outlined for each department and must make the appropriate arrangements with the departmental staff to utilize the services. Any staff person having concerns about serving other staff or volunteers is responsible to discuss these concerns with their direct supervisor. The same confidentiality that is provided to the client accessing CROSS services would be provided to the CROSS staff or volunteer seeking services. CROSS feels strongly that these policies will display the highest respect and dignity for staff, volunteers, and the families we serve. It is because of this belief that refusal to adhere to these policies and procedures could result in dismissal from your staff or volunteer position. 8 8 NON-DISCLOSURE AGREEMENT FOR CROSS EMPLOYEES & VOLUNTEERS Activities involved with the CROSS Food Shelf may require that one reviews or contributes to records containing private or confidential information about clients. Volunteers as well as employees may be given access to these files. This information about clients is private and confidential; by law, it is protected from unauthorized disclosure. Minnesota Statutes, Section provide for criminal penalties for unlawful disclosure of private or confidential data. In addition to the criminal penalties, it is a policy of the CROSS Food Shelf that any unauthorized disclosure of private or confidential data is just cause for disciplinary action and/or removal from service. A signature on this agreement confirms an understanding of the requirements and an individual s willingness to honor their requirements. 9 9 VOLUNTEER OPPORTUNITIES Volunteer Position Description Warehouse Support Importance of Position: The warehouse at CROSS Services is the receiving site for all the facility s supplies and donations and also where families shop during our open hours. Warehouse volunteers will be responsible for keeping the warehouse organized and maintaining up-to-date inventories as donations are received and stocked. Qualifications: Must be 14 years or older Ability to lift 40+ pounds Strong organizational skills Desire to support CROSS s staff in any capacity Reports to: Warehouse Manager Responsibilities: 1. Sign-in and out for each volunteer shift 2. Assist in unloading donations and weighing, sorting, and shelving donated food & household items 3. Rotate food to comply with the FIFO (First In First Out) inventory system 4. Breakdown boxes as needed 5. Help sort organics and recycling 6. Dress appropriately such as close-toed shoes 7. Maintain a respectful relationship with clients, staff, and volunteers 8. 10 10 Volunteer Position Description Clothing Closet Importance of Position: The Clothing Closet at CROSS Services is the receiving site for all the facility s household and clothing items. Clothing Closet volunteers will be responsible for keeping the area organized and in good shopping order. Qualifications: Outgoing Enjoy working with a diverse population and helping people Must be able to work in both calm and fast-paced environments Strong organizational skills Desire to support CROSS s staff in any capacity Reports to: Clothing Coordinator Responsibilities: 1. Sign-in and out for each volunteer shift 2. Interact and welcome clients in the shopping area 3. Direct clients and assist with shopping 4. Sort and hang clothing donations 5. Operate cash register 6. Keep clothing area clean 7. Maintain a respectful relationship with clients, staff, and volunteers 8. 11 11 Volunteer Position Description Client Shopping Support Importance of Position: Food support is a primary program of CROSS. The Client Support Specialist helps families with their shopping experience to: Help them obtain the food items they need in a timely matter Help regulate the flow of shopping in order to serve as many families as possible Provide excellent customer service with a helpful attitude to ensure trusting relationships and a positive shopping experience. Qualifications: Outgoing Enjoy working with a diverse population and helping people Must be able to work in both calm and fast-paced environments Strong organizational skill Desire to support CROSS s staff in any capacity Reports to: Warehouse Manager Responsibilities: 1. Sign-in and out for each volunteer shift 2. Interact and welcome clients in the shopping area 3. Respond to questions 4. Direct clients and assist with shopping 5. Weigh clients out when finished with shopping 6. Miscellaneous warehouse work as able such as sorting food 7. Maintain a respectful relationship with clients, staff, and volunteers 8. 12 12 Volunteer Position Description Reception Area Importance of Position: The receptionist sets the tone for a client's experience at CROSS. A positive and pleasant demeanor help relax clients while assisting them with paperwork and the sign-in process. Qualifications: Outgoing Enjoy working with a diverse population and helping people Must be able to work in both calm and fast-paced environments Strong organizational skill Desire to support CROSS s staff in any capacity Reports to: Office Manager Responsibilities: 1. Sign-in and out for each volunteer shift 2. Greet clients and get them checked in 3. Answer telephones and check answering machine 4. Assist staff as needed 5. Maintain a respectful relationship with clients, staff, volunteer 6. 13 13 Volunteer Position Description Meals on Wheels Driver Importance of Position: Bring cheer and TLC to homebound clients while providing a well-check, helping them to continue living happily and independently in their own homes as long as possible. Qualifications: Outgoing Must be 18 years or older Enjoy working with a diverse population and helping people Valid driver s license Valid proof of insurance Must pass a background check Reliable Reports to: Meals on Wheels Coordinator Responsibilities: 1. Deliver meals to the homes of elderly and disabled adults 2. Report back to Meals on Wheels Coordinator or emergency contact any concerns of the meal recipient 3. Provide own transportation 4. Maintain a respectful relationship with clients, staff, volunteers 5. Maintain confidentiality of client records and personal information Benefits of Volunteering: Consistent recognition Building relationships with vulnerable adults Volunteer Shifts: Monday-Friday, 11:00 12:30
14 14 Other Volunteer Opportunities Maintenance: Can include warehouse sweeping and weekly use of floor cleaner, handiwork, fall and spring cleaning, sidewalk shoveling or snow blowing Lawn Care: Mowing and yard upkeep Data Entry: Assist staff with various data entry tasks using MS Excel or Access (requires a 2-3 hour weekly time commitment) Food Pick-up: There are various opportunities to help with food pickup throughout our service area on a regular basis Birthday Toy Room: We are looking for an individual, family, or group to keep our Birthday Toy Room stocked and clean. Ideal commitment would be 1-2 times per month. Senior Groceries / Mobile Pantry: Once a month we deliver groceries to senior buildings. We are looking for volunteers to pack orders and help deliver food or help at select sites. Weekday Produce Sorting: Each day about 10:30 our driver brings in fresh produce we sort and stock in our cooler so that families get the freshest items possible (1-2 hours). Organics Recycling: Help CROSS go green by assisting with our daily recycling. Skills-Based Volunteering: More information available upon request!
