1 step 1 Coordinating a Caregiver Kit Event in five easy steps Your event will help your church or group gain an understanding of the AIDS crisis and give them an opportunity to respond compassionately and effectively to this great need. Get started Pray about your event. Ask God to bless your endeavor and stir hearts to respond. Get approval for your event from your church leaders or other group leaders as necessary. We ve summarized the major points you ll need to share with them in our Summary for church and group leaders. Share the Caregiver Kit content list with them as well. Both resources are available as PDFs on the Resources page of our Web site. Choose your assembly style: A. Large group assembly World Vision will coordinate your bulk purchase of kit contents through our partnership with a health-care products provider (suggested for groups assembling 25 or more kits). Kit contents will be shipped directly to the location you indicate so that on your scheduled assembly day, your group can assemble the kits together. You may wish to divide assembly into shifts and/or spread it out over a few days to encourage greater participation by accommodating a variety of schedules. B. Individual/small group assembly If you anticipate assembling 25 or more kits, World Vision will coordinate the bulk purchase and delivery of your kit contents to the location you indicate. If you don t wish to place a bulk order, participants may buy kit contents on their own and assemble the kits themselves. Your event can span several weeks, allowing people time to purchase the items and put the kits together. Decide how many kits you will assemble. If you are taking advantage of the cost-saving and other benefits of placing a bulk order, you will need to provide an estimated number of kits when you register with World Vision. Agree on a budget with your church or group leaders, based on an approximate cost per kit of $28 (plus local sales tax), and determine with them how to acquire the needed funds and/or begin the fundraising process using the downloadable bulletin inserts and suggested bulletin/ announcement text we've provided. TIP: If you will be assembling 25 or more kits, placing a bulk order for kit contents will not only simplify your event, but also save costs. Bulk orders are eligible for large discounts, which means the total cost will be substantially lower than retail pricing and more of your money will go to help caregivers and their communities!

2 step 2 Get organized Set your event date. We suggest allowing 8 to 12 weeks from planning to completion of your event. Register your event and request your Event Coordinator's Kit at Registering helps streamline the process from beginning to end and ensures that a World Vision representative will contact you to offer any help you may need. Collect all the planning materials and notes for your event. Recruit a Caregiver Kit Event team. Delegating tasks to team members will make your job of coordinating the event much easier. See the Resources page of the Web site to download a list of suggested team members. Order kit items (for assemblies of 25 or more kits) Place a bulk order if you are assembling at least 25 kits. Contact World Vision by phone ( ) or (carekits@worldvision.org), and we will facilitate your bulk purchase of the kit cases and all contents through our preferred health-care products provider. The kit items will be delivered directly to your church, home, or other specified location on a predetermined date. Be sure to think through the logistics of receiving this shipment and make appropriate arrangements. Please allow three weeks from the time of your order for delivery. Distribute the Caregiver Kit shopping list (for assemblies of 25 or fewer kits, or if you choose not to order in bulk) Locate this list on the Resources page of our Web site and use it to determine which local merchants sell the kit items. Share this information with your participants to help streamline their shopping process. Note that because of expiration date concerns, if you are not ordering items in bulk, your kits should not include the acetaminophen or antidiarrheal medication shown in the content list for bulk orders.

Sign-up form Use this form to sign up participants in advance of your event so you can plan appropriately. How to Host a HopeChild Sponsorship Event Children in AIDS-affected communities are struggling to survive. You can make a lasting difference by sharing HopeChild sponsorship during or after your event. Table diagram Model your assembly line after this diagram if you are coordinating a large-group assembly. How Kits Get to Caregivers This diagram shows how the kits you assemble reach caregivers. Caregiver Kit content description Lists all of the contents of the Caregiver Kit, in order of assembly. Provide copies of this list at your event for reference. Encouragement cards Ask participants to use these cards to write prayers and words of support for each caregiver (one card per kit). Template for kit label One label should be affixed to the outside of each assembled kit. The label template may be edited to include your church name, helping to personalize the kit for the caregiver who receives it. If your church is unable to cover the cost of producing the labels, let us know and alternate arrangements will be made. Donation form Make this form available for those who would like to give a gift directly to World Vision to support the Caregiver ministry. Participant questionnaire Distribute and collect these after your event. The feedback will help us improve this program and better serve event participants in the future. Shipping report form This form will ensure your kits are tracked properly. Complete the form and enclose one copy in each box of Caregiver Kits that you ship. Order picture folders if you plan to promote HopeChild Sponsorship in conjunction with your Caregiver Kit Event. Folders will be mailed to you two weeks before your event.

