1 2016 Texas HOSA State Conference Memo TO: Texas HOSA Advisors FROM: Marguerite Bagwell DATE: January 29, 2016 SUBJECT: 2016 State HOSA Spring Leadership Conference The Texas HOSA State Leadership Conference will be held at the Galveston Island Convention Center, Galveston Texas, April 14-16, The conference will be hosted by Alvin High School and will begin on Wednesday, April 13, 2016, with officer candidate testing at 5:30 PM. The conference will conclude on Saturday, April 16, 2016 at approximately 5:00 PM at the close of the awards ceremony in the Exhibit Hall B at Galveston Convention Center REGISTRATION All participants (students, advisors, and chaperones) must be registered. Advisors must be registered as advisors and not as chaperones. Use the online conference registration program to register your participants. Be sure to print a copy of your completed registration, to keep for your records. Remember, registration fees must be brought to the conference. Complete your registration using the following link: Fees for this conference are: Advisor $25.00 Secondary Student $50.00 Chaperone $0 Late registration $75.00 Late registration is from March 24, 2016 through March 25, 2016 Registration deadline: March 23, 2016 Registration fees due: At on Site Check In Make all registration fees checks payable to HOSA, TA. 2 You are required to pay a registration fee for every student and advisor on your online registration. No deletions or refunds will be made after the conference registration deadline. Early Bird on Site Check In/Registration Early Bird on site check in will be from 7:00PM- 9:00PM, April 13, 2016 at the Convention Center, in the Yacht Room. Advisors will be issued their conference registration printout, nametags, programs, maps, etc. Team substitutions may be made only during onsite check-in. During Early Bird onsite check-in, the following items will be collected: Medical Art Posters Student Eligibility forms Advisor & Student Code of Conduct & completed Medical Liability forms which should be placed in a brown envelope with the school, chapter number and advisor on the outside Registration Fees Onsite Check In/Registration Onsite check-in will be from 9:00 AM to 11:30 AM on Thursday, April 14, 2016 at the Galveston Convention Center, in the prefunction area. Advisors will be issued their conference registration printout, nametags, programs, maps, etc. Team substitutions may be made only during onsite check-in. During onsite check-in, the following items will be collected: Medical Art Posters Student Eligibility forms Advisor & Student Code of Conduct & completed Medical Liability forms which should be placed in a brown envelope with the school, chapter number and advisor on the outside Research Persuasive Speaking Papers Registration Fees Bus Parking Each hotel has a surface parking lot that is free of charge. See special instructions for closing ceremony parking and pick-up. 2 P a g e The following rules of hotel etiquette will be strictly enforced: No running; No shouting; No slamming doors; and No pajamas or bare feet in the public areas (that is, hallways, lobby or restaurants). No playing on elevators. These are not amusement rides. Wait your turn for an elevator going in direction (up or down) you need to go.

3 The rule of thumb is as follows: don't make any noise outside the hotel's guest rooms that can be heard inside the guest rooms, and don't make any noise inside your room that can be heard outside (in the hallways or adjacent rooms). Shuttle Service Shuttle Service will be provided and will be continuous among all hotels, Galveston College and the Galveston Convention Center, Shuttle will start running on Thursday April 14, 2016 at 1:00 pm. Shuttle for Galveston College will start at 7:00am. on April 15, Get Connected We want to empower Texas HOSA to stay informed and get connected NAME TAGS Conference nametags must be worn at all times during all HOSA activities. ID and Guidelines Requirements All Competitors will be required to show proof of a picture ID and a copy of their event guidelines upon check in for all competitive events. Failure to show an appropriate ID and guidelines may result in being disqualified. OPENING, RECOGNITION AWARDS, AND CLOSING CEREMONIES DRESS It is the responsibility of each advisor to help ensure that each of their student delegates understands the conference dress policy prior to arriving at the conference. Please remind your student delegates that they have signed a HOSA Conduct Code that states that they will adhere to the dress code policy for all general sessions. There should be no misunderstanding that when the student delegate tries to seek admission to the general session and does not adhere to the dress policy that he/she will not be admitted. Social Activity: What s on Your HOSA to-do-list? Form a team of 2-10 members to complete the most items on the 2016 State Conference HOSA To-Do-List! Take pictures in front of Galveston hot spots which were selected by the State Officers. Post them on social media using #hosatodolist. Your team will be registered by your first posting. The top three teams who complete the most items with the best creativity will win bragging rights and awesome prizes. See the conference program for details! 3 P a g e

