2 1. How do I access JobEx Internal? Via TalentLink: Login to TalentLink the way you normally do either via auto-method (Single-SignOn or SSO) or via password (I&TS International or TL Anywhere Anytime). Click on the Menu Bar from the TalentLink Home Page and select Job Exploration and it will take you to the JobEx landing page. Directly to JobEx If usual TL access is via auto-method: You simply launch JobEx Internal (or JobEx Internal-French) and you are automatically logged in to JobEx. If usual TL access is via password (I&TS International or TL Anywhere Anytime): You may proceed directly to the JobEx Internal login screen (or JobEx Login-French) and bypass TalentLink. You will use the same TL credentials on your JobEx login screen. Important note for TL users via password (I&TS International or TL Anywhere Anytime): Once on the JobEx Landing Page, you will always need to login again, regardless whether you accessed JobEx via TalentLink or directly. You will use the same TL credentials in your secondary JobEx login. See screenshot below for illustration. P a g e 2 10

3 2. I have not received any Job Alerts since we shifted to JobEx. Why? Job Alerts in TalentLink did not migrate over to the new JobEx portal. All previous Job Alerts ended when we shifted our Internal Careers Site/Job Openings Site to JobEx. 3. How do I continue to receive notifications of jobs that interest me? To continue receiving notifications of jobs that interest you, all you need to do is subscribe to Similar Job Notifications. When you re viewing a job posting, to the right is a box that says Get notified for similar jobs : click on the Subscribe button and the system will automatically subscribe you to the service. You will receive Similar Job Notifications in a weekly every Monday by default. You have the option to change the frequency to daily, weekly, or bi-weekly. You can subscribe to as many as 10 similar jobs. Each Similar Jobs Notifications will typically send you matches of up to 10 jobs based on relevance. See screenshot below showing the Job Posting page and where the Get Notified for Similar Jobs box can be found. 4. What is the difference between Job Alerts and Similar Job Notifications? First let s start with what is the same between the two features: The Job Alert and the Similar Job Notifications features are both meant to sign you up for notifications of jobs that interest you. The Job Alerts feature takes more time to set up vs the Similar Job Notifications feature. The Similar Job Notifications feature is an easy one-click sign-up process and P a g e 3 10

4 the subscribe button sits right next to the job posting that you are viewing. The algorithm behind Similar Job Notifications takes into account job properties that are relevant to an internal job-seeker such as position level, job title, job category, etc. You can sign up to as many as 10 similar jobs, with each Similar Job Notification sending you up to 10 relevant matches. The Similar Job Notification gets sent out weekly every Monday by default. However, you have the ability to choose the frequency between daily, weekly, or bi-weekly s. The previous Job Alerts feature is no longer available. 5. I want to create my own parameters for Similar Job Notifications, can I do it? And if I cannot, what can I do instead? You will not have the ability to create your own search parameters AND get the system to send you s. You can always visit JobEx and do your own drill-down search and use as many combinations of search parameters in the Advanced Search. As you are viewing each job from your search results, JobEx is actually learning and recognizing the types of jobs that interest you. Each time you visit JobEx, you will find that the Jobs you might like section will be populated with jobs that are similar to the jobs that you have been viewing. Connecting with LinkedIn from the JobEx Home page is also a great way to get JobEx to recommend RBC jobs to you based on your LinkedIn profile. 6. How do I unsubscribe from Similar Job Notifications? At the bottom of the Similar Job Notifications , you will see an Unsubscribe link. Simply click on the link and follow the steps. 7. I see Talent Community on the JobEx site. How is it different from Job Alerts? A Talent Community subscription registers you to a mailing list which will allow you to receive customized information on career tips, Job Fairs, and Recruitment events that matter to you based on the information that you provide during registration. This is a one-time registration process. P a g e 4 10