4 step 3 Engage the hearts and minds of your church or group, using the downloadable resources below, by helping them come to a deeper understanding of the AIDS crisis and how it affects children, families, and communities. God calls each of us to care for and come alongside those in need. As a Caregiver Kit Event Coordinator, your efforts can make a tangible impact not only in faraway communities, but also right here at home as you help participants develop the heart of Jesus for those affected by one of the greatest needs in our world today. As you introduce the Caregiver Kit Event to your church or group, these facts can help you put the overwhelming issue of AIDS into context. Use this at a group meeting; show it before, during, or between church services; or ask your church leader to integrate it with the sermon or teaching time. How much does your group know about the AIDS crisis? Have them take World Vision s award-winning online AIDS Test at Include this Web address in your announcement or church bulletin (see below). Build anticipation using the downloadable promotional tools available on our Web site. Use the first insert to kick-start your fundraising efforts. Use the second one to encourage participants to sign up for your kit assembly. Use this suggested text to create announcements about your fundraising campaign and your assembly date for your church bulletin, electronic newsletter, and/or distribution. Hang posters in visible locations. Nine different versions are available. Sign up participants. Have participants register for one of the assembly date(s) and time(s) you ve established. For individual or small group assembly, either have participants contribute financially so you can buy product in bulk, or direct them to the shopping list found on our Web site.

5 step 4 Host your kit assembly A. For group assembly of bulk-ordered product: Set up your assembly line so it looks like the table diagram available on our Web site. Collect any donations from participants who wish to give additional gifts to World Vision to support the Caregiver ministry. Note: Be sure to keep funds for the kits separate from these additional donations; you will receive an invoice for your bulk order after your event. Present child sponsorship (optional). B. For individual purchase and assembly: Provide weekly reminders. On the designated day, have everyone who assembled kits bring them in. If you are doing this with your church, consider dedicating the kits as part of a special service before shipping them to World Vision. For both options Consider taking a special offering or additional donation to help cover shipping and handling costs and/or to support the Caregiver Kit ministry, including the provision of kit refills. Note: If you have ordered your kit contents in bulk through World Vision, the per-kit cost includes shipping. Special opportunity Engage hearts for the long haul promote HopeChild Sponsorship! Participants whose hearts have been touched through this event may wish to do more to help. HopeChild Sponsorship is a proven, effective way to help a child in need. 6 step 5 SUBJECT Wrap up Ask for feedback by distributing our downloadable participant questionnaire. Gather donations made directly to World Vision to support the Caregiver ministry. (Please convert any cash to a single check made out to World Vision.) Note: Be sure to keep the funds you raised for the kits separate from these donations; you will receive an invoice for your bulk order after your event. Complete the Event Coordinator s report form and Event Coordinator s questionnaire from the Event Coordinator's Guide in your resource kit. Remove these pages from the guide (or make photocopies) and include them in the collection envelope provided. Mail the questionnaires, donations, and report form in the collection envelope provided. Ship your completed kits following the steps below: Pack kits in sturdy boxes. If you ordered kit items in bulk, re-use the boxes that the kit cases were originally shipped in. Each box will hold 6 kits for an approximate total weight of 42 lbs. If your kit items were purchased individually, we suggest using 12 x18 x24 boxes. Each box will hold 4 kits for an approximate total weight of 30 pounds. Insert one copy of the shipping report form (available on our Web site) into every carton. For shipments of 6 to 180 kits: carekits@worldvision.org to request use of World Vision s UPS account. You will receive a reply with a Web link and instructions for scheduling a pick-up. You will need to know your exact total of packed boxes and can print out your shipping labels from this site. For shipments of more than 180 kits: worldvisioncaregiverkits@chrobinson.com or call and ask for the World Vision Caregiver Kit team. A representative from C.H. Robinson Worldwide will gladly take the information needed to schedule a pick-up. Please call or one week prior to your event to ensure efficient service. Important: Place packed boxes on pallets and shrink-wrap them securely. Each pallet should hold about 30 bulk-ordered boxes (180 completed kits). Your shipment will be sent to our distribution center in either Denver or Pittsburgh, depending on your location. Shipping costs If you ordered your kit contents in bulk through World Vision, the per-kit cost you will be billed for already includes shipping. Otherwise, shipping costs will be covered by World Vision, but you are encouraged to take a special offering or collect additional donations to help offset our shipping costs.