4 DRESS POLICY AT TEXAS HOSA STATE CONFERENCE The official dress code for the student members for all general sessions at the State Conference will be either of the following: Official HOSA Uniform (*see below) OR Black or navy blue suit with a white shirt (the white shirt can be the member s choice). Blue or black shoes (hose optional) Male members MUST wear a tie. Female members may choose to wear knee-length skirt or slacks. *Official HOSA Uniform: Tailored navy blazer with emblem affixed over the heart. Shirt/blouse for females (white tailored or short-sleeve white jewel neck shell Shirt for males white closed-neck, man-tailored dress shirt, suitable for use with a tie Accent for female members maroon HOSA scarf or tie is optional but not required Accent for male officers - navy or maroon long tie Matching navy slacks for males and matching navy slacks or skirts for females Blue or black shoes (hose optional) Student delegates not adhering to the above dress policy for all general sessions at the Texas HOSA State Leadership Conference will not be admitted. Students who manage to get in wearing inappropriate dress are not allowed on stage when their name is called. VOTING DELEGATES Each chapter may register one voting delegate for the state conference. It is best to select students that will not be competing. Voting delegates must wear their ribbon and sit in the reserved section during the business session. COMPETITIVE EVENTS Read carefully the HOSA, TA Advisor Handbook regarding competitive events. Please prepare students to have a positive attitude. They should understand that the true benefit of competition is in the preparation, participation, and networking - and not only winning. COURTESY CORPS Each advisor may, but is not required to register two students to serve as courtesy corps. These students will be given an assignment. Courtesy Corp students will receive their assignment two weeks prior to the conference date via their advisor. Courtesy Corp students should not be involved in competitive events. ADVISOR RESPONSIBILITY All advisors must participate in conference management by sharing in conference duties. 4 P a g e

5 CODE OF CONDUCT AND MEDICAL LIABILITY RELEASE FORMS Advisors are responsible for having their students and themselves complete the HOSA Code of Conduct form and Medical Liability Release form. All blanks should be filled in on the Medical Liability form. Please make sure that you check each form thoroughly. A parent or guardian s signature is required on both forms. Advisors and Chaperones should sign the Advisor s Code of Ethics form. Please have all of these forms in your possession during the conference. SPECIAL NEEDS STUDENT EVENTS Student Eligibility Forms for students participating in First Aid/Rescue Breathing, Personal Skills, Speaking Skills and Interviewing Skills must be turned in during onsite packet pickup. If special accommodations need to be made for your special needs student, please these needs to Janet Villarreal at texashosa@stx.rr.com. GOTTA HAVE IT CHART One area of heartbreak at state HOSA competitive events is a failure to bring the needed supplies/materials to an event for orientation or competition. Every year competitors work very hard, only to lose points because they were not prepared. Be prepared! The following lists what you need to bring. For some events, a watch is required, but we recommend that ALL competitors wear a watch! A watch is an important tool for event success so that you can keep track of your time. If the watch has a stopwatch function even better. Practice your event using your watch, and use it during competition. All officer candidates must be registered for the state conference AREA OFFICER LEADERSHIP ACADEMY At this year s State Leadership Conference (SLC), newly elected Area Officers are invited to participate in the 2016 Texas HOSA Area Officer Leadership Academy. As part of the Academy, the Area Officers will take part in exciting and engaging leadership training that will prepare them for their roles as Texas HOSA Officers. The Academy will focus on: Team Building, Public Speaking Skills, Conference Planning, and Officer Role Training. Training will be conducted by past National HOSA President and past Chairman of the National HOSA, Inc. Board of Directors, Lowell A. Doringo. Lowell currently serves as a Senior Instructor for Norwich University's Masters of Science in Leadership Graduate program and as the Manager of Talent Development at Blizzard Entertainment. 5 P a g e