5 Important things to know: Talent Community is not Job Alerts (or Similar Job Notifications). Subscribing to Talent Community does not send automated Job Alert s. Talent Community does not have a defined frequency like Job Alerts. Talent Community s are only sent out when there are recruitment campaigns or events that are live or active and fit the employee s preferences if/when they sign up. 8. I see Talent Community on the JobEx site. What s the difference between that and Similar Job Notifications? When you subscribe for Talent Community, you will receive occasional recruitment s sharing the latest career tips, recruitment events and featured jobs for RBCers. These will all be based on the interests and details you give us when you sign up. Similar Job Notifications are an updated version of TalentLink s previous Job Alerts. They re automated s sent each Monday to update you on jobs just like the ones you ve subscribed to. To get started, use JobEx s advanced search filters to find the types of jobs you re interested in, including location, PL level, etc. Click on a job description and if it includes everything you re interested in click on Subscribe. After that we ll send you an each week with jobs that are similar to it. Easy as that! 9. I m from Luxembourg and my TalentLink language setting is French. I used to see ALL jobs, both French and English; now I only see all French jobs from Canada and France, and I do not see any job from Luxembourg. Am I doing something wrong? There are now two separate portals for the language sites: English and French. Having two separate portals streamlines the appearance of jobs and content as only one language at a time will display on your pages. When your language setting is French, the site will display only jobs that are posted in French. Similarly, when your language setting is English, only English jobs will display on the site. 6 Most Luxembourg jobs are posted only in English. To access them, simply toggle your language setting on JobEx to English. The Language toggle is on the top right of every page on JobEx. See screenshot below. 10. I am bilingual and have been switching back and forth between the English and the French sites. I have saved a number of jobs that I was interested in and have even started (and saved) one application. When I logged in again and checked my profile, I only saw a few of the jobs that I saved (not all) and could not find the one application I started As the two language sites now have two separate portals, your saved jobs and your saved applications are available on their respective language sites. To access the French jobs and applications you saved, you simply toggle your language setting to French, and conversely for English (see question #7). This streamlines your view of the content as everything is presented to you in only one language at a time. As you are bilingual and are searching and applying for jobs in both languages, you will need to switch back and forth between the English and French sites. P a g e 6 10

7 11. I applied to jobs previously in the old portal, will I still have access to the status of those jobs? Yes. Everything has ported over seamlessly to the new portal. 12. How do I check the status of my past job applications on JobEx? On the top right of your JobEx pages, you will see a blue bar labeled Profile. Click on (1) Profile, this will open to your Profile page. Right below your personal information section on the left, is a button called (2) Check Application Status. This will take you to your Job Status dashboard in TalentLink. See screenshot on the next page. Screenshot: How to check application status 13. I have just checked the status of my job application and now I want to continue searching for jobs. How do I go back to JobEx? Click on the drop down menu bar and select Job Exploration. This will take you back to the JobEx landing page. P a g e 7 10

8 Important note for TL users via password (I&TS International or TL Anywhere Anytime): You will always need to login again once on the JobEx landing page. You will use the same TL credentials in your secondary JobEx login. Please see question #1 for steps. 14. I want to attach a cover letter but there s nowhere to put it in the application form, what do I do? To make the apply process easy for the candidates, cover letter is no longer required. If you still prefer to attach a cover letter, please consolidate your resume and cover letter as a single file so you can then attach it in the resume field. 15. When I checked my submitted applications, I noticed that a cover letter from a past application was attached to my new submission, how do I correct this? Within JobEx, go to Profile (top right on every page of JobEx), click on Check Status of Applications, then click on My Info at the top. From there, you may delete your cover letter file. This will prevent any cover letter to be attached in your future submissions. Unfortunately, this is a known bug and will not be able to delete the cover letter from your past submissions. 16. I see that the job listing now includes the name of the Reporting Manager on the header bar. What do I do with this information? There is a very helpful one-page infographic that provides tips on how to use this information effectively. You will find this infographic on the bottom-right of the Job posting page: it is a box called How to use Reporting Manager s Name. 9 17. I have sent multiple s to the Reporting Manager and I have not heard back. What do I do? While there s a variety of reasons the reporting manager may not be responding, I would suggest contacting the recruiter, whose name you can also find on the job posting. The recruiter will be able to give you some advice or feedback about next steps. 18. I m having technical issues when searching for jobs and applying on the JobEx site, how can I get support? Examples: I cannot submit my application. The application form is not displayed When I click on the submit button, system displays a spinning wheel. I click next in the apply process and I get taken to the Home Page instead of the next page of the application System keeps asking me to login or tells me account already exists For all technical issues, the process remains the same as the TalentLink Support Process. You may contact any of the following: Your local Tech Support (I&TS International employees) The HR Service Centre: (toll-free number in North America) Send an to talentlink@rbc.com The Support Representative will typically ask you to provide the following: Job requisition number of the job that you re applying for (Req ID is found at the bottom of the Job Posting under Job Summary ) Description of the issue; screen shots if possible P a g e 9 10

10 Your name and your employee number. The Support Representative will open a technical case ticket and someone from the Technical team will follow up with you. 19. My technical issue remains unresolved and I m concerned I might not meet the application deadline, how can I submit my resume? If it is past or very close to the application deadline: You may contact the recruiter and your resume. The recruiter name can be found at the header bar of the job posting. She or he will understand if you explain that you re having some technical issues. If deadline is some time away: Save your application. You can always come back to it and submit later. You may also save the job you re interested in, and complete the application later. To go back to your saved jobs and saved applications, simply click on Profile at the top of any page on JobEx.