6 Please note the following for participation in the Academy: Tentative Dates & Times: o Thursday, April 14: 1:00PM-5:00PM o Friday, April 15: 9:00AM-12:00PM o Friday, April 15: 1:00PM-4:00PM o See conference Schedule for exact time and room numbers Meals: Meals are not included as a part of the Leadership Academy; Officers are responsible for covering the cost of their meals. Competitive Events: Officers participating in Competitive Events will be released for their events and are asked to return to the Academy upon completion. Attire: Official HOSA Uniform or Dress Policy as stated on pages 3-4 in this memo. Materials: Officers are asked to bring a laptop computer or tablet with Internet capabilities, if available, as part of their Officer Role Training. Local Advisors must be sure that all hours have been credited to the students in the HOSA Activity Tracking System by March 23, 2016 the state conference registration deadline. If attending state conference students must be registered. AWARD PRESENTATION All participants should plan to attend the closing ceremony. If a competitor is unable to attend the awards ceremony to receive his/her medal, the advisor should pick up the medal at the end of the recognition awards and the closing ceremony. No medals will be mailed. CHAPERONES The required ratio for adult supervision of students is 1 adult sponsor (who is not a HOSA Board of Directors member) per 10 students for all HOSA activities. 6 P a g e

7 LOST & FOUND Any items (notebooks, purses, money, etc.) found should be taken to the Tabulation Room. Individuals having lost an item may claim said item from the Tabulation Room. Any items not claimed prior to the start of the closing ceremony will be discarded. POSTER & NOTEBOOK PICK-UP Outstanding HOSA Chapter scrapbooks, etc. must be picked up from the Tabulation Room at least one hour prior to the start of the closing ceremony. Any unclaimed posters or notebooks will be discarded. As you are aware we have used student s Medical Art Posters, Extemporaneous Health Posters and medical photography for marketing items for Texas HOSA. Some posters and medical photography may not be returned. 11 HOSA Texas Conference Closing Ceremony Bus Route & Parking Strategy Buses will be staged at the San Luis Resort, Self Parking lot. Only (6) buses at a time will be permitted in front of the GICC. Each area, bus staging and GICC, will have a CVB representative communicating via two-way radio. 15 HOSA CODE OF CONDUCT A good reputation enables members to take pride in their organization. HOSA members have an excellent reputation. Your conduct at any HOSA function should make a positive contribution to the reputation that has been established. HOSA Conference participants are AWARE THAT: 1. HOSA follows the UIL rules and regulations established for secondary high schools. 2. STUDENT behavior should at all times be a positive reflection of your school and Texas HOSA. 3. Student conduct is the responsibility of the student and their advisor. 4. STUDENTS will abide by the HOSA Conference Attire Policy at all business sessions, general sessions, competitive events, and other conference activities. HOSA conference name badges shall be worn at all times when participating in HOSA conference activities. 5. STUDENTS are expected to attend all general sessions and other scheduled conference activities. Please be prompt and show respect to those in the audience and on stage. 6. STUDENTS shall keep their advisors informed of their activities and whereabouts at all times. 7. STUDENTS who disregard the rules will be subject to disciplinary action and will be sent home at their own expense. Parents will be notified. 8. STUDENTS may not purchase, consume, or be under the influence of alcohol or drugs at any time. Smoking or using tobacco products at a school-related or school-sanctioned activity on or off school property is prohibited at any time. 9. STUDENTS are to report any incidents, injuries or illness to their local or state advisor immediately. 10. STUDENTS are expected to observe the designated curfew. (Curfew is defined as being quietly in your own assigned room by the designated hour.) 11. The student and his/her parents will be expected to pay for any and all damages relating to student behavior which results in loss or damage to property. 12. Students and/or parents will be responsible for any long distance phone calls, charges to the room, etc. 13. PERFORM all assigned duties. Failure of an advisor to perform their duties may result in their chapter being disqualified from conference activities by the Board of Directors. 18 State Conference Registration Check List 1. Completed the online registration process by March 25,2016 a. choose correct events for each participant b. ed any accommodations your special needs event competitor will need c. Confirmed 1 adult chaperone for every 10 students 2. Made two printouts of your online registration 3. Conference Registration Fees will be collected at State Conference On Site Check in. Texas chapter numbers should be included on the memo line of the payment check. 4. Make Hotel Reservations by: March 23, , Mail, or fax (see conference memo) Make a copy of rooming list and tax exempt form for hotel to help expedite hotel check-in. 5. Sign Advisor Code of Ethics and Medical Liability form. 6. Have students sign Code of Conduct, and Medical Liability make sure that forms are completely filled out (make sure to have a copy of these forms to turn in at registration table, Advisor must be in possession of the original forms while at the conference) Place forms in an envelope and write the name of your school and chapter number on the front. 8.
